2. Three specific situations where business communication skills will be needed:

2.1: Response to a customer’s complaint about the company product.

● Written communication - email; as under such unease circumstances, indirect

communication, will reduce risks of aggressive attitude and give some time for both

parties to consider their words and produce appropriate responses.

● As this will be a permanent record of the conversation, to avoid unexpected future

issues, I will incorporate features of “an effective message”, namely:

+ Clear intention

+ Concise (length of the email)

+ Accurate facts

+ Sufficient information to ensure comprehensibility

+ Respectful and formal language

2.2: Invite customers to a product launch:

● Selling skills + Written communication skills- mass media, social nets and newsletter.

Considering the different audiences of each channel, certain alterations will be made:

+ Mass media and social networks: Concise message for the users’ short-span of attention; Strong

and direct verb choices to evoke interest; Accurate information.

+ Email: As this is often a formal, serious medium and the invited customers are usually those who

possess certain influence in the field, I could show my appreciation more directly with the

formal language and the 5Cs of an”effective language”: clear, concise, complete, correct

comprehensive.

2.3: Business contract negotiation:

● Verbal and non-verbal communication skills: Communicate my opinions in a clear and

solid manner.

● Analyzing and writing skills: produce a contract mutually beneficial to all concerned

parties

● Negotiation skills: Reach a desirable goals but still maintain positive relationships with

the partners

● Interpersonal communication skills: Show understanding; analyze and leverage mental

status of the other parties; build trust and bonds for future coordination.

3. Personal experience:

A while ago, it was the time my best friend underwent an irritating circumstance where her crush

suddenly changed the Facebook profile picture into her face. For her parents were quite strict about her

love life and also her friends on Facebook, she texted me at the speed of light for her fears of their

finding out such a thing. In fact, all the messages came to me very much like a flood that I failed to

process what had driven her so wild like that. After a few minutes of reading and comprehension, I

thought the best solution was to calm her down and convince the boy to take down his profile picture as

fast as possible. As a result, I shortly reply to her: “Hey, just take it easy. Things will have it own way to

be solved. Trust me.”, and rushed to explain her crush about how his action could literally make her

parents kill her. In the end, he agreed to remove the image, yet, before such a happy ending, I was

flooded again by another waves of texts because my best friend consider my reply as “indifferent” and

said “she was so depressed for having no one by her side”. I reckon this as a result of the lack of emotion

expressing when conversing through Internet and also my unthoughtful choice of words under sensitive

circumstances.

Portfolio Reflection:

Textbooks: providing systematic key points in Business Communication and exercises to apply theories.

Portfolio question: helping analyze, organize and filter out the most suitable lessons for myself.

The highlight - Mr. Anh’s repeated emphasis: by putting myself in other shoes, the control of ego will be

much easier. Moreover, to attain “shared knowledge”, I should be empathetic, not win a conversation.

Learning media: the textbooks have shown partial sections as a whole, getting myself prepared quite

good before the lecture. Moreover, the tutor is also helpful for considerately replacing lengthy theories

with concise points and practical exercises.

Takeaways: the 5Cs of an “effective message” and the PAIBOC communication situation analyzing mode.

This session has urged me to remain an open mind to learn from diverse aspects and an open heart to

empathize with others. To accomplish such a thing, I will practise to apply the PAIBOC mode to produce

appropriate responses and curate my team working skills (I have not been so good at reaching a mutual

solution), verbal communication skills (I still say words that hurt people at times) and interpersonal

communication skills (to control my ego and empathize with others).
