You joined M Rock (Clothes selling co) eight years ago

as Assistant Manager. At that time there were only three


staff members reporting to you. The company recorded
phenomenal growth over the years and the number of
employees also rose to sixty seven. With increase in the
number of staff, discipline problems also surface from
time to time and you as a Manager have to handle such
cases in an appropriate way. The following two cases
have been reported to you by your Assistant Manager
and you have also got them verified from two other
sources. As a Manager you are supposed to write a
memo or a letter to employees concerned as the case
may be:

Case 1
M. Kashif is a sales executive at M Rock. His job
description includes sending response to customer
complaints and letters. Mrs. M. Altaf one of your regular
customers has written to you a disturbing letter that she
has received no response to her letter of complaint sent
three weeks ago.

M Rock’s policy is to respond immediately to customer


complaints and in this case the burden falls on M.
Kashif. Issue a reprimand without using harsh words to
your employee also asking him to let you know if he has
other backlog to be cleared for which you could provide
him some assistance.
Case 2
Yesterday it was reported to you that two of your staff
members were involved in fist fight outside the office in
car park area. This fight was witnessed by members of
public and customers and damaged the reputation of the
company. Things may further aggravate as the matter
has also been brought to the notice of police.

Issue a strict and formal reprimand to one of the two


employees namely R. Asad informing him that such
playground behavior would not be tolerated and
difference must be settled in an adult manner and
personal conflict must be resolved away from
workplace. If the employee is found involved again on
company property and in company time he would be
dismissed from service.

outstanding letters I suggest we discuss ways of dealing
with them more efficiently.

Reprimand
I must make it clear to you that I take a very dim view
indeed of the disgraceful incident that took place in the
car park yesterday afternoon.

Your scuffle with Mr. was witnessed by several


customers and members of public, and has no doubt
damaged the reputation of this company. This will
probably be exacerbated by the police investigation now
underway.

This company does not tolerate such playground


behavior. Differences must be settled in an adult
member, without resorting to fisticuffs. If you have a
personal conflict to resolve, I suggest that you do it
away from these premises.

If you are ever again involved in an incident of this


kind, on company property and in company time, you
will be dismissed.
