1. FRONT OF HOUSE

1.1. VSO #89106 MANAGING SPORTS COURSE WAITING LIST ORDER

A user can now manage a Sports Course waiting list order in Front of House.

If you have the new security token, you’ll be able to utilize the new functionality for managing Sports Courses
waiting list order. This will enable you to rectify issues that placed a customer in the wrong position.

The security token required for this new feature is ‘SC_WAITING_LIST_CHANGE_POSITION’. If you do not have
this, another user with the security token will be able override the waiting list for you.

When viewing the waiting list of a Sports Course in FOH, you will now see options for Move to Top, Move to… &
Move to Bottom to the right of the waiting list.

Selecting Move to Top or Move to Bottom options will generate a prompt to ensure the user wishes to make a
change, if the user does not have the relevant permissions, it’s at this point the override popup window will
display.
If the user does have the correct permissions, they’ll be able to select Yes and the member will be moved
accordingly.
If a user selects Move to... then the Enter New Position popup window will display first enabling the user to
input a specific position number. When OK is selected, Waiting List – Position will display enabling the user to
complete the move to action.

1.2. VSO #95243 ADDING/EDITING PREFERENCE NOTES ON SPORTS COURSE WAITING LISTS

When viewing Sports Courses in Front of House, the Preferences column has been renamed to Preference Notes
with an additional feature for users to add or edit Preference Notes for members on a waiting list.

Select the edit icon to add or edit a Preference Note


A Waiting List – Preference Notes popup window displays enabling you to edit existing notes or add a new one.
By selecting ‘OK’, the updates notes will save, the popup window will close and the Preference Notes field will
update to reflect any changes made.

For any changes made to Preference Notes after the member has been added to a Sports Course waiting list, a
member event will be created which can be viewed in Front of House > Member Info > Events or in Membership
Management at Comms > Events.

Details of the member event are:


• Event code of SC_EDIT_WL
• Contents of the previous note
• Author of the change

1.3. VSO #89015 IMPROVE USER EXPERIENCE (UX) FOR WAITLISTING A CUSTOMER

Changes have been made in FOH to improve the user experience and minimise the number of clicks required
when placing a member onto a waiting list.

It is no longer compulsory to select the question mark to access course information and functionality regarding
administering the course. The functionality of the question mark remains, and the user can continue to use it,
however it is not required.

The user can now click directly into the course details and add to waiting list or enroll options. The course details
button will always be present regardless of the status of the availability of the course. This will make the user
experience more intuitive. Add to waiting list or enroll buttons will also show and become enabled depending on
which course is selected – Full or with space available.
Select a Full course: This will be indicated in the basic details in the tile. The course tile will turn red. As well as
the course details becoming enabled, the option Add to Waiting List will also show. Selecting Add to Waiting List
will take the user directly to the waitlist screen and automatically add the member to the wait list.

Select a course with availability: This will be indicated in the basic details in the tile. The course tile will turn red.
As well as course details becoming enabled the option to Enrol will also show. Selecting Enrol will take the user
directly to the course details screen. Again, automatically enrolling the member on the course before the screen
loads.
1.4. VSO #90453 ACCESS CONTROL FOR SPORTS COURSES

Access Control Management (ACM) now includes the control of access based on Sports Course data for a
member via FOH. The system will check for Sports Course data and permit access based on that data.

The user will have the ability to configure ACM to include requirements of access in relation to Sports Course
data. The configuration can be used to create gates and behaviours which will grant access depending on certain
criteria, e.g. the amount of time before the course starts.

Open FOH, select and add a member into the passport. Enrol them on the course.

Swipe the member. Even though the member may not be a member of the club where the Sports Course is
configured, they will be granted access. The access details will be shown in the Member Swipes section.

1.5. VSO #91882 REDEMPTION OF VOUCHERS WITH ACCESS CONTROL

ACM now includes the control of access based on voucher data for a member via FOH. The system will check for
voucher data and permit access based on that data.

criteria

1.6. VSO #97171 PURCHASE OF ACCESS VOUCHERS

The ability to sell, and purchase vouchers for access control on behalf of a member so that the member can later
use the vouchers to gain entry to a club.

