1. ENQUIRY LETTER

You may have several occasions to write in to enquire about brief or detailed information on:
courses, seminars and so on in many other areas. You can enquire by telephone, telegram, fax, telex
or postcard. But if you need to write a letter, the presentation, content and layout depends on what
you are enquiring about. Remember to write proper business letters.

If you need to give more information about yourself or ask the recipient of your letter for more
detailed information, the content of the letter should include:

1. Information about yourself/ Firm/Company


2. How you heard about the centre / firm/ company.
3. Request for information/ catalogue/ price lists/ brochure/ prospectuses / samples/
demonstrations/ details
4. Ask for discounts/ terms/ methods of payment
5. Closing paragraph.
If you think the reader might have further questions, you can suggest that he or she contact
you; e.g. 'If you have any questions, please do not hesitate to contact me'.

Useful Expressions In Writing Enquiry Letter

Paragraph 1, Sentence 1:
a) I would be grateful if you could give me details of the local tours your company provides.
b) I am writing to enquire whether you could send me details of the local tours your company
provides.
c) Please send me details of the local tours your company provides.

Paragraph 1, Sentence 2:
a) I would also be very grateful if you would be able to send me information about your one-day
tours.
b) I am especially interested in one-day tours.

Paragraph 2, Sentence 1:
a) My friend recommended you.

Paragraph 2, Sentence 2:
a) This is for a staff outing.
b) Like him, I am planning a social outing for my staff members.

same.

Final Paragraph

2. APPLICATION LETTER for INDUSTRIAL ATTACHMENT

In writing any application, the format of the letter is merely the same. However, the content of the
letter depends on the purpose of the application.

3. THANK YOU LETTER

Writing a thank you letter is not only extremely important but is also a common courtesy. There are
various times when writing a thank you letter is appropriate - anything from a formal, after-interview
thank you letter to a casual, from-the-heart thanks to the person you love or appreciate. Writing a
thank you letter will always serve as a kind gesture.

A thank you letter demonstrates thoughtfulness, which is a characteristic many employers and
people value. Since so few take the time to write a thank you letter, someone who does will indeed
be remembered.
Your thank you letter does not need to be lengthy. Just a few kind words even, will show that you
put some time and thought into your message.

Guide to Thank You Letters


After a job interview, there are several ways you can keep the potential employer's attention on YOU
as the likely person to hire:
1. Immediately write a Thank You Letter to the interviewer. Write it right after the interview, and get
it in the mail the same evening so it arrives in the next day or two. Below is a Guideline and a Sample
Thank You Letter.
2. Send a Follow Up Letter soon after that, if you do not hear from the interviewer within, say, a
week.

In the first paragraph, thank the interviewer (or express your appreciation) for the chance to meet
with them to discuss the job and see the premises (use the term "meeting" rather than "interview" if
it seems appropriate). Make some reference to your positive impressions of the company.
In the second paragraph, offer some new information or additional reason for the employer to be
interested in you for that job-perhaps a "goodie" that you didn't mention in the interview. (You
might even link this new information to a problem or opportunity the company is experiencing.)
Repeat the job title you are applying for, and show continued interest in it.
In the last paragraph, let the employer know (graciously) that you expect to hear from them again
and "plant" the idea in her mind of a phone call to you. Make it clear you're willing to come in and
discuss the job further, if necessary.

you, and of course I'd be pleased to meet with you again, if necessary, on fairly short notice.
