Repository tool – HP Asset Manager.
• Purpose of this presentation is to walk you through the key
features of the software.
• This not a “how to” demonstration, this is a survey of the
features.
• Warning: just like the orientation you got with your new car –
when you just want to drive away – this will seem long and
boring.
• But, since the product you chose is both an expanding
opportunity for implementing ITAM AND a constraint it is best
that you understand just what is included.

• Apsylog AssetManager (Paris-based company) bought by Peregrine
Systems (San Diego) in ’98 to provide the asset management
functionality with ServiceCenter.
• Peregrine Systems renamed product to AssetCenter
• AssetCenter modified to be the asset management and
procurement central tool for all the other Peregrine tools in ’01 –
– Remedy, Facility Management, Room Booking, Fleet & Rail
Management, e-Commerce, Telecommunications Management, Tivoli
Service Desk
• Peregrine Systems filed for Chapter 11 protection in September
2002
– Peregrine Systems divested many of the products they had acquired
• Peregrine Systems bought by HP in ‘05, renamed products to Asset
Manager and Service Manager

• HP's Asset Management solutions enable enterprises to transform

SMRM Processes Added Value
Service Asset and Provides newly obtained items to tag service assets.
Configuration ITAM is the foundational cornerstone of the SACM process, the ITAM portfolio
Management (SACM) must be managed to permit a lifecycle “cradle to grave” view. ITAM provides

A combination of people, policies, processes and
tools needs to be in place.
• Many companies embark on an ITAM initiative in response to a specific problem, such as an
impending software audit (or shortly after an audit), CMDB implementation or virtual software
sprawl.
• Inventory and software usage tools, which feed into an ITAM repository, can assist with ensuring
software license compliance and monitoring usage of installed applications.
• However, without ongoing visibility, companies will continue in a reactive firefighting mode without
achieving a proactive position that diminishes the negative effect of an audit or providing the ability
to see how effectively the environment is performing.
• In low-maturity organizations, ITAM has a strong operational focus on creating basic efficiencies and
effectively using software and hardware assets.
• With IT budget constraints, companies are looking for ways to save money, and ITAM data can easily
identify cost avoidance and savings opportunities, e.g.,:
– the accurate purchasing of software licenses,
– efficient use of all installed software or
– ensuring that enterprise standards are enforced to lower support costs.
• To gain value from an ITAM program, a combination of people, policies,
processes and tools needs to be in place.
• As process maturity occurs, ITAM will focus more on the financial and spending management
related to controlling asset investment, and will provide increased integration with service
portfolio management. Companies should plan for this evolution in thinking.

Parameterization
• The parameterization of Asset Manager is remarkable in
that it can be implemented and tested from the application
itself:
• A simple right-click on a field, for example, enables you to
immediately make it mandatory. You can then test its
behavior and the result before saving the changes, which
then applies to all users.
• Only certain, important modifications require that you use
the external Asset Manager Application Designer tool.
• Thanks to its immense parameterization possibilities, Asset
Manager allows you to adapt it to the specific needs of
your company.

Asset Manager Application Designer
• Enables you to add new tables to Asset Manager.
• Asset Manager also lets you add supplementary fields and links to the
tables in its database, which can then be used by the entire application:
specific detail pages, list views, reports, APIs, etc.
• You can add three types of supplementary fields:
– Columns, which can be added to relational tables using Asset Manager Application
Designer.
• You can modify its properties: type, length, functional type (monetary, percentage, duration, etc.), destination (for foreign
keys), etc.

– Calculated fields, which are defined as the result of an AQL formula or a Basic
calculation program. They are not stored in the database and can only be used in read-
only.
– Feature fields, which can be defined. They offer a lighter solution, which is particularly
recommended for the implementation of columns containing little information – or, for
temporary additions between releases. These fields and links are implemented in rows
(one record per value) in the dedicated tables. Contrary to columns, they can be
instantly added to a database while it's being used. Yet, it has a few functional
limitations (no monetary conversion, certain limits on links, etc.).

