SAP Tutorial for Beginners

The primary question is why does enterprise resource planning, also known as ERP,
be required. To answer, let's examine this typical business scenario A customer
approaches the sales team to purchase a specific product Sales team approaches
the stock department to check product availability In this case, the product is not
available The sales team approaches the production planning department to
manufacture the product. The production planning team checks the stock
department to ensure the availability of raw materials. If raw materials are not
available in stock, the production planning team purchases raw materials from
suppliers. Then, production planning redirects the raw materials to the execution of
the shop floor for actual production. Once completed, the store floor team directs
the merchandise to the sales team, who then delivers it to the customer. Sales
team updates the finance department with the generated revenue By selling the
product. The production planning team updates the finance department with
payments made to various vendors for raw materials. All departments approach HR
to any human resource related issue This is the typical business process for any
manufacturer Some of the main conclusions that can be drawn from the scenario
will be. A typical organization has many departments or business units. These
departments or business units continue to communicate and exchange data with
each other. The success of any organization. It lies in the effective communication
and exchange of data within these departments. As well as associated third parties
such as vendors, outsources and customers. Based on the behaviors in which
communications and data exchange are managed. In general, enterprise software
systems can be classified. As decentralized systems Or centralized systems, also
called ERP. Let's look first at the decentralized systems, in a company with a
decentralized data management system. Data is kept locally in individual
departments. Departments cannot access information or data from other
departments. To identify emerging problems From decentralized enterprise
management systems. Let's look at the same business process again. The customer
approaches the sales team for a product. But this time, the product is needed on an
urgent basis. Sales team, you do not have access to real-time information to
inventory products. So they approach the inventory department to check product
availability. This process takes time and the customer chooses another vendor.

and purchase raw materials. Thus, material costs increase in addition to inventory
costs.

guide to SI P so if you know nothing
about Sip this was the session that
you want to be in if you're a seasoned
SIP prole you don't want to be in this
session because you already know all
the things I'm going to cover if you
stick with me for the next 25 minutes
or so here's what you'll get out of
this session I'll cover what SI P is
obviously and I'll share with you some
stats and some information why it's
so important to have SI p skills these
days and if you feel ambitious and you
think you want to get started learning
about SIP then I also share some tips
on the best way to get started
learning about SIP my name again is

been in the SI P world for over 20
years I started as a junior consultant
in the early 90s nowadays I speak a
lot at national si P conferences I

