Overview
Cashier Application is one of the applications you will be using when you use the NIMBUS Cafe
system.

All cafe stations will be linked to a main cashier station to ensure that all cafe activities will be
logged and monitored accordingly.

This user manual will help you familiarize with the different cashier app features and it’s
functionality.

Let’s get started!

Sign in

● Upon launching the app, the login page will be displayed.


● You will be required to enter your cashier valid credentials.

● You will also see the Need Help? link, located at the bottom left corner of the page.
○ This will give you details on how to reach our support centre should you need
one.

Dashboard
Upon logging in, cashier app’s dashboard will be displayed.

The dashboard has three main sections:

1. Cafe Stations Screen


2. Top Menu
3. Side Menu

Cafe Stations Screen

There are special actions that you can do while navigating through the cafe stations screen.

1. Filters

By default, the system will display all PC stations regardless of their status.

2. View/Legends

Icons Description

By default, grid type is selected.


By clicking this icon, Cafe stations will be displayed in list
View Type view.

Displays the different Cafe stations Type and statuses:


● Regular/Premium/VIP
● Available
PC STATUS GUIDE
● Occupied
● On Lock

● Off
● Under Maintenance

3. PC Icons

Aside from knowing the PC status of each cafe station, you will be amazed about the different
things you can do by clicking specific PC icons. We will go through each and one of the special
features that you can use by just navigating through the cafe station display section.

Turn On/Off PC

Avoid the hassle of going back and forth to each station just to turn it on/off. With this
functionality, it would just be a few clicks away to turn on/off a specific PC.

● Do a right-click on a PC icon with “AVAILABLE” status and a turn off/on icon will be
triggered.

● The system will still confirm if you really want to turn on/off the selected PC.

Note: For this feature to work properly, ensure that “Wake on LAN” is enabled.

Also by just doing a right-click on a PC with “OCCUPIED” status, as a cashier, you can do the
following actions:

Top-Up

With this feature, members who are currently logged in will no longer be required to enter their
username to complete Top-up transactions.

● To do direct top-up, click the PC where the member is currently logged in, then a pop-up
screen will be displayed as shown below:

● The member’s account will be detected and you can proceed to processing the top-up
transaction. ​See TOP-UP module for the succeeding steps.

Transfer Unit

This functionality can automate the PC transfer of a member who is currently logged-in.

● After doing a right-click on the specific PC where the member is currently logged-in,
select Transfer button:

● Select Available units, then click PROCEED.


● A confirmation screen will be displayed that PC transfer has been done.

Force Signout

● After doing a left-click on the specific PC where the member is currently logged-in, select
Signout button:

● Click FORCE SIGN OUT button and select YES to proceed, and the member will be
forced to sign out of the system.

Top Menu

The Top Menu has 4 available buttons:


1. Chat - ​available soon
2. Orders
3. Notes
4. Support

Chat
This feature will be out soon!

Orders
Once members placed orders via the CLIENT app it will be forwarded to the Cashier’s ORDER
queue for processing.

You will determine once an order was placed once a number appeared on the upper-right
corner of the ORDERS icon.

Pending Orders
● To process the order, click on the ORDERS icon:

● A list of all pending orders will be displayed. Note that the latest order received by the
cashier will be placed on top and the newest will be at the bottom.
● By clicking the specific order, details will be displayed at the right section of the screen.

● By ticking the PRINT TRANSACTION RECEIPT box, a receipt will be printed containing
the transaction details once order is processed.
● Once all products of a given order number can be processed, then click ​ACCEPT​ button.
● A ​REJECT​ option is also available should the order could not be processed.
○ If ever an order is rejected, this will show under the transaction history of both the
cashier and the member.

Note:
In case that the client ordered multiple products/items under one ORDER NUMBER, and not
all can be processed due to inventory concerns, etc., As a Cashier, you would then need to
REJECT the order and advise the client to resubmit order excluding the product that is not
available to avoid report/inventory discrepancies.

Completed Orders

● Should you require to Print receipt copy of the order that was accepted and processed,
then click COMPLETED ORDERS.

● Click PRINT RECEIPT COPY button to print receipt.

Notes
The cashier app has its own built-in notepad. You can jot-down important notes and save it
directly to the system’s database. All cashiers using the same station will be able to view saved
notes once accessed.

● By clicking the NOTES button, below screen will be displayed.

By clicking SUPPORT button, a pop-up will be displayed with instructions on how to reach out to
our support.

Note: Please refer to the email displayed on the support section of cashier app. Above
information is for illustration purposes only.

