Planning for Product Launching

President (ROMA): Good Morning everyone, as your company President of the Negros Occidental Travel
and Tours, I hereby call this meeting to order. Since we are all present, I hereby declare this
meeting a quorum.

Mr. MALACAD: Mr. President, I move to suspend the reading of the minutes of the previous meeting.

Mr. PALABRICA: I second the motion.

President (ROMA): A motion has been raised to suspend the reading of the minutes of the previous
meeting, and has been duly seconded.
Is there any objection?
Since no one reacted, I presume that everyone is okay with suspension of the reading of the
minutes of the previous meeting. Then we shall proceed. Now, may we call each member of the
board to give their reports pertaining to their position. Let’s start with our Vice President for
Sales. Mr. BUYCO, the floor is yours.

VP Sales (BUYCO): Thank you Mr. President. For details Mr. President, I want you to show you an overview
of our projected future sales?

President (ROMA): Thank you Mr. BUYCO.

VP Sales (BUYCO): Thank you Mr. President.

President (ROMA): We have heard from the office of the vice president for sales, now let’s proceed to
marketing. Mr. PONTERAS, I believe you have a report for us.

VP Marketing (PONTERAS): Yes Mr. President, I have also to show you my plan here. Mr. President, our
marketing associate has something to say about the marketing schemes of the company.

President (ROMA): Thank you Mr. PONTERAS for that comprehensive report. We have heard from our first
two departments, now let’s proceed to the last one, may we have a report from the operations,
Mr. MALACAD the floor is yours.

VP Operations (MALACAD): Thank you Mr. Chair. The office of the Vice President for operations is doing its
best to give the best we can offer to please and satisfy our customers and travellers. We have
given special discounts and offers to loyal customers and we actually have this membership card
for frequent travellers. This is of course a great suggestion from our Vice President for marketing
Mr. Prado.

That’s all Mr. President.

President (ROMA): We have heard all the reports from our three departments.
Are there any unfinished business?

VP Sales (BUYCO): I believe there is none Mr. President.

President (ROMA): Thereby none, we can now proceed to our main agenda which is to plan for the
upcoming product launching.

VP Marketing (PALABRICA): Mr. President, I move that we have our product launching.
And I move for the adoption of this motion.

Mr. MALACAD: I second the motion

President (ROMA): A motion has been raised and duly seconded to have our product launching.
The floor is now open for discussion.

VP Marketing (PALABRICA): Mr. President, I believe that May 17, Tuesday, is a good date since it is near the
middle of the week. If we have it on Monday, we won’t have any time to prepare the day before
the launching itself.

Mr. MALACAD: Mr. President, I agree with what Me. PALABRICA said. Tuesday is a strategic day for the
launching.

So Mr. President, if you allow, I move to amend the main motion by adding the words
“on May 17, Tuesday.” After the words “to have our product launching” so if amended it will be
read as “to have our product launching on May 17, Tuesday.”

VP Marketing (PALABRICA): I second the motion

President (ROMA): A motion has been raised and been seconded to amend the main motion by adding the
words, “on May 17, Tuesday.” After the words “to have our product launching” so if amended it
will be read as “to have our product launching on May 17, Tuesday.” So the motion to amend
the main motion by adding the words, “on May 17, Tuesday.” After the words “to have our
product launching” so if amended it will be read as “to have our product launching on May 17,
Tuesday.” Is carried.

Let’s proceed.

VP Operations (MALACAD): Mr. President, (wait to be recognized), as for the venue of the launching, I
believe that the Ayala Mall Bacolod – active zone is a great spot for the launching. We can
attract a lot of possible clients and travellers, not to mention ties with companies already there
in the ACTIVE ZONE.

Mr. PONTERAS: I agree with Mr. MALACAD Mr. President, the active zone is a usual spot for product
launchings in most of the successful companies now. And I believe they can give us affordable
and reasonable rates for growing companies.

VP Sales (BUYCO): Mr. President, I have connections with the Ayala Malls, I can inquire for their rates as to
the rental of the sound systems, stage, chairs, electricity and the whole of the active zone on the
17th of May.

Mr. PALABRICA: Mr. President, I believe everyone have stated their piece, so I move to amend the
amendment of the main motion by adding the words, “at the active zone, Ayala Mall Bacolod”
after the words, “On May 17, Tuesday” so if amended it will be read as “to have our product
launching on May 17, Tuesday at the active zone, Ayala Mall Bacolod.”

VP Operations (MALACAD): I second the motion

President (ROMA): A motion has been raised and seconded to amend the amendment of the main motion
by adding the words, “at the active zone, Ayala Mall Bacolod” after the words, “On May 17,
Tuesday” so if amended it will be read as “to have our product launching on May 17, Tuesday at
the active zone, Ayala Mall Bacolod.” As for the details of the programme, list of sponsors, I will
assign this to our VP for Operations and VP for Marketing.

VP Marketing (PALABRICA): Mr. President, I move to lie on the table the planning for the details of the
programme and list of sponsors on our next special meeting scheduled tomorrow.

The reason for this is that the office of the VP for Marketing and VP for Operations will
still meet to comprehensively organize the logistics.

Mr. MALACAD: I agree Mr. President, as the sales associates I am also tasked to seek sponsors for the
event and to take charge of the logistics.

President (ROMA): all right then, we shall lay on the table the planning for the details of the programme
and list of sponsors on our next special meeting.

Mr. PONTERAS: Mr. President, I call for the previous question which is the main motion with
amendments

President (ROMA): The previous question has been called for. For those who are in favour to adopt the
main motion with amendments which is to have our product launching on May 17, Tuesday at
the active zone of the Ayala Mall Bacolod. So the main motion with amendments is hereby
adopted.

Are there any other motions from the board?

Mr. PALABRICA: I believe there are none Mr. President.

President (ROMA): Any announcements from the board?

Mr. MALACAD: Mr. President, I would like to personally remind everyone of our meeting tomorrow may
13, Friday still here at the President’s Conference Room.

Mr. PONTERAS: Mr. President, I would also like to personally remind everyone that our brochures are
now ready, 5 partial boxes have been produced and everything will be available by Tuesday,
May 17, during our product launching.

President (ROMA): Thank you Mr. PONTERAS and Mr. PALABRICA for the announcements, are there any
other announcements?

VP Sales (BUYCO): I think there are none Mr. President, so I move that this meeting be adjourned.
