Release the Fro – Cohort II Budget

The following items will be discussed in the budget: location, food, drinks, decorations, DJ, gift bags, T-
shirts, and miscellaneous.

NOTE: For serving proportions, I went off a total number of 300 people. I am not exactly sure how
many people will attend but 300 people is our target range according to the information I got from
Ms. Jackson.

NOTE: The tax amount for products varies depending on what you spend and how much you spend. I
do not know the tax price on each of these items or the tax percentage; therefore, I am merely
guestimating 10% tax on each product.

 Location – We will be having the event at the Camino Center.


- Cost for renting: $100
 DJ – To be cost efficient, using an aux cord and simply creating a playlist off someone’s phone
would be best.
- Cost: $0
 Food – Using Chick Fil A to cater would be the best option because they cater sufficient amounts
of food and normally most people eat Chick Fil A. To give a variety, it would be best to cater for
chicken nuggets are a fruit tray. There are two options for food.
- Option #1: 2 Large Chicken nugget trays (200 nuggets each) and 2 Large Fruit trays
 1 Large Chicken nugget trays is $81.50, 1 Large Fruit tray is $56.00
 2 x $81.50 = $163 (total of 400 nuggets)
 2 x $56.00 = $112
 $112 + $163 = $275
 $275 + $27.50 (10% tax) = $302.50 for Option 1
- Option #2: 3 Medium Chicken nugget trays (120 nuggets each) and 2 Large Fruit trays
 1 Medium Chicken nugget tray is $50.50, 1 Large Fruit tray is $50.00
 3 x $50.50 = $151.50 (total of 360 nuggets)
 2 x $56.00 = $112
 $112 + $151.50 = $263.50
 $263.5 + $26.35 (10% tax) = $289.85 for Option 2
- NOTE: Chick Fil A will not deliver unless you spend a minimum of $400 in your total
balance, so we would most likely have to pick the food up on the day of at some point.
 Drinks – To get the most of your money, the best option for drinks would be water. However,
you can also do gallons/cans of juice (apple juice, lemonade, etc.) or a combination of both.
Therefore, there are three options
- Option #1: Bottled water only
 A 32-ct. case of Dasani water is approximately $5 at Sam’s Club. While each
attendee of the event will not get a full bottle of water, we could split each bottle
between two people thus serving 64 people per case.
 $5 per case serves 64 people.
 300/64 = 4.6 cases, it makes sense to round to the next nearest whole number; 5
 $5 x 5 cases = $25
 $25 + $2.50 (10% tax) = $27.50 for Option 1
- Option #2: Juice only
 A 12-ct. case of Minute Made pink lemonade is approximately $5 at Walmart. These
cases come in cans therefore each person would probably get their own can. Each
case then of course serves 12 people.
 $5 per case serves 12 people.
 300/12 = 25 cases exactly
 $5 x 25 cases = $125
 $125 + $12.50 (10$ tax) = $137.50 for Option 2
- Option #3: Both bottled water and juice
 Since you are mixing both the bottled water and the juice, you can then shift from
juice cans to gallons of juice.
 Sam’s Club sells 32-ct. case water bottles for approximately $5 per case and a 2 pack
Simply Lemonade Bundle for approximately $4 per bundle. Each bottle in the bundle
is 52 fl oz. meaning there are just a little over 100 fl oz. in each bundle. A normal
serving is 8 oz. per glass. You can serve 13 eight oz. servings per bundle. Being that
the lemonade might be more popular than the water, I would guestimate that we
should budget for 200 servings of the lemonade and 100 servings of the water.
 Again, we can serve 64 people per 32-ct. case of water.
 100/64 = 1.6 cases of water, round to the nearest next whole number; 2
 2 x $5 = $10 for water
 200/13 = 15.3 2 pack bundles, round to the next nearest whole number; 16
 16 x $4 = $64 for lemonade
 $64 + $10 = $74
 $74 + $7.40 (10% tax) = $81.40 for Option 3
 T-shirts – While I do not have any knowledge of the best online companies to order shirts from, I
do know that customink.com is a company that many people use. Their selection process is
