Chapter I

Introduction

Today, technology has a big contribution to our daily living. Even in business and

government offices technology is widely used which will result on easier communication

process, transactions and operations. With the help of technology each of us can easily

click on the computer that will provide all the necessary documents in all departments. For

the advancement of technology tools this will help the employees to lessen their time and

do other tasks that they have.

Insert about manual or previous method of tracking and monitoring

The Supplies Accountable Office and logistics in Southern Luzon Command,

locating of files, not updating the used supplies, misplaced documents and requesting

supplies are the problems they encountered each day. The Web and Mobile based request

monitoring and tracking of supply request will be the solution because it will track and

manages all file movements and supply requests from one department to another

department. Within the system each form will have a tracking code to locate the request

supplies and the status of supplies. In requesting equipment the employee will do a report

within the system, in the first signatory the head of the U4 (logistics) will receive a message

that it is necessarily to approve the request. The first signatory will be able to log in to read

the request list equipment of the employee. It will depend on the head of U4 if it is approved

or not. If the U4 are not satisfied within the request list the head will leave a remarks stating

why it has not been approved and it will return back to employee, the employee will

automatically received an sms that the request list is denied. When it comes to the approval
of the request list of equipment the second signatory of the department will be able to click

the checkbox and automatically the digital signature will appear on the name of the

respective personnel. The Adjutant department will be the last receiver of all data this will

include the time and date of signatories.


Background of the Study

The Web and Mobile based request monitoring and tracking system will help the

Southern Luzon Command to perform a fast transactions of supply request, secured and

paperless to make the task of each employee lessen. This will contain a efficient monitoring

and tracking to locate where the request is or come from. The respective personnel will can

easily access the system using their mobile devices and read the request files wherever they

are. The system will help the SOLCOM to manage all the transactions and processes of

supplies.

Objectives of the Study

The study aims to develop a Web and Mobile based request monitoring and tracking

system will aide the respective personnel of Southern Luzon Command:

1. To develop a system that will ease the process of requesting supplies and equipment

by every department.

2. To create a Web and Mobile based that will update and monitored the status of

request of supplies and equipment that will be used in Southern Luzon Command.

3. To develop a system that will be able to track the issued and transferred equipments.

4. To generate and secured all the report request and supplies monitoring.

5. To evaluate the developed system using Web and Mobile based request and

monitoring of supplies based on ISO 2510 in terms of:

Significance of the Study

Web and Mobile based request monitoring and tracking system aims to develop a

request, tracking and monitoring system that will monitor the status of supply request and

track the approval status for Southern Luzon Command to make every transaction

automated and up to date.

Employees: The proposed system will reduce their work in every department.
SAO: The system will help them in tracking and monitoring of supplies and equipment

wherein they can manage accurately and efficiently.

Scope and Limitations

The study aims to develop a Web and Mobile based request monitoring and tracking

system of requested supplies for Southern Luzon Command. This will focus on tracking

request, monitoring of supplies, archiving files processes done within the departments and

SMS notification for real time monitoring. The mobile based tracking will cover all request

document process for equipment and supply in their office. The users are the enlisted

personnel of SOLCOM. The bidding process and inventory of actual supplies will not be

included on the system because the SOLCOM has the centralize process for this. This will

only focus on the Supply Accountable Office that primarily monitor the overall request of

supplies for all departments.

Definition of Terms

The terms appearing below are defined both conceptually and operationally to

facilitate understanding of the study.

Database is an organized collection data, generally stored and accessed

electronically from an application website.

Website it is a central location of various web pages that are all related and can be

accessed by visiting the homepage of the website using a browser.

Efficiency time behaviour which the response and processing times and throughput

rates of a product or system, when performing its functions, meet requirements.


Functional Suitability is the characteristic represents the degree to which a product

or system provides functions that meet stated and implied needs when used under specified

condition.

Graphical User Interface is a visual way of interacting with a computer using

items such as windows, icons, and menus, used by most modern operating systems.

Maintainability is the characteristics represents the degree of effectiveness and

efficiency with which a product or system can be modified to improve it, correct it or adapt

it to changes in environment, and in requirements.

Performance Efficiency is the characteristics represents the performance relative

to the amount of resources used under stated conditions.

Portability is the degree of effectiveness and efficiency with which a system,

product or component can be transferred from one hardware, software or other operational

or usage environment to another.

Reliability is the ability of an item to perform a required function under given

conditions for a given time interval.

Reliability Probability is the characteristics of a product performing without

failure, a specific function under given conditions for a specified period of time.

Usability is the degree to which a product or system can be used by specified users

to achieve specified goals with effectiveness, efficiency and satisfaction in a specified

context of use.