To enable access control on a voucher, open Control Panel. Select Data and configure vouchers. The below
popup window loads, listing all available vouchers

Select a voucher type and select edit.


Select the Access Control tab and select Can Be Used For Access Control and then select All Clubs.
Open FOH, select and add a member into the passport. The FOH user can select the configured voucher, add to
the basket and pay. The voucher populates in the basket at cost and the transaction can be completed. Vouchers
can also be discounted, with this applied at the basket also. The vouchers are applied to the member and can be
redeemed later using ACM.

1.7. VSO #91298 ADDITIONAL INFO ON MEMBER SWIPES SCREEN

ACM now includes the control of access based on Sports Course and voucher data for a Member via FOH. An
update to the Member Swipes screen in FOH to include additional information regarding what service(s)
has/have been redeemed for each swipe made by a Member as part of access control functionality

To enable the functionality open control panel app and select global settings.

Select Additional (2) and listed should be Display ACM Band Name in Swipe History.

The tick box will be available to select or deselect.


Additional information should include the means by which a Member was granted access

• Sports Course entry


• Voucher entry

Open FOH, select and add a member into the passport. Enroll them on the course.

1.8. VSO #100240 FINGERPRINT INTEGRATION SCANNER


Legend is now compatible with use of the Ievo fingerprint scanner access control. Product information can be
found at https://ievoreader.com/.

1.9. VSO #92368 REVISE TODAY AND CURRENT BUTTONS IN SPORTS COURSE SEARCH

A change has been applied to the Sports Course search buttons in FOH. In order to improve the user experience
and make the solution more intuitive the Today button has been renamed Starting Today. This will reflect the
desired functionality to return all courses that start today. The Current button has also been renamed to In
Progress.

Open up FOH and navigate to the Sports Course booking page via the Bookings tab. Select a Sports Course to
search on.

STARTING TODAY
• The button previously named Today has been renamed to Starting Today
• Starting Today returns all Sports Courses that start on the current date (regardless of no of sessions)

IN PROGRESS
• In Progress - shows any course that has started or will start today and has not ended
• May also include the display of Sports Courses that started earlier today, and are therefore in progress.
• To find Sports Courses that have already started and that are in progress, and that may/may not have
sessions today
FUTURE
• Shows any courses that have not started and are scheduled to start at a later date

2. MEMBERSHIP MANAGEMENT
2.1. VSO #86374 BACK OFFICE OVERRIDES – LOGGED USER IS NOW THE AUTHORISER

Previously when a second user had to enter their credentials in Back Office to complete an Override, it was the
username of the individual logged in to Back Office that was recorded. This how now changed, and it is the
username of the individual who completes the override that is logged. The override is logged in Membership
Management in the Events section against the member that the override was completed against.

For example, if an enrolee is cancelled from a Sports Course in Back Office and the Cancellation Admin Fee is
overridden and authorised by another user. In Membership Management > Events, the authoriser’s username
will be logged against the event created for the course cancellation.

3. CONTROL PANEL

3.1. VSO #97164 CONFIGURATION OF ACCESS VOUCHER IN CO NTROL PANEL

To enable the functionality open control panel app and select global settings.

Select Additional (2) and listed should be Enable Voucher Access Control

The tick box will be available to select or deselect. This will either activate the Access control function or disable
it depending on what is ticked.

3.2. VSO #86562 REVOKING A BOOKING STRIKE WHEN THE CLASS ENDS UP FULL

Advanced booking penalties are used by the system to discourage members from cancelling / failing to attend
bookings. Once configured these will create strikes against a member which will compound over time to create a
ban from booking if enough are accrued during a specified time. With the new functionality, users will be able to
set configuration so that the booking strike can be revoked if the class becomes full.
To utilise this new functionality, when logged into your Legend desktop navigate to Control Panel > Data >
Bookings > Adv. Booking Penalties. The new field is highlighted in the below screenshot, ‘Do not apply
cancellation strike when class is full’.

Please note that this document assumes Advanced Booking Penalties are already configured.

