DESCRIPTIVE ANALYTICS IN EXCEL

EXAMPLE OF WORKSHEET
INSTRUCTIONS:
1) Open the file “Purchase Order”
2) In this file, we will find the following:
 Smallest and largest quantity of any item ordered
 Total order costs
 Average number of months per order for accounts payable
 Number of purchase orders places
 Number of orders places for O-rings
 Number of orders with A/P terms shorter than 30 months
 Number of O-ring orders from Spacetime technologies

3) The following functions will be use for the above:


 MIN(range) – finds the smallest value in a range of cells
 MAX (range) – finds the largest value in a range of cells
 SUM (range) – finds the sum of values in a range of cells
 AVERAGE (range) – finds the average of the values in a range of cells
 COUNT(range) – finds the number of cells in a range that contain numbers
 COUNTIF(range, criteria) – finds the number of cells within a range that meet a
specified criterion.
 =COUNTIFS (range1, criteria1, [range2], [criteria2], ...)

4) Refer to the file :

Minimum Quantity
Maximum Quantity
Total Order Costs
Average number of A/P Months
Number of Purchase Orders
Number of O-ring orders
Number of A/P Terms < 30
Number of O-ring orders by Spacetime
To find descriptive Statistics for Cost per order and A/P terms
1) GO to [Data] tab  click on [Data Analysis]
2) Choose [Descriptive Statistics]
[PS: if your excel does not have the Descriptive Statistics, you need to add in this feature to the
Excel, by following the below steps:]
Step 1: Go to File  choose Option
Step 2: from the left panel, choose [Adds-in]
Step 3: from the right panel of Adds-in, select [Analysis ToolPak]  click Ok button