Customizing the user interface
• Asset Manager Application Designer enables you to customize the
Asset Manager native interface by defining detail screens that are
different for each user that customizes them.
• Using Basic scripts, you can automatically display or mask tabs,
fields and command buttons according to the context, thus
improving the efficiency and interactiveness of the obtained
interface.
• Furthermore, the wizards can also be configured in Asset Manager
based on a powerful model using a declarative structure, AQL and a
Basic code.
• Finally, a certain number of existing external solutions (APIs, etc.)
enable you to define screens and Web platforms from outside of
the application.

Integrity Rules
• One of most original features of Asset Manager is that it
offers to define integrity rules at the level of the fields,
records and links.
• There are numerous types of rules, and each one offers a
unique ability to customize.
• We can define:
– A relevance rule, which can make a field or link relevant
(and thus usable and displayable) or not, according to the
context. For example, the user link is not relevant for an
asset in stock.
– Constraints on fields, which makes a field or a link
mandatory. For example, a link towards a stock can be
made mandatory for an asset in stock.

More Integrity Rules
• Constraints on the record, which imposes a consistency rule for a record's validity.
For example, an asset retired from the portfolio can only have a "non applicable"
value for its status.
• Integrity constraints between records. For example, an asset cannot be deleted as
long as it has existing expense lines.
• Default values, which apply to fields and links and are used when creating or
duplicating a record.
• Access-limitation rules, which make a field or a link read-only in the native
interface.
• Historization - The automatic generation of histories can apply to certain fields
and certain conditions. When it is triggered, the history automatically saves the
date, hour and author of a modification as well as the previous value of a field or
link.
• All these rules can be defined easily and by taking into account the context data by
using the combination of Basic scripts and AQL queries.
• Keep in mind that the synchronous workflows further extend the possibilities of
rule definitions and integrity automatisms.

Wizards
• Asset Manager is delivered with predefined wizards that enable you, for
example, to:
– Move users and assets from one location to another. The user chooses an
employee - and the assets belonging to the employee - and moves them all to
the new location. When all this information is supplied to the wizard, the
location is updated for the employee and the assets.
– Manage stocks simply. The user selects assets in stock, an employee and a
location. The wizard assigns the assets to the employee and the selected
location.
• Wizards are useful for both novice users and advanced users.
– Using wizards, a novice user can perform complex tasks more easily and
without needing an in-depth understanding of Asset Manager and its inner
workings.
– The advanced user can create new wizards or tailor existing ones to suit the
needs of the company's internal business processes.
• Custom creation of dedicated wizards requires the use of a scripting
language AQL and Basic.

Wizards II
• Wizards that exchange data with the Asset Manager database
– Data-entry wizards
• These wizards make it easier to enter data into the database and create records
from this data.
• For example, the Create/Modify delegations... (sysCoreDelegation) wizard guides you through
the steps necessary to create a record in the Employees and departments table.
• The information relating to the employee or department is collected by the wizard, which then
creates the corresponding record. The user does not directly enter any information into the
screen; the wizard does it all.
– Data-collection wizards
• Certain actions require the value of a field from the Asset Manager database or
even the value of a variable. The wizards in this sub-group help you gather this
information, then they pass it on to the action.
• E.g., the "Move user" wizard collects data about the assets to move, the user of these assets
and their new location. It then modifies the records corresponding to these items in the
database.
• Independent wizards
– Independent wizards are essentially wizards that calculate or display items.
– You can, for example, create an "Addition" wizard that displays the sum of two numbers
entered by the user.

• Workflows can be used to automatically
generate all kinds of procedures (calculations,
reporting editing, launching external applications,
etc.) at regular intervals. These same workflows
can inspect the database, trigger alarms, purge
obsolete data, launch automatic inventories, etc.
• Workflows can be triggered either by
modifications (creation, update or deletion of a
record) in the database, or at regular intervals.

