Templates contain “standard” information to help you get started quickly. instead of entering tasks, you may need only to edit tasks. For this instead of clicking on the Gantt Chart, you can directly click on the required template and start or else if you ate in Gantt Char view then Go to File > New and select the required template. Ifyou select any template other than Blank Project, Project displays a new project that contains tasks relevant to the title of the template you selected. You ean use this project as a starting point for your project and modify it as needed. This is the main working area of projects Enury Table ‘The Entry Table will hold a listing of every task included in the project and will show calculated details for each task. The entry table contains columns like indicator field, task mode, task name, duration, start, finish and ete ‘Theres also an option for insert columns Bar Chart “The Bar Chart will show bars drawn to represent the time span of each task against a calendar timescale Customized Ribbon The customized Ribbon is placed in top of the screen. Note: f the view bar isnot visible then rightclick on the lft end of the Gantt chart and select View Bar 1 CALENDAR CHAPTER 3 Wy INTRODUCTION TO CALENDAR Calendars are used to set project and resource working times to accurately reflect resource availability information. Calendar is primary means by which you control when each task and resource can be scheduled for work in a Project CALENDAR TYPES MSP 2013 uses the following types of Calendar. Calendar Base Calendar Project Calendar} Task Calendar Resource Calendar} Standard 24 hours Night Shift Figure 3.1: calendar Types BASE CALENDAR ‘A base calendar is used as a template of project calendar, task calendar and resource calendar, The base calendar is of 3 types. They are Standard, 24 hours and Night shift Standard ca ‘The traditional working day is from Monday to Friday and from 8 A.M. to 5 PM., with one — hour break (12 PM to 1 PM) each day. Only one of the base calendars serves as the project calendar thas no nonworking time. TASK CALENDAR ‘Tasks can have their own calendars. By default tusks are scheduled based upon the project calendar. You can modify those calendars by clicking Change Working Time on the General tab of the Resource Information dialog box. You can also create and assign resource calendars for individual resources or resource groups to indicate specific working hours. For example, you can assign a resource to the swing shift or night shift. You can edit the resources calendars to indicate nonworking time, such as vacations and leaves of absence. Note: Ifyou set up the same calendar each time that you create a new project, consider saving a completed project as a template or adding the calendar to the global file. nas THE CALENDAR Go to project menu > Properties group > click Change Working Time. * Click Create New Calendar. ® Ifyou want to begin with a default calendar, click Create new base calendar. This is also used to specify periods of non ~ default working time and holidays. To specify a period of Non-working time, click on the exception tab. TIME SCALE AT A DIFFERENT LEVEL By default, the timescale displays two tiers, but you can customize it to show up to three tiers: Top tier; Middle tier, Bottom tier. In Gantt chart right click select Nomworking time, and then lick the Top tier, Middle tier or Bottom tier tab. ® On the tab for the displayed timescale tier, in the Units box, click the time unit you want to use. You'll spend much of your time in Project adding and modifying the tasks. In this section deals how to get staited creating a project by entering tasks, duration, milestone ete. TERING TASKS ‘The first level of ereating a project in Microsoft Project is to enter the task name and the duration. If you're not familiar about the sequence of events, Project makes it easy to reorganize tasks in your schedule at any time. For the sample project (organizing an annual meeting), follow these steps to create your first task (book the meeting space) and this is basic to enter the task: Click the Task Name column in the first row of the Gantt table. ‘Type “Book Meeting Space”, The text appears in the cel. © Press Enter to accept the text. When you enter the task, the ID is created. Each task has a unique ID number, but it does not necessarily represent the order in which tasks occur. Information begins to appeat in your schedule. Project lists the task name in the Task Name column, Duration of the task has to be entered. Start date can be fixed by using the calendar which appears by pressing the down attow on the side of start date column. They are Task Mode Manual Schedule Mode Figure 4.1: Task Modes Auto Schedule Mode MANUALLY SCHEDULED MODE: ‘The manually scheduled task placed anywhere in your schedule, and Project won't move it. This new feature gives you greater flexibility and control over planning and managing their schedule. No bars appear in the chart portion of the Gantt chart view. Only after entering the duration the bars will be appeared in gantt chart in light blue colour, The Manual schedule mode is indicated graphically in the chart. Tasks with dependency relationships are linked. ‘A task that must occur before another task is a predecessor task, The task that occurs later in the relationship is. a suecessor task. Fach task can have multiple predecessors and successors, Tasks with dependency relationships are linked. Gantt Charts show these links as lines running between taskbars, an arrow at one end point to the successor task. Some dependency relationships are simple and some relationships are much more complex. A work breakdown structure clement may be a product, data, service, oF any combination thereof. WBS is hierarchical and incremental decomposition of the project, into phases, deliverables and work packages. WBS is also called as an organized method of dividing a product into sub products at lower levels of detail. Hierarchical decomposition of work is called work breakdown structure. Last Deliverable of work breakdown structure is known as Work Package. The rules of decomposition of project into work breakdown structure are: Rule 1: WBS component should be mutually exclusive. Mutually exclusive means there should not be any overlap or duplication or repetition of elements in work breakdown structure. © Rule 2: 100% Rule 100% rule mean all the lower level should contribute to the higher level, Rule 3: Stop when you know it is enough.
