St George’s Anglican Grammar School is a secondary school located at the heart of Perth CBD. The School
enrols both local and international students from Years 7 - 12. St George’s is renowned for excellence in
teaching and learning, outstanding pastoral care and a diverse, inclusive community.

The School is looking to appoint a Student Admissions and Records Officer. This is an exciting opportunity for
an exceptional administration officer to join our School.

PLEASE NOTE THIS IS A TEMPORARY 12 MONTH, FULL-TIME, PARENTAL LEAVE POSITION

• Awareness of security and confidentiality of all records.
• Advanced level of IT skills, including website management, desktop publishing and Microsoft Suite.
• Experience in a similar role (desirable).
• A current and valid Working with Children Check (or willingness to obtain).
• Willingness to support the mission and values of The Anglican Schools Commission (Inc.).
• Experience in a School environment (desirable).
• Understanding of School Data Bases.
• Support for the Christian ethos of the School.
• Empathy with, and understanding of, young people.
• A willingness to adhere to the School’s Child Safe Policy and practices

REPORTING TO: Principal / Business Manager
UPDATED: 8 October 2019
WORKING HOURS: 37.5 hours per week between 7.30am and 3.30pm, with flexibility as required
The Student Admissions and Records Officer carries out the day to day administration and management of the
School enrolment procedures and student information on the School database.

The position is governed by the terms of the Anglican School Commission Support Staff Enterprise Agreement
2015.

Duties/ Responsibilities will include:


Admissions and Enrolments
• Manage all enrolment enquiries.
• Assist with tours of the school, open days and student orientation as required.
• Compile and manage waitlists including communications to prospective parents.
• Compile future and current enrolment reports as required by Executive and Council.
• Arrange interviews for prospective students.
• Ensure that new students have all the appropriate forms.
• Confirm student’s place at the School once all information and enrolment fee has been received.
• Enter new international students to current Maze once confirmed by ASC International (i.e., when
the student is granted their visa).
• Ensure that each student has an IT account and student locker.
• Maintain record of declined offers.
• Act as liaison between ASCI and the School.
Student Records
• Create a digital student file.
• Ensure that all required documentation is stored in the students digital file.
• Maintain and manage student records in MAZE.
• School photo of student.
• Exit and transfer of students.
• Manage past, present and future student records.
• Monthly reporting of student numbers for Executive and Council.
• SIRS Uploads of Student Registration, Demographic and Curriculum Information.
• Ensure that end of year processes are actioned for MAZE rollover.
• Provide student letters of verification as required.
• Manage secure digital filing of archived students.

Teacher Relief
• Coordinate all relief teaching requirements.
• Maintain internal relief roster.
• Assist with screening of relief teacher candidates.
• Collect all application and supporting HR documents.
• Coordinate relief teacher inductions

Any other duties as required by Principal (eg. Reception duties)