Workflows II
• Asset Manager contains a comprehensive workflow engine that
simultaneously supports two types of functions:
• Asynchronous workflows, which can be used in particular to define
complex procedures with multiple users.
– are executed immediately within one single database transaction.
– Can be used to accelerate and increase the dependability of your
company's processes (e.g. the purchase-order authorization cycle).
Users have a list of tasks to perform, which is fed by the relevant
workflow activities. Users can start a wizard from this list that can be
used to perform (or notify completion of) this task.

• Synchronous workflows can be used to implement complex


integrity rules.
– For example, you can automatically propagate the modification of the
cost center's location to all its sub-locations.

Steps for Workflow
Workflow under Asset Manager makes it possible to implement company procedures.
Here are the steps to follow:
1 Analyze the procedures of your company that you want to formalize.
– DMADV – Define, Measure, Analyze, Design, Verify
– DMAIC – Define, Measure, Analyze, Improve, Control
2 Create:
– Workflow roles.
– Actions.
3 Create workflow schemes for which you define:
– Activities, events and transitions.
– Alarms.
4 Define the appropriate workflow execution groups. Associate each workflow scheme
with a workflow execution group.
5 Launch Asset Manager Automated Process Manager on one or more machines. For
each instance of Asset Manager Automated Process Manager, define the workflow
execution groups to be monitored and the monitoring parameters.

Reconciliation
• The Reconciliation module enables you to control how you update
records in Asset Manager using data obtained from external tools using
configurable business rules to enable your organization to compare what
has been discovered against what is recorded in the AM Repository.
• In this way you can control the information being used to feed your
database and implement a manual or automatic validation process using
your specific criteria to improve the trustworthiness (accuracy) of your
data.
• The Reconciliation module requires the use of HP Connect-It - provided
with Asset Manager.
• The database administrator can insert a script in HP Connect-It to define
the reconciliation rules.
• The updating of data in the Asset Manager database can be automatic or
manual depending on the conditions chosen by the user.
• One or more integration scenarios enable you to transfer data from an
external application to Asset Manager.

Reports
• Asset Manager includes several tools enabling you to calculate statistics
and generate graphical and table reports.
– Using calculated fields, you can calculate complex statistics for any object in
the database. This is done through the use of Basic scripts and SQL syntax.
These fields can then be inserted into lists and details (in read-only).
– The tree-structure of a list, as well as the fact it can be configured, enables you
to easily create interactive screens. You can also copy these lists manually and
paste them into charts or tables of other applications.
– Wizards can be configured to regularly display graphics and statistics defined
by the user.
– The Crystal Reports (runtime) generator is completely integrated with Asset
Manager and enables you to execute numerous, standard reports.
– Users possessing a Crystal Reports license can also create their own reports
and execute them with Asset Manager.
– Finally, the OBDC driver provided with Asset Manager enables you to use
practically all the report and table generators on the market, in particular,
those using Cognos and BusinessObjects.

Security
• Asset Manager's security model is one of the most extensive on the
market.
• Each user is assigned a profile that is defined based on three points:
– User rights: They define the information to which the user has access
according to the nature of that information. For example, you could assign HR
managers access to employees' social security numbers but hide this
information from Office managers.
– Access restrictions: They define the information to which users have access
according to whom that information belongs. For example, you could assign
the users of the Colby factory access to the records of other employees on
that site but not give them access to the records of users at the Swiss site.
Any condition can be used to filter the information accessible to users and
user groups.
– Functional rights: They define the functions that each user can perform on
data. For example, only authorized personnel can place an order.

– A single text file.

• Asset Manager gives you the possibility of managing two
types of messages:
– Internal Messaging System - Messages issued from Asset Manager
and sent to the Asset Manager database.

types:
– AM (Asset Manager)
– SMTP
– MAPI
– VIM

Itemized Lists
• Itemized Lists enable you to standardize the values
in common, “drop down” fields.
• An itemized list is a list of values proposed by Asset
Manager for populating certain fields (standard fields
in a detail screen, or the value of a feature), e.g. Title,
Position, Country, Brand.
• The out-of-the-box Asset Manager database has
fields which are linked to two types of itemized lists:
– Custom itemized lists
– System itemized list
• prefixed with se (system enumerated)
• not customizable

• List values are stored in the Itemized list values

either a system or custom itemized list.

