Purpose

Time recording is a business process that allows an employee to record his time and activity against
a project.

All work within the organization is divided into various projects. The projects are classified into
customer projects (revenue-generating) or internal projects (no revenue).

The data generated by business process would be used to determine an employee’s attendance for
payroll purposes as well as determine effort and cost in management accounting.

Policy
1. All employees irrespective of their position will record the effort every day. It is a daily
process.
2. Time entered by the employee shall be approved by the project leader of the projects against
which the time is booked. A project leader approval makes the record valid.
3. The project leader shall ensure that the time entered is accurate and does not exceed the
actual time spent on the project.
4. HR verifies the record for consistency and conformance to any existing policies including the
policy on timesheet, shift assignments and employees work goals.
5. HR approval releases the time record for payroll as well as accounting purposes.
6. While the time entry is a daily process, corrections are allowed till the end of the month.
7. The last date for entry of timesheet is 2nd day of the next month. Beyond that no more
changes or corrections are possible.

Roles
1. An employee is a user of the system who enters the time.
2. 1st Level approval is done by project leader of the project to which the time is
“charged”.
3. 2nd Level approval is done the HR leader of the HR Group to which the employee
belongs.
