USING LOBBYCAL: AN OPEN SOURCE SOFTWARE FOR PUBLISHING MEETINGS

FREQUENTLY ASKED QUESTIONS

All my meetings will be online?!?! No, to publish the meetings you need to specifically send an invitation
to your lobbycalendar account.

Which lobby meetings should I declare? This is up to you. Whichever meetings you think members of the
public would be interested to know about. This could include meetings held by your assistants, or even
advisors. You might even want to declare meetings held with national or regional authorities - that is all up
to you!

What if I am meeting a whistle-blower or a politically endangered person? Don't declare it if this will
endanger their well-being!

What if my invitation to a meeting has personal data in it? You should ask your lobbyists to consent to
having their names made public in order to comply with data protection rules. If they have nothing to hide,
they should agree.

OK, but what if they don't? Or what if there's a phone number in there? If they don't provide consent and
you want to go ahead with the meeting anyway, you just need to add a * in front of the text that you don't
want to be displayed. This is particularly useful for hiding phone numbers, for example.

What if I am attaching documents to the meeting, or typing something in the description/agenda that I
don't want everyone to see? Don't worry: the system only reads the subject line of the meeting, nothing
else.

What if the meeting is cancelled? Or something changes? If you need to change something, just update it
in your calendar, and send the invite again to your lobbycal username. It will automatically be updated, BUT
only if you remember to actually click on “send”!

I don't use Outlook: Don't worry, it works also with google calendar and with Zimbra. Let us know if you
use a different software and we can look into developing the tool further to suit your needs.
