2011 TAEA Houston Area Youth Art Month (YAM) Competition and Exhibition

Friendly Reminders:
Please read carefully, there have been some changes!!!
Be Professional, please be patient as we are always in need of volunteers
Follow the guidelines, this will minimize errors
Take pride in your students’ work, please mat properly

Eligibility:
Only current TAEA members who have paid their membership fee by the contest date may
submit student work for this show.
Each TAEA member may submit a maximum of six entries
All entries must be original work of the student

Categories: (specify grade level or Art I, II, III, IV, etc.):


Note: If you teach 5th and 6th grade, you must fill out two separate forms with two separate portfolios
• Elementary K – 5
• Junior High/Middle School/Intermediate 6 – 8
• High School Art I, Art II, Art III, Art IV, etc.

Guidelines for Two dimensional works:


Must be exactly 18 x 24 inches including the white mat. There will be no exceptions and work
will not be accepted at check in.
Mats must be at least two inches wide all the way round and may contain a colored insert if
needed.
2D work must be submitted in a sturdy portfolio with one inventory form attached outside and
one inside for repacking at the end of the competition.

Guidelines for Three dimensional works:


Work cannot exceed 18 inches in any direction.
Each 3D piece must be packed in a separate box with a copy of the inventory form taped or
glued to the box indicating the work contained
3D work is not eligible for the Traveling Show

Additional Guidelines FOR ALL WORK:


Paperwork must be complete, typed and printed with the correct amount of copies at the time
of check-in. Handwritten forms will not be accepted
There must be 1 portfolio for each teacher, portfolios holding artwork for more than one
teacher will not be accepted.
If you teach 5th and 6th grade, you must have 2 separate portfolios with separate inventory and
entry forms.

Inventory Forms - Make four (4) copies of the completed form
(1) One copy attached securely (taped or glued) to the exterior of the portfolio (2D) or box (3D)
(2) One copy placed inside the portfolio or box for repacking at the end of the competition
(3) Submit one copy at the check-in table
(4) Retain one copy for your records
Entry Forms - Make two (2) copies of the completed form for each work entered
(1) An entry form must be securely attached to each artwork according to the directions on the
entry form
(2) The second copy of the entry form must be turned in at check-in (1/2 of this copy will be
returned to you at check-in)

Please do not walk around the school to look at entries, unless you are authorized personnel, no one
is allowed beyond the second check-in table.

Pick up and Return of Entries:


All entries not selected for the exhibit must be picked up by the teacher or a designated person
between 3:00 PM and 4:00 PM at T. C. Owens Intermediate School on the same date. No early
pick-up is allowed.

Judging: 11:30 AM - 1:00 PM (The school is closed at this time and will not open until 3:00)

YAM Exhibit Information:


The YAM exhibit will be held at the Glassell Jr. School, 5100 Montrose Blvd. Houston, TX 77006. A total
of 75 pieces will be selected for the exhibit. The Traveling Show will consist of 45 pieces taken from the
75 art works exhibited. These works will be displayed in 12 locations over the next twelve months. Work
from the 2010 TAEA Area VI YAM Traveling Show will be delivered to the Fine Arts Supervisors in March
2011.

FAQ:
How do I type on a PDF format?
When you RSHQ D PDF file in the Adobe Acrobat program, scroll down to the field desired. Begin

What is considered a portfolio?
2 poster boards stapled together, anything with a sturdy front and back held together on 3 sides is
acceptable. Please remember that each teacher must have their own portfolio even if one
teacher is dropping off multiple work for other art teachers, they all must have separate portfolios.
If this is not followed, work will not be accepted.

Am I able to view the art work that is dropped off or take pictures?

No one is allowed past the 2 check-in table, therefore work cannot be viewed. This will cut
down on work being damaged or misplaced. Please do not ask a volunteer or YAM coordinator if
you can view the work. During pick-up time you will only be permitted to walk to the library/pick-
up area to take art work that was not selected for the exhibit. A CD will be provided at the
supervisor’s meeting so that your art supervisor can make a copy of it on their flash drive or a
slideshow will be provided on the TAEA website.

Can I pay my membership fee at the contest?


Membership fees must be paid before you arrive to the school. Please print out receipt as
proof of payment if you pay your membership a week before the contest date.

Am I able to volunteer on the day of the contest event?


Absolutely! We are always in need of volunteers. Please see the volunteer coordinator after
checking in your student entries. ☺

Remember; be kind and courteous to the folks working this event. We are all judges,
educators, area representatives and volunteers donating our time for the benefit of you
and your students. Feel free to offer suggestions or your time to make this event run

The TAEA Area VI Representatives will use this information for YAM volunteer
purposes only. Please Indicate times you are available to work, the shifts are listed
below. You can choose longer shifts or work the entire event time of
8:20 AM- 4:20 PM (you’ll be surprised how time flies).

There will be a short YAM training to ensure the volunteers know their job duties so that