questions so let's get started who
wants to work for these companies
Apple Google Microsoft these are
great companies to work for obviously
but all in the technology field
nonetheless good companies or how
about any of these companies so
you've seen all of these logos before
these all big giant global companies in
any kind of industry really
so hell care transportation airlines
manufacturing consumer goods energy
services spanking the point I'm trying
to make here is all of these companies
have something in common and you
probably guessed that all of these
companies use saP so when we talk
about who actually uses sa P or what is
sap Sap is a company it's the largest
business software company in the
world
not a lot of people realize that but
yeah so when it comes to business
software I say P is the worldwide
leader in it in fact 80% of the
Fortune 1000 companies run sa P
software and I just read another
study the other day that said 87% of
the global 2000 companies run sa P
software so and in fact that's just
about every large business in the
world runs sa P software or there's an
87% chance that they run sa P
software the other 13% that don't
run sa P software they probably run
Oracle most of them that's the
number one competitor to sa P Oracle
has a similar software system and
they're the biggest competitor but
again 87% of the market is owned by
ASAP so most companies by a mile use
sa P software in fact the stat here
270,000 companies run sa P software
I just read another study that
actually pinned us at over 300,000 so
that number keeps increasing so about
300,000 companies run s AP software
in a hundred and eighty countries now
I have to look up this morning how
many countries there are in the world
and Google says there's about 195
countries so s AP software runs in a
hundred and eighty countries so
that's basically all over the globe you
can use this software so what is s AP
it's a German software company then
s ap it's a German abbreviation it
stands for this Tama up because
shown and po gamma or in English
systems applications and programs
companies headquartered in beautiful
Waldorf Germany that's about an
hour south of Frankfurt right next to
Heidelberg if you have a chance to go
there it's really really pretty but
yeah so there the headquarter this
disk giant company is headquartered
in this tiny little village called
Waldorf there were about 80
thousand employees worldwide and
last year they made about twenty
three billion dollars in revenue that's
US dollars that sounds like a lot of
money and it is but it never really
tells me anything what is twenty three
billion so I have a couple of
comparisons here for you Facebook
last year made 27 billion Google made
a hundred billion dollars Microsoft
also around a hundred or 90 billion
Apple made two over two hundred
billion dollars so it gives you an idea
where ASAP ranks as far as in terms
of size right so it's a very very large
business but compared to some of
these other well-known names it's it's
it's rather small if you look at it that
way now why
should you care about s ap I'm
guessing you are in this session today
because maybe you have a co-worker
and that co-worker works with sa P
and tells you about it or maybe your
company told you they are
implementing sa P and you're gonna
have to learn it or maybe your
company already is on sa P and you
just got a new job or a new role and
that company and now you have to
learn it or maybe you're applying for
jobs and every job ad that you read
says sa P experience required those
are typically the reasons why people
start emailing us or chatting with us
saying hey well how do I get started
what is this sa P thing all about alright
so now I want to give you a couple of
stats or reasons why s ap skills are so
important and why you should
probably care about it on LinkedIn
there's over half a million people just
in the US alone that lists SAP skills on
their profiles also sap has college
training programs and we currently
have 1/4 million students college
students enrolled in training programs
so these are kids that will graduate
soon and they already have a basic
skill level in s AP entering the job
market so a lot of people already know
a sap and and that's good because the
job market is pretty hot so let's talk
about the most important most
interesting thing jobs and salaries we
get this question a lot where people
asked us oh I work in so-and-so is
that something that I can do in the
ASAP world or is there a job in the s
AP world for me so I wanted to just
list a few areas where people work in
an essay
P so some of the common SCP job
roles so for example you might work in
the finance world or accounting world
and that could be any of these areas
general ledger accounts receivable
payable asset
account in controlling doesn't matter
anything related to finance there's
plenty of common s ap job roles in
that area and if you're not in finance
maybe you are in logistics or what s ap
calls
the supply chain management for
example you might work in sales right
if you're a sales rep you probably
work with a CRM
system it could be as a piece CRM
system or you work in distribution or
procurement you purchase stuff same
thing there's lots of common s ap job
roles in here same with warehouse
management or inventory management
and also people always think that when
you
work with s AP software
that means you have a desk job you
work in an office not so at all so for
example you might be working on a
loading dock at the warehouse
receiving materials and you still can
work with siP so this is not related to
just desk jobs maybe you work in
human resources
and you are a personnel administrator
or run payroll for your company or you
are more on the analytic side and you
know
how to run reports and do data mining
for big companies that's a very hot
area these days or maybe you are
more on the technical side it could be
a system administrator or a
programmer in SA P or
maybe even that database
administrator those are all areas
where you find a lot of different
common sa P jobs so it's not just an