• Any modifications made to field values and
table links in the database can be tracked and
recorded.
• Every time you create, modify or delete a
value in a field for which the history is kept,
Asset Manager creates a history line in the
History tab of that screen.
• History can be on, off, or based upon a script.

• As soon as history is kept for at least one field or link, a History tab
appears in the record detail window for this table. "History lines" are kept
here, which describe in detail any modifications that have been made to a
field or a link.
• History lines contain several pieces of information:
– Modified on (SQL name: dtLastModif): Date on which the modification was
carried out.
– Author (SQL name: Author): Person who performed the modification (login,
name and first name).
– Field or link (SQL name: Field): Name of the field that has been modified
(short description).
– Previous value (SQL name: PreviousVal): Previous value of the modified field
(except for "comment" type fields).
– New value (SQL name: NewVal): New value of the modified field (except for
"comment" type fields). By default, this field does not appear in the list.
• Asset Manager behaves differently depending on the type of object that is

Work Orders
• A work order is an operation carried out on a
portfolio item to resolve a problem: Service, user
support, repair, relocation, etc.
• Portfolio items can be involved in work orders
(maintenance or service) or can be included in
projects that necessitate their use (need IT
hardware for a long-term training session).
• Asset Manager Work Orders are, roughly,
analagous to Service Manager Request
Management Tasks.

– Internal Work
– Container for tracking labor time expenditures on items
• On Contract Maintenance
– Work associated with a portfolio item already under a
maintenance agreement that need not be invoiced.
• Off Contract Maintenance
– Work orders not covered by the existing maintenance
contract or work orders concerning companies with which
no contract has been signed. In general, these calls are
invoiced.

Work Order Info
• Work orders are described as a tree structure of work orders (or sub-
tasks).
• You can create standardized Work Breakdown Structures to improve the
consistency of execution of work.
– Can be requested from the amModels table.
– Work Orders can be included as part of a Standard Request in combination
with requests for assets, associated contracts – to create a bundle of goods,
contracts, and services (internal and external).
• You can assign as many sub-tasks to a work order as you like – a great way
to coordinate work amongst different groups.
• A work order can be based on a work-order template. A template
describes a generic work order or a standard procedure. The information
defined in the template is copied over to the work order detail.
• Sub-tasks are also work orders. They enable a work order to be divided up
into elementary work orders. All sub-tasks must be performed for the
work order to be complete.
• The sub-task of a work order can be performed sequentially or
simultaneously.

Dashboards
• Asset Manager allows you to create dashboards
that include reports and statistics.
• A dashboard offers an executive view of
information to facilitate decision-making.
• Just like a car or airplane dashboard, it is meant
to include relevant and critical data to help you
anticipate problems and help the smooth running
of your company.
• A dashboard usefulness is thus directly linked to
the choice of indicators that are included.

Statistics
• Statistics are used to display database information in charts.
• Statistics cannot be displayed on their own and must be displayed
via a dashboard or a business home page. Making the statistics
viewable [page 120]
• Do not confuse statistics as described in this chapter with SAP
Crystal Reports statistics described in chapter Displaying a report
with automatic refresh (Windows client only) [page 97]:
– SAP Crystal Reports statistics are used to display a SAP Crystal Reports
report that can be updated automatically.
– When you display a statistics chart, you can zoom in on items of the
chart in order to display the records that are represented by the item.
Zooming is not possible with SAP Crystal Reports statistics.

Bar Code Inventory
• One quick and reliable way to inventory your company's assets and
monitor their movement is by using a bar-code reader to assist with
the data entry.
• The bar-code reader records the IDs of each asset (normally, via a
bar-code label placed on the asset) and some of the asset's
properties (location, user, brand, model) available in a printed bar-
code catalog.
• Asset Manager lets you generate a bar-code catalog in RTF format.
• You will need to do the following in order to make a complete bar-
code inventory:
– Select and acquire the appropriate bar-code readers
– Import and reconcile data inventoried in the Asset Manager
database (using the Asset Manager or HP Connect-It import
module).
