Primary Leadership Conference


Student Volunteer Schedule and Information
Friday October 25, 2019
Vancouver Island Conference Center – Nanaimo, BC

6:15 am: Arrive at the Vancouver Island Conference Center


- Come to the Registration Area on the Upper Level
- Laurie Andrews & Leanne Gahan, your BCPTA Contacts, will meet you
- You will receive your Student Name Tag and Information Folder

6:30 am: Guided Orientation


-We will start promptly at 6:30 am
-Tour of session rooms and locations / floor maps provided

• 6:45 am: Early Breakfast available in Newcastle Island Lobby


• Please Note: The AM Break and Lunch Buffet will be available for
Students, Speakers, Executive and Exhibitors 15 minutes prior to the
Lunch Break for registrants

Duke Point Room


This is the Drop-In Room for Speakers, Executive and Students
- Personal belongings will be stored in here
• Supervision is required at all times
• A rotating schedule for Students to supervise the door will be organized

Assignment of Duties General Duties – All Students


- Answer questions/help teachers locate session rooms
- You will be assigned to specific session rooms throughout the day
- Be at the door prior to registrants’ arrival and check name tags closely
- Assist speaker with handouts if applicable
- Some handouts may be stored at the Registration Desk
- Handouts are only for teachers registered for the session

7:00 am – 8:00 am
Registration Opens on Upper Level & Exhibits open in Upper Lobby
Breakfast in Upper Lobby / Seating in the Ballroom
- Be available in registration area/other areas as outlined in the orientation
- Greet teachers/answer questions re: location of rooms/washrooms
• Encourage everyone to be seated for the keynote before 8:15 am
- Assist as ushers/encourage and help teachers to fill rows, tables and chairs
- Seating is at maximum for the Ballroom, so we will need to fill every seat
8:00am -8:15am
-Help guide attendees to ballroom for keynote

8:15 am – 8:30 am: Conference Opening – Janine Fraser


- Encourage late attendees to take seats for the Opening & Keynote

8:30 am – 10:00 am: Keynote Address – Adrienne Gear


- Attend the keynote if seats are available at the back or standing room
- At 9:45am  please take your Student AM Break

9:45 am – 10:00 am: Student AM Nutrition Break


Also ready for Exhibitors, Speakers, Executive who are not occupied

10:00 am – 10:30 am: AM Nutrition Break for Registrants


- Be available during the break to assist speakers/guide registrants etc.
- Check session room you are assigned to and assist as needed

10:30 am – 12:00 pm: Breakout Session - S1


- Assist as assigned/check with the speaker to see how you can help
- Attend a workshop when your duties are completed: this may be the
workshop in which you assisted or you may to go to another workshop if okay
*Seating is for the registrants - you may have to stand at the back*

• 11:40 am– 12:00 pm: Early Lunch Break for Student Volunteers

12:00 pm – 12:45 pm: Lunch Break for Registrants


• A ticket in the name tag pocket indicates dietary issues
• Most will find suitable items on the menu
• Servers will answer questions
• Special Lunches: Direct teachers to a Server or the designated area
- Be available for assigned duties/assist speakers with S2 session prep
- Guide/answer questions until 12:45 pm

12:45 pm – 2:15 pm: Breakout Session S2


- Assist as assigned/check with the speaker to see how you can help
- Attend a workshop when your duties are completed: this may be the
workshop in which you assisted or you may to go to another workshop if okay

2:15 pm – 2:30 pm: PM Moving to session S3


- Cold Beverage Stations - Assist as needed
2:30 pm – 4:00 pm: Breakout Session S3
- Assist as assigned/check with the speaker to see how you can help
- Attend a workshop when your duties are completed: this may be the
workshop in which you assisted or you may to go to another workshop if okay
- assist speakers with packing up materials

Dress Code
Please dress professionally

If in a Difficult Situation/Can’t Answer a Question


It is not likely that a difficult situation will occur, but if unsure:
- Do not take responsibility to resolve the issue
- Report issue to Laurie or Leanne or another executive member at the
registration desk

Assisting/Precautions
Avoid moving or carrying heavy boxes of materials for speakers

AV Equipment Problems
Report the problem to a BCPTA executive member at the registration desk
A technician will attend to rental equipment

One Year Complimentary BCPTA Student Membership


- Please complete a BCPTA Membership form before you leave the conference
and return it to Laurie or Leanne
- Your form will be submitted to the BCTF on your behalf
