Conference Tool Setup

Preface

The conference tool allows front desk staff to automatically configure networking equipment
without the knowledge of configuring it directly. The tool allows the staff member to easily select
a conference area, the tool will then automatically configure the switch ports and WLANs for the
conference.

The operator of the network will need to pre-configure the rXg as well as the WLAN
infrastructure with enough networking to accommodate as many simultaneous conferences as
the venue can support.

rXg Configuration
Networking
Create a VLAN, Address, and IP group for each simultaneous conference.

Fill out the ​Name​ and ​VLAN ID​, select the appropriate ​Ethernet​ interface. Conference VLAN's
are not autoincremented. Each conference is assigned a single VLAN.
Fill out address fields as appropriate. Make sure to check the ​Create DHCP Pool​ checkbox, or
go to Services->DHCP to create the pool after creating the Address.

Create the IP Group, select the appropriate ​Address​ and check the ​Conference​ checkbox. No
Policy​ needs to be selected or created. The conference tool will create these automatically. The
Name​ of the IP group needs to match the name of the WLAN, AP group, and WLAN group in
the wireless controller. This is how we are able to modify the configuration of the infrastructure
device.

Repeat the above steps for the expected number of simultaneous conferences. If you expect to
have five simultaneous conferences, you should have five VLAN configurations, five Addresses,
and five IP Groups.

Infrastructure
Create Infrastructure device for WLAN controller

Fill fields as appropriate. It is important the ​WLAN zone​ configured match the WLAN zone in the
controller that contains all of the conference WLAN's. Add ​Access Points​ that correspond to
conference space.
Create Infrastructure device for each switch

Fill fields as appropriate. Add ​Switch Ports​ that correspond to switch ports available for end
users to connect to in the conference space. The ​Name​ of each port typically corresponds to a
label on the wall plate in the conference space.
Create Infrastructure Areas To map appropriate AP's / Switch ports to physical space

These Infrastructure Areas are available for the front desk staff member to select when creating
a conference. Multiple areas can be selected for a single conference if the customer wants to
rent multiple areas of the available conference space.

Portal
Create custom portal for conference tool

Check the ​Conference​ checkbox. Modify as desired (not covered in this guide).
Ruckus WLAN configuration
Create a new AP Group from the Access Points menu

The ​Name​ of the AP Group needs to match the name of the IP Group configured in the rXg.

Create WLAN Group from the Wireless LANs menu


The ​Name​ of the WLAN Group also needs to match the name of the IP Group created in the
rXg. You should also add any Available WLANs to this group that you want broadcast in the
conference space that will be in addition to the conference SSID. Note that we have not yet
added the conference WLAN, that will be added to the group when it is created.

Create WLANs from the Wireless LANs menu

The ​Name​ of the WLAN needs to match the name of the IP Group created in the rXg. Select the
WLAN Group​ that matches this same name.
In the Advanced Options, enter the ​VLAN ID​ of the VLAN that corresponds to the IP Group that
was created with the same Name as this WLAN.

Repeat the above steps for each IP Group that was created in the rXg.

AP's will be automatically added to the appropriate AP Group and WLAN Group depending on
what conference space was selected within the conference tool.

The conference tool


The screen the front desk staff member will see.

They can click ​Create New​ in the Conferences table to create a new conference.
They should fill out fields as appropriate and select the correct ​Infrastructure Areas​ for the
conference. The ​Customer​ account can be used by the end user contact who is renting the
conference space to login and look at their conference as well as communicate with the front
desk staff member.

The front desk staff member can also create portal modifications for the conference using the
WYSIWYG editor.

Make desired ​HTML​ modifications and upload ​Company logo​ files.


View calendar

View past/current/upcoming events. Select the event for more details and to download an ical
file to load into other calendaring systems.