For members that have avoided a strike due to the class being full, a member event will be created which can be
viewed in Front of House > Member Info > Events, or in Membership Management > Comms > Events.

Details of the member event are:


• Event code: BKNOSTRIKEFULL
• Event Description: No Strike As Class Now Full
• Event Notes: This will include the details of the class the member was booked on

4. PRICE MANAGEMENT

4.1. VSO #80394 BULK UPLOAD VOUCHERS

A user now has the option to bulk upload a voucher to a selection of members so that they can reward members
for their commitment.

Once you have the relevant security token, ‘PM_VOUCHER_BULKASSIGN’, navigate to Price Management >
Entitlements > Vouchers > Bulk Assign
Select the voucher you wish to assign to a range of members, followed by ‘Browse’ to select the CSV file which
contains all the members you wish to bulk assign a voucher to.

Any members that are inactive, whether their status is cancelled, lapsed etc, will be highlighted in red with a
validation message of ‘Member is not active’ and will be ignored by the upload.

To bulk assign a voucher to members who are active, select ‘Assign Voucher’. A pop up will display to confirm how
many members the voucher will be assigned to.

Select Yes to complete the assignment.

Note:
The bulk assign feature only allows the assignment of loyalty vouchers that are not on demand.
5. ONLINE SERVICES

5.1. VSO #98790 RENTALS PRICING CONSTANT IN ONLINE SERVICES

The pricing in Online Services for Rentals has now been made consistent, the prices displayed will depend on
your tax configuration.

NET TAX CUSTOMERS – CANADA AND NEW ZEALAND


All prices will be displayed without tax. At the basket summary page a break-down of fees before and after tax
will be displayed.

GROSS TAX CUSTOMERS - EUROPE


All prices will be displayed with tax included. At the basket page a break-down of prices will be displayed. It will
display the fees with and without tax.

5.2. VSO #96881 RESPONSIVE ONLINE SERVICES IMPROVEMENTS - QUICKER ACCESS TO VIEW
BOOKINGS

By default, all sections in View bookings will now be collapsed.

If Camp or Drop in Bookings are found, the panels will automatically expand.

5.3. VSO #96895 RESPONSIVE ONLINE SERVICES IMPROVEMENTS - QUICKER PROCESS TO CANCEL
BOOKINGS

You now can cancel bookings from the panel view if allowed.
The existing validation will be made before cancelling and if any penalties result from cancellation, the user will
be made aware before cancellation is completed.

Original cancellation workflow has not been removed – you can still remove a booking by viewing the booking
details.

6. CMS

6.1. VSO #99427 ALLOW NEW SUBSIDY DETAIL DISPLAY FUNCTIONALITY TO BE SWITCHED ON OR
OFF

The recent feature added to the Legend CMS Website, where users are able to log in and see their Subsidies, is
now configurable and can be turned on or off. The feature in question can be seen when navigating to My
Account > Bills & Payments within the CMS website:

The configuration setting for this feature can be found within the CMS Admin Website > Online Services
Configuration >General Configuration

You will need to Search for Display Subsidies in Bills and Payments. Once you have found the setting, use the
drop-down list to set “On” or “Off” and then update.
Note:
It may take 30 minutes for a change in configuration to pull through into the live system.

6.2. VSO # 92326 ALLOW RENAME OF ‘REGISTER’ ACTION IN ONLINE REGISTRATION

The ability to edit the Sports Courses ‘Register’ action text in CMS during the Enrolment workflow has been
added.

To edit the text displayed on the Sports Course Register action log into Back Office and select Configuration >
Stock Text.

Select the Category Sports Courses and select Actions > Edit against CMS Course Registration Text

Edit the text to the desired display name and select Save.

Note:
The Text is cached so update may not appear instantly.

6.3. VSO # 95068 ONLINE EVENTS DISPLAY CLUB, PARENT RESOURCE, SECTOR AND LAYOUT

When viewing an Event booking in CMS, the Facilities and Items tab now displays the Club and Parent Resource
in the header. The tab contains the following fields: Dates, Total, Club, Layout, Sectors and Notes
Note:
When an Event is booked in a Resource with no Parent/Sector configuration the Sectors field is not displayed for
the Event.

