SUBMISSION OF PROPORTIONAL VACATION PAY (PVP) REPORT FOR


sY 2017-2018

1. Pursuant to DepEd Memorandum No. 108 dated, June 14, 2018, Computation
of Public Teachers' Proportional Vacation Pay (PVP) for School Year (SY)
ZO|T-2OlS,teachers who have continuous services from June 05,2017 to April
06,2Al8 shall be entitled to 58 days total PVP.

2. This is to provide the field offices with a uniform basis for the Computation of
the Proportional vacation Pay (PVP) for the School Year 2017-2018 for all
public elementary and secondary school teachers under the teacher's leave
basis.

The factor 0.238 shall be used for the computation of absences and PVP'

4. Since the 12 days Christmas Vacation has already been paid to the teachers
having received it in full their Decembet 2017 salary, the number of summer
vacation days earned from April 07,2Ol8 to June 03, 2018 (or the PVP period)
shall be 58 days. Therefore, a teacher who has no absences for the previous
school year shall be entitled to 58 days PVP and whose salaries shall be paid
in full for April 07-30,2018, May 01-31, 2017 and June 01-03,2017 '

5. Teachers with less than 58 PVP days, the amounts corresponding to the
overpayment of their salaries in April & May shall be deducted in their August
or September salaries.

6. To fast track your reports, you may refer to the attached sample how to compute
PVP for teachers and please see also the attached guide in preparing the
Summary of Absences and the Proportional vacation Pay (PVP) Report.
7. Retired teachers for SY 2Ol7-20l8with Certiflcate of Last Payment (CLp) anA
Newly-Hired teachers (Division Paid) should be reported in a separate sheet or
in the last part of the PVP rePort.

8. All teachers under station 592 (Division Office) and 602 (Senior High School)
already included in regular monthly payroll worksheet should be added to the
proportional vacation pay report in their respective school where he/she is
actually assigned together with the summary of absences without pay for SY
2017-2018.

9. The PVP Report for SY 2017-2018 together with the Summary of Absences
Without Pay for SY 2017-2Arc must be submitted to the district bookkeeper.

10. The district bookkeeper will be responsible in checking and validating the
accuracy of data and likewise the submission of the said report to the Division
Payroll Services Unit (DPSU) on or before July 11, 2018.

Guide in Preparins the SUMMARY OF ABSENCES (SOA) for SY 2017 - ?018
1. The order of the names in the Summary of Absences should be according to the order of the names
listed in the PVP Report.
2. Include in the list all teaching and non-teaching personnel (NTP) who have not incurred absences or
have absences with pay or offsetted to service credits (OSC).
3. Please indicate zero or dash (-) for those months with no absences or with absences with pay or
offsetted to service credits. These absences with pay or offsetted to service credits do not affect in the
computation of Proportional Vacation Pay (PVP).
4. Only absences without pay (excluding Christmas vacation) will affect in the computation of PVP and
must be indicated monthly.
5. DO NOT indicate specific dates of absences but only TOTAL NO. of absences without pay per month.
6. Whole month absences in June should not include days which are still part of the summer vacation.
7. Whole month absences in December and January should not include those days which are still part of
the Christmas vacation.
8. Only absences without pay should be summed up (excluding absences with pay or offsetted to service
credit).
9. Equivalent PVP days to be deducted and entitled PVP days should be taken from the PVP table. The
table varies every year depending on the start and end ofthe school year.
10. The First Day of Service GDS) of newly-hired teaching and non-teaching personnel should be
correctly indicated. FDS must be the actual date of first day of service but not earlier than the date of
signing the appointment or the date indicated by the Civil Service Commission at the lower part of the
appointment.
1 1. The data in the columns Total number of absences without pay, Equivalent PVP days to be
deducted and Entitled PVP days are needed in the preparation of the PVP report.

Guide in Preparing the PROPORTIONAL

1. The column Inclusive Period of Service should indicate the beginning and end of the school year for
those teachers who served from the start until the end of the school year, that is 06i05/17 - 04106118.
2. For newly-hired teaching and non-teaching personnel, the Inclusive Period of Service should be from
the date of his/her FDS until the end of the school year.

3. For retired teaching personnel, Inclusive Period of Service should be the beginning of the school year
until the last day of service, the date before the effectivity of retirement.
5. The column Absence w/o Pay during the SY should indicate NONE for those teachers with no
absences. For those who have absences w/o pay, please indicate in the column the Total Number of
Absences w/o Pay and its Equivalent PVP days to be deducted (taken from the last two columns of
the Summary of Absences). Example: if the total number of absences is 5 and the equivalent PVP
days to be deducted is 1, it should be indicated in the same column: 5 : I
6. The column Long Vacation Salary Due Inclusive Period should indicate the start until the end of the
vacation period if the teacher is entitled to full PVP (those who have not incurred absences w/o pay
within the school year). For those teachers who have incurred absences without pay, the inclusive
period should be less by the equivalent PVP days to be deducted. Example: the total absences of 5
days with 1 day equivalent PVP deduction, the inclusive period should be from the start of the
vacation period which is 04107118 until 06/02118 (computed as: the end of the vacation period is
06/03/18 less 1 day equivalent PVP deduction, the entitled PVP is until 06/03/18).
7. The Inclusive Period or the entitled PVP period will not be the same for all teachers. lt: varies
depending on the total number of absences without pay incuned within the school year and its
equivalent PVP days to be deducted.
8. The column Total Days refers to the total number of entitled PVP days. For those teachers who have
not incurred absences without pay within the school year, the entitled PVP days is 58 from 04/07 /18
to 0610312018. For those teachers who have incurred absences without pay, the entitled PVP days is
computed as: the total PVP of 58 days less by the number of equivalent PVP days to be deducted
equals entitled PVP days. Example: entitled PVP days of 58 less 1 day equivalent PVP deduction (for
the total absences of 5 days) equals 57 entitled PVP days.
