The key features of this system are: 1. Automated process of allotment with minimal intervention from individuals 2. Automated process of vacating residences 3. Online process of application for allotment of residences 3. The process to be followed for this is: () Those desirous of being considered for house allotment have to register and apply online using their salary code (itis a unique code at AlIMS). After registration, you need to fill a form online (some data will be automatically filed in such as name, Grade Pay/Level). (i). The filled form would be forwarded online to the concerned administrative officer (AO) to verify the service details of the employee. Once the concerned AO verifies the details, the employee's name would be included in the waiting list of the eligible and chosen categories of residences. While employees can apply-at any time during the year, the waiting lists will be updated twice a year on ‘st of January and 4st of July of every year. (ii). The flow chart of the house allotment system will be largely similar to the manual system but will be completely automated with no physical letters being distributed. The details are: (a) Once a residence is vacated by the allottee, the concerned Junior Engineer (JE) will verify the vacation online. (b) The vacated residence will appear on the dashboard of the Estate section which will propose the residence to the next person in the waiting list (©) Chairman (HAAC) will the approve the allotment. (@) Once approved, the offer of allotment of the residence will go to the concerned person's dashboard automatically along with an SMS and an email alert.(e) _ The concerned employee will have the option, in the specified time, to either aecepttechnically accept or decline the offered residence. If the offer is declined the “cohéerned employee will be removed from the waiting list for a period of 2 years Once the debarment period is over, the employee will automatically be included in the waiting list. (. If the employee accepts the offered residence, the letter would be sent automatically by email along with an SMS alert. The concerned JE will then enter the approximate time for making the residence fit for occupation and this timeline would be available on the dashboard of all concemed including the allottee (g). Once the residence is physically occupied, the concerned JE will enter the date of occupation and share the information with Accounts Section for deduction of HRA and license fee. 4, The first Phase of the System includes preparation of the waiting list for each residence. The timeline for this process is to prepare the waiting list through the online system by 1 September 2019.