6.4. VSO #85703 RENTALS STATEMENT IN ONLINE SERVICES

There has been a Rentals Statement added to the Legend CMS Website. This appears within the Bills and
Payments menu option:

The Rental Statement will be for Corporate online users only. The statement will show Events in a ‘Raised
Charged’ state and above.

Note:
The statement will not yet show ‘Write Offs’.

To turn this setting On/Off you will need to navigate to your CMS Admin Site > Online Services Configuration >
General Config. From here, search for “Display Rentals Bills and Payments”. There is a drop-down option to turn
this On or Off:
7. BACK OFFICE CONFIGURATION

7.1. VSO #96865 RESPONSIVE ONLINE SERVICES IMPROVEMENTS - DROP INS BUTTON

The label of the Drop Ins button within the Legend CMS Website is now configurable:

To configure this button’s label, navigate to Legend Back Office > Configuration > Stock text. At this point change
the “Category” Drop Down to “Website text”:
For the “DropInsText” option, select Actions > Edit:

Here you can set the Location of where the text will show via the “Location” drop down. If you wish the text to
show across all club websites then set this to Enterprise, if you would like specific text for individual clubs then
please set this to the club you wish to change the text for.

Enter the text you would like to read on the Drop Ins button and then select “Save”. This will update the button
for all users navigating to the legend Website from the point you select “Save”.

8. EVENT MANAGEMENT

8.1. VSO #93376 MERGE FIELDS AVAILABLE FOR SET UP AND TEAR DOWN TIME (EVENTS) IN
STOCK TEXT EMAILS AND CONTRACTS

Setup and Teardown information can now be displayed in Contract Versions and Stock Text emails.
In contract versions you will need the following merge fields:
• SetupTimeMinutes
• SetupStartTime (requires date & time formatting)
• TeardownTimeMinutes
• TeardownEndTime (requires date & time formatting)
• SetupTeardownInventory
o Id
o Name
o Cost

These are nested under EventsBooking and ResourceBooking collections. A document can be requested from
Legend Support to assist you during your configuration.

In the EventManagementBookingConfirmationEmail template you will need the following merge fields:

• SetupTimeMinutes
• SetupStartTime
• TeardownTimeMinutes
• TeardownEndTime
• SetupTeardownInventory
o Id
o Name
o Cost

To configure navigate to Back Office > Configuration > Email Templates > EventManagementEmail >
EventManagementBookingConfirmationEmail

The Macro Help section can help you configure your email/document or Legend Support can assist you during
your configuration.

8.2. VSO #99074 ADDITIONAL DATA FIELDS IN ONLINE RENTAL CONFIRMATION EMAIL

There have been improvements to the ‘Universal Basket Bookings Details’ email template. Now, when a
customer receives the email, they will be able to see:

• The Club/Centre the Event is taking place at


• The Resource in which the Event is taking place at
• The Sectors of the Resource that the Event is using.

9. ONLINE TICKETING

9.1. VSO #96422 CHANGES TO THE USER INTERFACE (UI) FOR ONLINE TICKETING TEMPLATE
There have been some UI changes in Online Ticketing for “Add New Sessions and Timeslots” and “Add New
Session Template”; these are to make the FOH and Online Late Payment Cut Off details clearer:

9.2. VSO #85193 ONLINE TICKETING TEMPLATE SEARCH AND CONFIGURATION

There is a new Advanced Search for Templates which is located under Configuration > Session Templates.

Advanced Search supports filtering by Name, Activity, Location and Active state.
• Name filtering is not restricted to an amount of characters and will match any part of Template name.
• Selecting Activity will filter out any template that doesn’t match the search
• Selecting Location will filter out any template that doesn’t have location selected or doesn’t match with the
search value.
• Ticking Include Inactive will display all templates that match the search regardless of the state. If the box is
not ticked, only Active templates will be returned.
• Select Clear Search to remove all custom filtering that has been set.

Once the search is complete, you will get the list of Ticketing Templates that match the criteria. The result will
have the Templates Name, the activity it is linked to, the templates status, whether the template is
enabled/disabled, as well as the Location and Availability of the template.