accounting system it's not a
supply chain system not just an HR
system it's all of these things and I
pulled some stats here for average
salaries now before you get all
excited about these numbers I want
to put an
asterisk next to it these are average
salaries that we pulled and these are
salaries for people with a minimum of
five years of sa P experience right so
if you're new to sa P obviously you will
not reach these salaries just yet
nevertheless I wanted to share them
with you just to show you what the
opportunity is as you can see there's
different roles in sa P you could be a
project manager you could be an
analyst you could be an end-user a
consultant or a technical developer
and sa P again as a there's a big
variety of job roles in there and also
it does it matters of course if you live
in Houston or if you live in New York
City or here alone there's a 40%
difference in average salaries but the
point that I'm trying to make here is
that these are very high
salaries all six-figure salaries
we broke that down into into the
different job categories here and
looked at different cities or the
major cities in the US and we did it on
indeed it's all public information you
can just log
in and do a search yourself and you
find all these salaries as you can see
these are all $100,000 plus jobs again
this is with the five year experience
and these
are average salaries so some people
will make more money other people will
make less money right but the average
salaries a very very attractive in this
area in fact the outlook for sa P jobs
is very good CNN Money did a study
on this or an article on this a few
years back where they rank the 100
best jobs in America and number 51
on that list was
actually an s AP job at SU P
consultant related job and also the
bureau years Borough of Labor
Statistics they come out with with
stats every year they said that the
job for an SI p project manager
will increase the demand for that job
will increase 15% every year for the
next can remember five years ten
years out or so so these are very good
job prospects if you want to enter the
sIP world okay so what is se P then
right
I've given you some stats on the job
market I've told you a little bit about
the company but I haven't really
explained what the product is right
people always say well I work with saP
they don't mean that they don't
actually
mean I work with a company s ap what
they mean is I work with some of sa
peace products so and I want to talk
about this for just a few minutes and
the way I always explain it to my mom
is this good when I first told my mom
that
I work with s CP she thought that I
fix computers for a living which is of
course not true so I always ask no do
you know what this is QuickBooks and
many people know they understand
this is a
software that small businesses use to
run their business so for example
here at Michael management we're a
small
business we use this software
QuickBooks for our own business right
we run our accounting system on it we
keep track of our customers and
vendors we write
invoices in there we do our payroll our
accountant runs profit and loss
statements and balance sheets and all
that stuff so that's what we use not a
question of course is well why couldn't
a fortune 1000 company use this why
couldn't I be M or Apple use this
software and the answer is it's not
big enough
all right so IBM might have thousands
of people logging into the system
simultaneously or QuickBooks couldn't
handle that also we know iBM has
offices
and probably a hundred eighty
countries around the world well the
software doesn't come in 180
different languages but s AP does also
we know the tax 4 systems and in all
these countries they're different
from one country to
another the currencies are different
the accounting standards are
different in
all these countries so this software is
QuickBooks software couldn't handle
any of this stuff but as ap does so s
ap can meet legal accounting
requirements in
the US just as easily as they can in
France Belgium and Russia the
software handles all of that and
that's the reason why I say P is so
powerful because it can be used in any
location any currency any language any
industry by any country by any
company and that's
the reason why I say P is such a
powerful solution and in fact the
market standard for large businesses
so this
QuickBooks you know that comes in a
box that you can literally buy at Best
Buy and and install on your computer
in an hour s AP software doesn't come
like this ICP has a lot of different
systems and here's just a glimpse and
overview of some of their products
when people talk about that
they work with sa P most people what
they mean is they work with an ERP
system enterprise resource planning
system that's sa piece flagship
product that's the main core product
but they have a lot of other systems
as well so they have a different
system called CRM
it's a customer relationship system
the opposite of that would be an SRM
system supplier relationship
management these are all different
products that sa p
sells and that company can choose to
implement at their business so it
makes it pretty complex to
understand all the different products
that sa P offers I
wanted to share some random
screenshots with you because maybe
you've heard from
people that sa P is very cumbersome
to work with are very complex and
difficult and and I won't lie to you yes
sa P is pretty complex and and
complicated to
learn it's not an easy software to
understand and work with and in the
old days it was pretty ugly to be
honest you know when I started with
sa P over 20 years ago this is what
the screenshots looked like it was just
this ugly gray screen with just some
fields and buttons
on it that's what we work with 20
years ago now we've come a long way
in the SIP world so here are some
some random screenshots of sa P what
it looks like today it's much more
there's a much more
modern look to it it's it's it's fresh
it's easy to work with and doesn't
look like those old ugly grey screens
anymore that brings me to a point
where I wanted
to ask you know do you have any

