MEMORANDUM
To: The Management Team
From: IT Department – Mike Dinh
Subject: Seeking Your Approval to Upgrade Several Outdated Computers

After reviewing our computer system in Denver, Miami and Boston, our company has 8 computers need to
be updated. There are several reasons that we need to do the upgrade as soon as possible.
First of all, CPU speed of these computers is only 2.0 GHz. They performed very slow during the testing
process. Due to the requirement of updating ERP system in the near future, these computers need to be upgraded.
Second, these computers are using Window Vista and Window 7. While Windows Vista did not receive new
security updates and online technical updates from April 2017, Microsoft will no longer provide security updates
and support for PCs running Windows 7 after January 14, 2020. Consequently, we need to upgrade these computers.
Finally, the memories of these computers are very limited as the table below. They are easy to be ran out of
storage space very soon.