If no Templates are found, you will get the following message and might need to broaden your search criteria.
MANAGING TEMPLATES
Ticketing Templates can be edited and enabled/disabled from the search result by accessing the Actions option.

By default, all created Ticketing Templates are in Enabled state. Disabling the template will remove it from
session creation workflow and it can be enabled at any point from the search result actions.

Selecting Edit will redirect you to the template properties page.

10. SPORTS COURSES

10.1. VSO # 94917 COURSE TEMPLATE CREATE/EDIT

The Course Template UI has been fully reworked and is displayed as a page rather than a popup window. All
functionality remains the same and existing Template data is maintained.
Note:
Any feature that has not been configured is hidden from the Template, such as Legacy Bookability configuration.

INVENTORY ITEM SEARCH UPDATE


There are now two ways to conduct an Inventory search from within the Template:

Selecting the field to the left of the Search button (magnifying glass) will allow the user to search for any
configured Inventory item by name. A minimum of 3 characters must be entered for the search to begin.

Alternatively, use the Search button to search by Item Name, Item Description, Item Type or Main Category
SELECTING RESOURCES

Changes have been made to selecting Physical Locations for a Sports Course Template. When selecting a Parent
Resource as default no Sectors are selected as default.

Note:
This is a change to the previous Template behaviour.

At least one Sector must be selected for the Template to be saved or for an additional Location to be added.
Any previous configuration will not be affected. On editing an existing template, the user may be required to
reconfirm the sectors to be used where All or No sectors had been selected previously.

ASSIGNING CATEGORIES TO THE TEMPLATE

The Assign Categories UI has been updated and includes minor changes to the way Categories are assigned.

To access the configuration, select Actions against the Template > Assign Categories

See the Configured Main Categories displayed. Select a Main Category to display Sub Category checkboxes to
select from.
Select ‘Submit’ to Save the assigned categories.

Note:
Where current configuration uses a Main Category, on selecting to Assign Categories the user will have to select
a Sub-Category to save their progress.

10.2. VSO #95515 ADD SECURITY TOKEN TO BULK MODIFICATION ACTIONS IN BACKOFFICE

To access Bulk Actions that can modify Sports Courses the user must now have the security token
SC_CAN_USE_BULK_MODIFICATION_ACTIONS. With this token assigned checkboxes are displayed to the left of
the Search Results. Having selected one or more Sports Course checkboxes and selecting Bulk Actions the
additional Actions Bulk Copy Courses (selected), Bulk Course Update (Selected), Bulk Change Course Start Date
(Selected) and Bulk Resource Management (Selected) are displayed.

10.3. VSO #93937/83801 ADMIN FEE WAIVER REASONS FOR SPORTS COURSE CANCELLATION
ADMIN FEE (SINGLE/BULK) AND SPORTS COURSE MOVE ADMIN FEE

Admin Fee Waiver reasons can now be configured and then used to give reasons for withdrawing from a Sports
Course OR moving to another Sports Course.
CONFIGURATION

The configuration of waiver reasons is in Back Office > Configuration > Admin Fee Waiver reasons (under general
settings header):

To configure a new Waiver Reason, select “Create” to the right of the screen. This will bring up a small window
with a blank ‘Reason Name’ field, a tick box that will be set to Enabled as default and an option to ‘Submit’. Any
Waiver Reason that does not have the ‘Enabled’ tick box checked when created and submitted will not be visible
in the list of Waiver reasons, unless the Checkbox for “Show Disabled Reasons” is selected.

CREATE NEW WAIVER REASON

Note:
To have the ability to add and edit Waiver Reasons you will need the Security Token
SC_CAN_ADDOREDIT_ADMINFEEWAIVERREASONS.

WAIVER REASON WORKFLOWS:

1. SELECTING A WAIVER REASON WHEN WITHDRAWING FROM A SPORTS COURSE

There are 2 scenarios where the Admin Fee Waiver reason is now available, but this may be added to in the
future. The scenarios are Withdrawing an individual from a Sports Course or Bulk Withdrawing several Enrolees
from a Sports Course.

