As the project leader, you’re responsible for


communicating organizational goals, project
requirements, and changing priorities to your
team. Your team is responsible for completing
the tasks assigned to them. When they have
to stop working to seek out information and
ask for additional clarification or guidance, it
eats into the time they have available to
actually perform the work.

UNCLEAR GOALS

A lack of direction and unclear goals are among the largest


reasons why projects fail. While it may be impossible to predict
every outcome, taking time early on to define and communicate
objectives and goals can radically increase the chance your team
successfully completes a project.

INADEQUATE COMMUNICATION

A study conducted by the Project Management Institute (PMI) revealed that


ineffective communication had a negative impact on
successful project execution.
The project communication plan needs to document and describe how the
project team will communicate project information throughout the life of the
project so that all participants know which changes are approved. This
article, “How to prevent & manage scope creep,” explains scope creep in
more detail, and provides good advice on solutions to the problem.

Misestimating Expenses

One of the most common project management challenges is the failure to


estimate expenses correctly.
Every business has a budget and wants to know the costs before they're
willing to begin a project. A project estimate is your prediction of how much
time and money is needed to complete a project.
It is importanta to adopt a project management tool that can efficiently
calculate, project and help you monitor project costs along the way.

Poor Risk Management


It is one of the major aspects causing projects to collapse, and this has
become an obstacle to each and every project that is being developed
nowadays.

However, for each potential risk, an effective system of internal controls can
be implemented to reduce risk. ... Develop a risk management plan. Having
sufficient insurance to protect against losses is only one aspect. Taking
proactive steps to cross-train is another key way to avoid risk.

Unrealistic Deadlines

When you finish a project with an unrealistic deadline, your reward is


another project with another unrealistic deadline." If you're faced with an
unrealistic deadline from your boss, be sure to let them know your concerns
as soon as possible and explain why you think it can't be done in the time
frame they want.
Talk to your manager about increasing the resources that are available for
the project, recognising that adding resources to the project will make the
cost go up but equally it may allow you to hit the deadline

project objectives. Efficiency is related to how the project manages its
limited resources to meet the goals while building good relationships
with internal and external stakeholders.

CREATIVE PROBLEM SOLVING

Creative problem solving (CPS) is a technique to approach a problem or address a


challenge in an imaginative way.
CPS is a simple process that involves breaking down a problem to understand it,
generating ideas to solve the problem and evaluating those ideas to find the most
effective solutions. Highly creative people tend to follow this process in their heads,
without thinking about it
IMPORTANCE OF CREATIVE PROBLEM SOLVING

No business is immune to problems. Whether in daily operations or strategic


planning, employees are met with daily problems at work. Not all problems
will simply require technical know-how. Many problems, especially when it
comes to growth and driving improvement, will require creative thinking.

When employees use CPS, they can come up with out-of-the-box ideas and
solutions. If you want to make an impact in your organization or drive your
business to greater heights, you need to practice creative problem-solving
skills at work.

Clarify and identify the problem
You must know and fully understand what your goal is or the problem that you’re
trying to solve. To ensure you’re addressing the root cause of the problem, you
can use the 5 Whys technique. You’ll also need to set the criteria to evaluate the
solutions that will be formulated in the next steps.

Research the problem


Gather as much information as you can about the problem you’re solving. Apart
from searching online for reference materials, you can also interview your target
customers or stakeholders, or consult a subject matter expert.

Formulate creative challenges


A creative challenge is a question that is framed to encourage ideation. These are
typical “how” questions, just like the examples presented in our previous section.
Each challenge must focus on a single issue to encourage faster ideation. You can
create one or more creative challenges for your project.

Generate ideas
Take one creative challenge at a time and generate ideas on how you
might solve it. You can do this on your own or with a group. There is no
specific time frame for this stage unless you are working on a time-
sensitive project. And there isn’t a single approach to idea generation.
Whatever your approach is, make sure you take time to document
them.

Combine and evaluate the ideas


Review your ideas and evaluate which ones would best fit the criteria
you’ve set in step 1. Focus on identifying what your most viable
options are. Check if there’s an opportunity to combine some solutions
to make them better.

Draw up an action plan


Once you’ve identified your best solutions, plan your course of action.
Break down your action plan into manageable steps so that it’s easier
to implement. You can draw up your action plan on a kanban board to
keep you on track.

Implement your plan


The only way you’ll know if your idea is good is if you implement it.
Adjust your action plan as you gather feedback and confirm or trump
your assumptions.

EXAMPLES OF CREATIVE PROBLEM SOLVING

• You are working on a project and halfway through you realise that you
have made a significant mistake that may require you to restart the
project to resolve it. How would you approach this so you still met the
deadline?

Answer:

• Stop what you are doing and evaluate the mistake. Is it small enough
to resolve without taking too much time? If so, resolve the mistake and
move on. Alternatively, if there is no other option than to rework the
project (which may impact on meeting the deadline), the first thing to
do is notify your supervisor. You may need to reschedule your day or
work longer to finish the project and meet the deadline.