Side Menu

This section is where you can find the main action buttons for the cashier app.
 
TOP-UP ACCOUNT
A member/guest needs to have available credits to use your Cafe’s stations. With Nimbus, you
can process top-ups for both members and guests (non-member).

● To Top-up, click TOP-UP Account button and below screen will be displayed:

● You have the option to choose the type of user (Member/Guest).


● Once you click on MEMBER, user need to enter a valid username:

● Enter the TOP-UP value or select from the predefined amount:

● Click PROCEED button and below screen will be displayed.


● Enter Amount tendered. Change will be auto-calculated when applicable.

● You can issue a receipt by ticking the PRINT Transaction Receipt box before hitting the
PAYMENT button.

Note:
● For Guest Type Top-ups, it would be ideal that you always TICK the PRINT
Transaction Receipt box so you can immediately provide the guest credentials to your
GUEST type clients.
● In case you forgot to print the receipt, you can always check TRANSACTION
HISTORY to retrieve the guest credentials and reprint as required.

STORE
You will use the STORE functionality once a customer would like to do an over the counter
transaction to purchase items/products.

CREATE NEW ACCOUNT

Member registration is done via Cashier application. You also have an option to create
a guest account for customers.

Create Member Account

● Click CREATE NEW ACCOUNT button and below screen will be displayed:

● Complete the registration form.


○ Note​ ​that all mandatory fields must be filled-out inorder to complete the
registration process.
● Select desired top-up value and station type, then click the CHECK OUT button.
● A success pop-up will be displayed once done.
● System will auto-print the temporary password and the username of the member.

Note: ​Transaction details will also be available in the transaction history.

Create Guest Account

Creating a Guest Account is intended for customers who do not want to be a member
but still want to avail some of your cafe services. Perks such as, on-going promos,
special member rates, etc are just will not be available for guest accounts.

● To create a guest account, from CREATE NEW ACCOUNT, select GUEST as


the user type.

● Select desired TOP-up value and Station Type and click the CHECK OUT button,
and below screen will be displayed:

● Enter amount tendered by the customer and hit CONFIRM and success page will
be displayed.

USER RESET PASSWORD


Resetting member’s password can only be done through the cashier. To process user password
reset request, member needs to have a valid username.

● To reset a member’s password, click User Reset Password button.


● Enter member’s email address; system will detect if the username is valid.

● Click the PROCEED button, and a success screen will be displayed.


● System will send a tokenized link to the email address of the member.

NOTE​: Member with email address added to their profile can reset their password

INVENTORY
Managing inventory can be done via the cashier app, although as a cashier, you will only be
limited to submitting quantity adjustment request for an existing product.

If a product/item needs to be added to the cafe inventory, a cafe admin will then need to add the
specific product/ item via CMS.

● To submit quantity adjustment request, click the INVENTORY button and the
INVENTORY screen will be displayed.
● You may submit individual or multiple inventory adjustment request for enlisted products.
● All you need to do is to select the specific product/s by ticking the category checkbox,
then click Adjustments button.

● After clicking the Adjustments button, you will see below screen. You are required to
enter a reason for submitting an adjustment request.
● Inventory adjustment request will be forwarded to CMS and a cafe admin will either
accept/ reject the request.

TRANSACTION HISTORY:

All transactions can be found under transaction history. You have multiple options to narrow
down the results:

As a cashier, you can use:

● By date
● By Transaction type
● Search box

● Once you click on the specific transaction, the transaction details view will be displayed.

SHIFT STATUS

Shift status provides you with the current shift and also the previous day report which will give
you a breakdown of your cafe sales report

● To view your shift report, click the SHIFT STATUS button, then enter the correct
credentials.

● Once correct credential is entered, the current shift report will be displayed.

● By clicking “ ​<​ “, previous shift report shall be displayed.

SIGNOUT

As a Cashier, sign out means two things - Ending your shift or just Sign Out. So you have to
make sure that you select the correct option to avoid discrepancies with your shift report.

END SHIFT
● Upon clicking the Sign Out button, SIGN OUT option is selected by default.
● Upon clicking PROCEED button, a confirmation page will be displayed. To ensure that
you are decided to END your shift, you will be required to enter your password.

Note:​ Once you confirmed END SHIFT, an End Shift Report will be generated and you
will be auto-logged out of the cashier system.

SIGN OUT

You will be signed out of the system by selecting this option from the END SHIFT action button.

Shortcut Keys

Your main cashier action buttons can now be triggered by just using our shortcut keys. Below is