INDIVIDUAL CANCELLATION/WITHDRAWAL:

When an Enrolee is withdrawn from a Sports Course, a Booking Cancellation Window appears. If Cancellation
Fees are configured, turned on and then “Override Admin Fee to Zero” is selected from the ‘Override
cancellation Admin Fee’ option then an option for ‘Waiver Reason’ will become available:

Note:
If the option to “Override Admin Fee to Zero” is not used, then you will not see the option for ‘Waiver reason’
appear.

BULK CANCELLATION/WITHDRAWAL:
When ‘Bulk Booking Cancellation' is used to withdraw several enrolees from a Sports Course the workflow is
slightly different. On the enrolees page in Sports Courses, select Enrollee Actions > Bulk Booking Cancellation:
In the above Screenshot there is an option for “Override Cancellation Admin Fee”. Select this drop down and
select the option for “Override Admin Fee to Zero”, upon doing this a new option will appear to the right for
Admin Fee Waiver Reason”:
Here, select the Waiver Reason using the drop down and then select “Next”.

Note:
The use of Admin Fee Waiver Reasons can be reported against in Legend Web Reports.

2. SELECT A WAIVER REASON WHEN MOVING SPORTS COURSES

The ‘Admin Fee Waiver Reason’ for Moving Sports Courses will only apply to an individual person moving
courses, this is because ‘Move Admin Fees’ are currently not available for Bulk Moves.

When an individual is moved from one course to another in Back Office there can be a Move Admin Fee issued
as per single and bulk cancellation from a Sports Course. The Admin Fee Waiver reasons for a Move are
configured in the same location as those for cancellations; all waive fees are configured in the same area.

When Moving an enrolee from one course to another, if a Move Admin Fee is configured, there will be the
option to ‘Override Move Admin Fee to Zero’. If this option is selected, then a further option of ‘Administration
Fee Waiver Reason’ will appear:
The reasons that appear here will be those that are set to enabled within Back Office > Configuration > Admin Fee
Waiver reasons. As per the cancellation workflow, select a Waiver Reason and then select “Next” to continue
through the workflow.

Note:

AUDIT OF WAIVER REASONS – CREATION AND EDITS

Creation and editing of Admin Waiver Fee Reasons are audited in Legend Back Office. To use this functionality,
navigate to Legend Back Office > Audit and for the ‘Audit Event Area’ drop down, select “Waiver Reasons”:
There are 3 ‘Audit Event Types’ available for ‘Waiver Reasons’; “Added Waiver Reason”, “Updated Waiver
Reason Status” and “Updated Waiver Reason Name”. If none of these specific areas are selected from the ‘Audit
Event Type’ drop down, then all new waiver reasons and edits to existing waiver reasons will show. To look at
more specific results, then the search filter must be used.
There is also the option to search by ‘Legend User’. This allows the user to search for additions and edits of
Waiver reasons by a specific Legend user.
Finally, to tidy searches up there are the options to narrow the search using the ‘Date From’ and ‘Date To’ date
pickers. These options will refine your search to bring back additions and edits between a certain date range.

11. TASKS & CUSTOMER MANAGEMENT

11.1. VSO #89433 OPTION TO PRINT INDIVIDUAL CONTRACTS IN GROUP JOINING

On the Group Joining summary page, you now have the option to print individual contracts.

Contract documents can be uploaded in Back Office > Configuration > Customers Management > Document
Templates.

For the member you want to print a contract for select ‘Print Contract’.

A new tab will open, and the contract will be generated.

The member name is now selectable, a new tab will open and direct you the contact details page.

If no documents have been uploaded the print option will not be available.
12. PERFORMANCE AND INTERFACE IMPROVEMENTS

12.1. VSO #88159 SECURITY CONCERNS WITH CACHING IN BACK OFFICE

Security improvements have been made to Caching in Back Office. If a session is left for 30 minutes, the session
will become fully disconnected.

Upon hitting the 30th idle minute, a pop-up window will appear advising you are going to be logged out in 60
seconds. There is an option to remain signed into Back Office:

If this window times out, you will be logged out of Back Office and your connection to the server will be
completely cleared.
