Paysquare is a Pune based leading payroll outsourcing company in the business for last 15 years and
handling salaries for 500+ clients having 170,000 employees with a team of 200+ payroll professionals.
Paysquare had a discussion with and based on the same is submitting the proposal hereunder:

SERVICES

A) LEAVE MANAGEMENT SYSTEM

The following activities would be undertaken as part of LMS administration:


Every employee would be able to access LMS module in the same application where payroll details are
available.

1. Using this module employee can transact following:


a) Make application for the Leaves, Compensatory Off and Leave Encashment. These would be
approved by his/ her Supervisor/ Manager.
b) Approve the applications of Leaves, Compensatory Off, Leave Encashment raised by his/ her
direct reportees.
c) Apply for attendance regularization on account of forgot to punch, outdoor duty, work from
home etc… Also approve these requests made by his/ her direct reportees.
d) Employee attendance can be captured via Check In and Check out Buttons.
e) Make the Leave Planner for the whole year at the beginning of year and update the same as and
when needed.

2. Employee can view following reports:


a) List of holidays for the year
b) Daily Attendance report giving the details of in-time, out-time, weekly off, leaves, absenteeism,
late coming, early going, overtime etc.
c) Leave reporting giving opening balance, accrual, usage, lapse, carry forward etc for each types of
the leaves
d) Company Leave Policy & Processes.
e) Leave balances of the direct reportees.

3. HR can do the following transactions using admin login:


a) Viewing the information on timings/ leave balances of all or select set of the employees
b) Updating the shifts of the employees
c) Super administrative rights for approval of leaves/ Updation of adjustment in leaves etc.
d) Various outputs stating the leave calculations/ balances etc for all or select set of employees.

 Paysquare follows international standards in its operations and is SSAE 16 as well as ISAE
3402 certified.
 We have obtained ISO 27001 which deals with information security and availability.

d) Data Security & Confidentiality:


 Web system is on dedicated server with 2048 bit encryption.
 Application and database on different servers and behind hardware based firewall.
 All Employees sign Non Disclosure Agreement on the date of joining
 Entry in the processing area only by using swipe cards. Separate access controls to Server
room only to IT persons.
 Assigned employee only can access the data of Client Company.
 Complex password policy in place.

 The internet connection, USB drives, Floppy Drives & hard disks are disabled on machines.
Data maintained on server only. Individual terminals are not having any storage capability.
 Company specific email communication.
 Intrusion Detection System (IDS) and firewalls are installed.

e) Physical infrastructure
 Processing offices at Pune & Mysore with seating capacity of 200 & 110 respectively.
Customer servicing and business development offices at Mumbai, Bangalore and Hyderabad.
 Web servers installed at a tier-3 data centre in co-location mode. All three sites i.e. Pune,
Mysore and web data centre are connected thru MPLS.
 Dedicated Lease line from Airtel
 Power back up by way of UPS/ DG at both the locations.
 All servers and nods of IBM, Dell and other branded companies.
 Back up of machines, servers, internet lines, AC in server room and all critical components.

f) Disaster Recovery:
 Paysquare has Business Continuity plans (BCP) and Disaster Recovery plans (DRP) in place.
 Servers with Raid facility.
 Daily incremental back up and weekly full back up taken in tapes through LTO stored in Fire
resistant lockers.
 Monthly full back up is stored in a bank locker.
 Back up of Pune data at Mysore and Mysore data at Pune

Upto 100 Employees

 Service tax shall be charged extra as applicable.


 One time set up shall be paid at the time of signing of agreement.
 Reprocessing of payroll shall be charged @ 25% of the monthly fees
