The document is a letter from the Assistant Program Head of the Computer Science Department at Northwestern Visayan Colleges to the school president. It proposes a system to manage the college's information systems and files by connecting one computer to a network to serve as an archive, securing it with usernames and passwords, designating a file administrator, and backing up files on internal and external hard drives with periodic printouts as hard copies. The letter requests consideration of these initial suggestions and notes they can be augmented after the assistant returns from an upcoming seminar.

In response to your encouragement to come up with a proposal for
managing information systems of the college such as files of enrollment, transcript of records, school forms, etc., I would like to inform your good office that the following points might be considered:
1. There shall be one computer connected to a network, which will
serve as archive of these confidential files. 2. Username and password for this computer shall be enabled to secure the files; 3. There shall be one (1) file administrator to man the operations of this computer; the lab technician’s services may be requested to act as file admin; 4. There shall be two hard drives (one is internal HDD and the other, external) as backups 5. Printouts of these documents shall be made from time to time as hardcopy; and 6. Other options deemed necessary might be considered.
Please consider these suggestions as immediate solution to the said
problem and shall be augmented upon my return from the seminar on Aug. 6, 2014 at Sarabia Hotel, Iloilo City.
