Execution Stage Procedures

Once a project has passed the schedule stage of the ITS demand management process it will have a
status of “open/approved” in Planview and work can begin. These procedures only cover the first few
steps of project execution that focus on the hand-offs from the demand management process to the
project execution process.

Procedures
These procedures assume working knowledge of Planview. Refer to the Planview Info page on Backstage
for more information on using Planview for project management.

1. EPPMO will set execution project status to “open/approved.”

2. Assign Execution Project Manager (PM)


a. The individual assigned the role of execution project manager (PM) will be advised of
their assignment and receive a notification in Planview.
i. The PM may or may not be the same individual who served the role of definition
project manager.
ii. Access to the Planview “Manage” module is required and a basic understanding
of how to use Planview is assumed.
iii. If access or training is required, submit a ServiceLink ticket for Planview support.

3. Assign Resource Requirements to Resource Managers


a. The PM will need to build out the project schedule and assign resource requirements to
the appropriate resource managers.
i. Refer to the ITS org chart on backstage if needed to determine the appropriate
resource manager.
ii. PM should email resource managers to advise them that the project is
open/approved and ready for resource assignments.
b. If assistance is needed to identify the appropriate resource manager, PM should contact
the PMO Operations team for assistance: ITS.EPPMO.Ops@umich.edu
c. Always follow up resource requests with an email to the resource manager.
i. It is incumbent on the PM to ensure the resource manager acknowledges the
resource request.

4. Assign Specific Resources


a. PM will work with resource managers to allocate specific resources following the
standard ITS resource assignment process.
b. As resource requirements are assigned to resource ROLES, when it comes time to
schedule a specific named resource, it is likely the PM will need to negotiate and adjust
the schedule to accommodate the specific resource’s availability.
i. If the project is medium or low priority, the PM may have to adjust the schedule
for a later than planned delivery date.
ii. If the project is high priority, and the planned delivery date cannot be met
because specific resources are not available when needed, the PM should
escalate the issue to the appropriate service portfolio owner or investment
portfolio manager.

5. The execution project manager will follow the appropriate PM methodology to manage the
execution of the project though its completion.
