Acknowledgement:

are abundant and favors are unlimited.” As a mater a fact, people tend to forget those who are
behind their achievements and have stood for them whenever they need assistant. Our gratitude
will be meaningless if we are not grateful to almighty Allah for His kindness upon us. His
benevolence and blessings have made us capable. We are extremely grateful to our course
instructor Ma’am jaweria Tariq who spent a lot of valuable time with us and gave all the related
information and expertise very generously about arrangements.
EXECUTIVE SUMMARY:

Events are happenings, often used to suggest that what happened was on an unusual scale,
Memorable etc. Most of us participated in events but organizing the events are the difficult task to
achieve its objective.
As this was combined project of our courses of performance and compensation. Ma’am jaweria
who is our course instructor assigns us this task to arrange training session in university so that we
get experience for managing project in future by working in form of team.
First, we conduct short research to analyze whether students will be willing to attend training
session in their busy schedule. After analyzing we conclude that students prefer new thing in
collage. We have planned whole session and assigns duties and responsibilities to each member.
Basic purpose for organizing this training session is, to increase confident level and practical
implementation of theoretical concepts studies in course.

At the end of event we learned that how things actual worked. Concepts which we studied in books
were slightly different in real life. Confidence, team, spirit and capability are main things which
required to arrange any event.
INTRODUCTION:

The BBA 7th organized training session. The training was about “How You Get More in Your
Professional Life”. The purpose of this training function was to motivate the students to become
ambitious in their life.
There were 6 committees which were working for the achievement of successful training session.
 Protocol committee
 Discipline committee
 Finance committee
 Press committee
 Marketing committee
 Refreshment committee

Guest: Mr. Ahmad Malik, Ms. Farwa Akhlaq.
Audience: Students from all departments

TYPE OF TRAINING:
The type of training is on the job training. We had chosen the auditorium of Rawalpindi Women
University for the training session.

TIMINGS OF TRAINING:
Training session was conducted on DEC 3-2019.The timing of training session are 12:00am to
1:30pm. The duration of training session was one and half hour. Time was fully managed in
training session. Every committee had done a great job on training day.

OBJECTIVE:
 To achieve more in life
 To gain new knowledge and information
 To develop social skills like leadership or teamwork abilities
 To overcome fear

TASKS ASSIGNED TO EACH COMMITTEE:

1. PROTOCOL COMMITTEE:
There are five members in this committee. The work is divided into each member.
The responsibilities of each members are:
Mehwish Shabbir: Receiving of guest and giving Bucky, shields and certificates to Speaker and
guest during training managed all the matters.
Samra Zafar: purchasing Bucky and arrangement of hall. Receiving of guest.
Hajra Bibi: make invitation cards
Ayesha Saeed: she was the host of training session.
Rimsha Kousar: purchase water bottles.
The several tasks were assigned to protocol committee:
Decoration of hall
Arrangement of hall
Receiving of guests
Selecting members for national anthem
Preparation of hosting
Order of shields,
Purchasing Bucky
Designation of certificates and shields
See off the guests
Decoration and Arrangement of Hall:
The Decoration of hall include the setting of Banner that we all committee member set on the
board of main auditorium. Then arrangement includes cleaning of hall through labors and opening
and closing of hall under our supervision, arrangement of shields and certificates on the tables and
setting of sound system and multimedia.
Preparation of hosting:
From start to end Ayesha Saeed was selected to host the full training session. She had started the
session in the name of Allah, she invited Khansa Arshad for recitation of Holy Quran and mehwish
shabbir for recitation of naat.
Order of Shields and certificates:
they had made arrangement of shields and certificates and Bucky for the guest. The shields were
given to Chief Guest and Speaker. Flower Bucky was given at the time of receiving and Shields
and certificates were distributed at the end of the function. The total cost on shield and certificates
on the shields and certificates following content was:
Name of the guest and speaker
Topic of training
Name of university
Arranged by Business and management sciences department was mentioned.
2. DISCIPLINE COMMITTEE:
Discipline committee consist of six members iqra shaheen, khansa Arshad, Reema khan, sundas
khan and finza Batool.