extensive and very customized. There are two options: customized white shirts and customized
colored shirt.
- Option #1: Customized white shirts
 They are the cheapest and they start at a base price of $4.40
 Each time you add a text or logo, the cost per price of the shirt goes up. A simple
text and one picture design can increase your total cost per shirt by eight or nine
dollars; therefore, we should stick to a budget of up to $10 to $12 per shirt.
 $10 x 16 (14 ambassador plus Mrs. Tammy and Ms. Jackson) = $160
 $160 + $16 (10% tax) = $176
 $12 x 16 (14 ambassadors plus Mrs. Tammy and Ms. Jackson) = $192
 $192 + $19.20 (10% tax) = $211.20
 Total cost of shirts = $176 - $211.20 for Option 1
- Option #2: Customized colored shirts
 Colored shirts are at set at a base price if $5.44
 Being that the colored shirts are about one dollar more than the white shirts, it
makes sense to increase the budget by one dollar, so our budget for colored shirts
would then be $11 to $13 per shirt.
 $11 x 16 (14 ambassadors plus Mrs. Tammy and Ms. Jackson) = $176
 $176 + $17.60 (10% tax) = $193.60
 $13 x 16 (14 ambassadors plus Mrs. Tammy and Ms. Jackson) = $208
 $208 + $20.8 = $228.80
 Total cost of shirts = $193.60 - $228.80 for Option 2
 Decorations – We will be getting the decorations from party city
- Balloons
 15 ct. balloons are $3 per package. Depending on the size of the venue, we would
need at max 3 packages.
 3 x $3 = $9
 $9 + $0.90 (10% tax) = $9.90 so about $10
- Streamers
 3 packs, $4 each
 3 x $4 = $12
 $12 + $1.20 (10% tax) = $13.20
- Table Cloths
 While we do not know exactly how many table cloths we will need, and if we did not
use table cloths we already have, we would probably need about 15 table cloths.
This number accumulates food table, vendor table, registration tables, and any
additional tables we may need for various other reasons.
 Table cloths are $3 each.
 3 x $15 = $45
 $45 + $4.50 (10% tax) = $49.50 so about $50
- Total cost for decorations = $73.20
 Miscellaneous – We will be getting the miscellaneous items from Sam’s Club.
- Cups
 Plastic Cups 12 oz. 330 ct. $9
 We only need one pack of these
 $9 x 1 = $9
 $9 + $0.90 (10% tax) = $9.90 so about $10
- Plates
 Hefty Supreme Foam Plates 320 ct. $9
 We only need one pack of these
 $9 x 1 = $9
 $9 + $0.90 (10% tax) = $9.90 so about $10
- Silverware
 Clear Plastic Forks 300 ct. $11
 We only need one pack of these
 $11 x 1 = $11
 $11 + $0.11 (10% tax) = $11.11
- Napkins
 660 ct. $10
 We only need one pack of these
 $10 x 1 = $10
 $10 + $1.00 (10% tax) = $11
- Total Cost for Miscellaneous = $42.11
 Gift bags – Party City offers a 24-ct. bundle of 4x2x5 inch paper goodie bags for $9 per bundle.
- Goodie Bags
 300/24 = 12.5 bundles, round to next nearest whole number; 13 (leftovers for us)
 13 x $9 = $117
 $117 + $11.70 (10% tax) = $128.70
 Total Cost for goodie bags = $128.70
- Candy from Sam’s Club
 Nestle Assorted Candy Mix (325 ct.) = $15
 Hershey’s Miniature Assortment (185 ct.) = $13
 We would probably need 2 of the Hershey’s Assortment
 2 x $13 = $26
 $26 + $2.60 (10% tax) = $28.60
 $15 + $1.50 (10% tax) = $16.50
 $16.50 + $28.60 = $45.10
 Total Cost for candy = $45.10
- Nail polish and and lip gloss
 Total cost TBD
 I have been searching for places like Walmart, Amazon, Target, etc. to see if they sell
these products in large amounts. I am finding anything in which they do. I am still
looking but if I can not find anything, we might have to individually buy then from
Walmart, The Dollar Store, etc., I am just afraid that it would cost too much money.
- Total Cost for goodie bags = $173.80 not including the TBD nail polish and lip gloss cost

 Total Cost for Release the Fro event: $917.66 - $1,057.91


- This estimated cost ranges from the least expensive cost per option to the most expensive
cost per option.
- This estimate does not include nail polish and lip gloss costs because those are still TBD.
