BUSINESS PLAN FOR “YEAH COOL CULTURAL EXCHANGE”- BUENOS AIRES

Organization and planning for the first event (to take place around the last week of april)

Objectives:

● To adapt and refresh the graphic image of the Argentinian Yeah


● To build-up a name for the organization and get it to be known in hostels and bars around
the area of San Telmo and Microcentro
● To collect as many followers as possible on the Facebook and Couchsurfing page.
● To come to an agreement with a bar or venue around the area to host the get-together.
● To create a strategy to attract as many people as possible to the event.
● To find a partner/worker that will aid in the process.

The Project will consist of 6 phases for its develpment:

1. The Build-up
2. Get-it- out-there
3. Get signed
4. Tie the knots
5. The callout
6. The Get-together

1. THE BUILD-UP

This phase will consist on refreshing and adapting the image of the organization so that the
Buenos Aires división has its own thing that will set it apart from what already exists in the market.
This phase is really important as it will set the tone for what will happen at the party and the
material created will be the front face for the second stage of the project. Consistency on the
graphic line is the main goal, as well as something that reflects life in Buenos Aires (algo muy
porteño). The building of the facebook page and other social media profiles will also take place on
this stage.

ACTIONS TO BE TAKEN:

✓ Research into information on the projetcs that have taken place in other countries. Check
Facebook pages, previous events photos, newspaper articles (Cali), website, videos, etc.
Any information that will work as a starting point for the graphic line and the such.
✓ Build-up corporate image (business cards, logo, sample poster/template, flyers, t.shirts (¿)
etc. )
✓ Create (or re-create) the Facebook page. Also look into other social media such as
Couchsurfing and create a profile there.
✓ Print and create a portfolio of collected and created material to take to meetings.

DEADLINE FOR COMPLETION: Friday, March 14th.

2. GET-IT-OUT-THERE:

This phase will consist on going out the the hostels and bars around the área and start talking
about the Project. All material will be taken personally and if there is a partner already involved
this person should come also. Also look for other sources of people, such as language schools.

ACTIONS TO BE TAKEN

✓ Research and create a map of the hostels and bars that attract tourists primarilly.
Pin-point places to go and categorize them in order.
✓ Get in contact with the people in charge of hostels and talk about our offer to see where
we stand in regards of the feasability of the Project.
✓ Research into alternative Word-of-mouth places such as language schools. Talk with the
person in charge to see about the possibility of inviting students to come over.
✓ Get in contact with people at bars in charge of events who we can negotiate with to start
building a foundation for future contact.
✓ Collect as many likes as possible on Facebook and start getting people on other social
media deemed appropiate.

DEADLINE FOR THIS STAGE: Friday, March 28th

3. GET SIGNED

This phase is all about getting in contact directly with the people in charge of the bars and venues
that we can negotiatie with. The main goa lis to get the best deal possible and something that will
accomodate to the dates we have in mind (end of april). This stage will determine how the event
should be treated (party, get togeter, etc…) according to what can be negotiated at the bars. This
stage might be the most complex and will take some time.

ACTIONS TO BE TAKEN:

✓ Research into bars, boliches or cafes willing to negotiate the event.


✓ Contact the people in charge of the events and planning.
✓ Get the best deal possible.
✓ Decide wether its convenient or not to charge an entrance ori f consumption shall be
included.

DEADLINE FOR THIS STAGE: Starting on the 24th of march until the 11th of april (or whenver a
good deal comes along)

4. TIE THE KNOTS

This stage will be some sort of closure for the two previous stages. Once a deal is signed with a
bar, we can finish what we started when contacting hostels and we can now come along not with
a plan but with an actual event with a date and a place.

ACTIONS TO BE TAKEN:

✓ First, the posters meed to be updated and printed (flyers, banners, etc.)
✓ Details such as decoration and all the logistics involved will need to be taken care of
accordingly.
✓ Set an adverstisement plan with full detail for the promotion of the event.

DEADLINE FOR THIS STAGE: April 15th (or sooner if a deal is signed earlier)

5. THE CALL-OUT

On this phase the objective is to shout out to the people to come. This is, invite personally and on
as many ways as decided previously on the marketing plan.

ACTIONS TO BE TAKEN:

✓ To develop the marketing plan.


✓ To invite as many people as possible.
✓ Consistent and intense publicity for the last days prior to the event.

DEADLINE FOR THIS STAGE: The day of teh event (April 28th?)

6. THE GET-TOGETHER:

This is the final stage. It obviously consists of the actual event night.

ACTIONS TO BE TAKEN:

✓ Take as many photos as possible and handout cards for people to look for the photo on
Facebook so they hit like and we build a bigger foundation for the next event.