They had performed many tasks, suchas:

 Selling of almost 50 tickets


 Making of special badges for committee
 Distribution and collection of feedback forms
 Purchasing of refreshment
 Selling of tickets:

There main task was to maintain discipline during training session but we also help our fellows to
sell tickets, we visited different departments of university to raise awareness about training session
and encourage students to attend training.

 Special badges for committee members:

we designed special badges for committee members, which we used during whole session. The
main purpose to design these badges was to distinguish discipline committee from other
organizers.

 Positions of committee members:

for maintaining discipline, the group members were standing at gates of hall. we ensured that every
participant enter in hall after checking that they have brought ticket for training. After entrance in
hall we assigned every participant appropriate position according to their discipline and semester.

 Distribution and collection of feedback forms:

During training session, we distribute feedback form to get feedback of participant regarding
training session we ensured to maintain discipline during all this session.

 Purchasing of Refreshment:
Discipline committee was also assigned with the task to arrange refreshment for guests. So, we
had purchase refreshment. for refreshment they purchase basteries, biscuits, puffs, vegetable rolls
and items for tea.
3. PRESS COMMITTEE:
They perform different task in this training session. First of all, they searched different certificates
design from the Google. Then they select three different designs of trainer, organizers and
participants certificate. they have used online software to design certificates. We also take part in
ticket selling.
 Group consists of six members. Each member performs the following tasks.
 Nimra: Design the certificates
 Zeenat: print the certificate and arrange the trainer shield
 Maria, Rafia, sheharbano, Ayesha: sale the ticket and take the signatures of HOD of all the
departments
Budget:
They had visited to different shops and searched for the best rate of certificate printing. Then they
select the affordable rate and finalize the fiancé. they calculated the total budget which was
41700.After calculating the budget, they approached the finance group to get the amount.

4. MARKETING COMMITTEE:
Marketing committee consist of six members hifsa Zaheer, arooj aziz, irfana touqueer, maria duad,
arooj bint e zafar and iqra Arshad.
Marketing committee performed different tasks, such as:
 Selling of more than 350 tickets
 Designing of invitation cards for the guest
 Design banners for attracting students to attend the training
 Spreading positive words of mouth through effective marketing
 Doing coverage of all the event by taking pictures of all the activities and making videos

Making invitation cards:


The best way to invite guest is through invitation cards. So, they had given the responsibility of
making invitation cards. Being a professional, they had chosen light colors for making cards so
that every single words or quote is clearly visible. The invited guest is:

5. REFRESHMENT AND MEDIA COMMITTEE:


This committee consist of six members Javeria Nisa, Momna Irfan, Ayesha Javed, Alfarih, Naila
Himat, Misbah
This committee performed different task:

 Selling of more than 200 tickets


 Serving the refreshment
 Arranging of all the things required for refreshment
 Doing coverage of event
 Spreading awareness about the training session in hostel

Serving refreshment:
They had served the refreshment on the back side of hall. For serving they had arranged utensils
from the university. They bring all the utensils by themselves on the venue of refreshment and
them they returned back all the utensils to university staff.

6. FINANCE COMMITTEE:
Finance committee consist of six girls Saima Rathor, Anum Farooq and Mahrukh Fatima, Sania
Mumtaz, Tazara Rasheed, Momina Javed and Mehwish Mazhar

finance committee performs tasks such as:


 Making of registration form
 Selling of registration form
 Collection of payments
 Making of feedback form
 Maintaining records of all transactions
 Making list of all girls who are participating in this session

POSITIVE ASPECT OF THE TRAINING:
 The participants were interested enthusiastic about the subject.
 The instruction followed a democratic system in managing their sessions.
 The participants have gained reasonable skills experiences which will enable them to know
about importance of managing their own behavior.
 The hall was comfortable and very convenient.
 Hospitality for the trainees was acceptable.
 The relationships among the participants were in harmony.

EVALUATION:
Training has been evaluated by the participants through evaluation forms and the results were
satisfactory.

RECOMMENDATIONS FOR FUTURE:

Our recommendations for future organizers are:

 Promote your event as effectively as possible.


 Check all political situations in the city as it has impact on the event.
 Get the precious advice from mentors and follow them.
 Check weather updates.
 Involve higher authority in each step because their permission is important.
 Get updated about the marketing trends and follow them through your events.
 Time management, resource management and finance management are key factors to
make any project successful.
 Get in touch with your senior fellows for further recommendation and help.