not just
gonna use sa P for a few years and
then pick something new so these
systems once they implement it this
will be around for decades 10 20 30
40 years and more the technology is
actually constantly
evolving for example these
screenshots and have shared these
old ones they don't exist anymore of
course because s ap constantly
involves constantly develops
new applications right now the big
movies s AP and the cloud so so I
wouldn't say that s AP technology is
old quite the opposite I would say
they constantly work on updating it
and improving it so I hope that helped

what is sa p1 nor business one you
probably
mean let me see if I can go back to
our slides here here is the slide with
some of sa P's products right as you
can see here it's something called
business one on the right side that's a
solution for small to medium
businesses ok so when
some somebody talks about they're
working with sa P business one that
means they're working for a small to
medium company and there's a
different software system that sa P
offers it doesn't have all the
functionality that
you would see over here on the left
side with a big ERP system probably
comes in fewer languages can handle
fewer Accounting Standards that sort
of thing

intelligence business intelligence is
another ASAP system it's a reporting
tool and analytics tool it can combine
data from many different ASAP
systems
and external systems - that allows you
to do reporting and analytics any

welcome to the session on erp
overview we'll take a look at s AP erp
how it started and evolved from its r1
days to current r3 and now ASAP ECC
days a bit about the company history
and then we will look into the ASAP
system and see how we work with the
key components of ASAP a quick
history of the company and the
products as if we started in 72 and
was founded by five former IBM
employees just one year later it
released the first accounting
software that was called the RF
software which subsequently came to
be known as the r1 release in 79 it
released the art 2 system which was a
result of new hardware and software
provided by IBM in 91 was the release
of SPR 3 and this was presented at
the cbut the annual SP conference in
Hannover Germany this product met
with overwhelming approval
due to its client-server concept
uniform appearance of graphical
interfaces consistent use of relational
databases and the ability to run on
computers from different providers
in 99 the CEO has so Plattner at that
time announced the my SP comm
strategy which basically was a
way of connecting the back-end ERP
system to the latest ecommerce
platforms in 2004 was the launch of
SP netweaver which was the new
integration and application platform
current focus is on real-time data
with offerings around
Hana and the business suit which
encompasses ER

company evolved and its product
offerings developed a quick
look at how the erp market and the
definition itself evolved in the early
70s there was no real concept of an
ERP system with its r1 system as if we
developed a software product that
handled processed data in real time
and saved it to a central database
this meant that companies could
access their own data quickly and have
a high level of control and
transparency in the 80s these
systems came to be known as
standard ERP systems since SP had
broken new ground in this area it
became the market leader in the 90s
ecommerce became popular as a result
business processes were defined that
stretched across the company
boundaries planning data from
business partners was used to
optimize company's supply chains
sales orders were not only entered
directly in the ERP system but also in
the field by field service employees
using mobile devices these new
functions led to the development of
new products such new
dimension products led to an
enhancement of the ERP functions in
2003 SSP redefined the concept of
an ERP system it is no longer a system
with a database instead it is a
combination of products
covering basic processes such as
purchasing sales and production in the
area of Human Resources accounting
and basis technology it corresponds to
the enhanced solutions of the new
dimension products this SP ERP
solution is compatible with additional
components enabling business
processes to be find on a cross
company level we now try
to log into the SP ERP system the SP
GUI program connects the front-end
computer with a specific ASAP
system at the backend to start the
SP GUI SP provides another program
SP logon which has to be installed by
your administrator onto your laptop or
your machine when you call a recipe
log on a window displays a list of the
SP systems for which you can
start the logon process so this is the
list of systems that we can log on to
this list is derived from a file on the
front end computer SAP logon dot ini
file this file is normally
pre-configured centrally and made
available to end users during logon the
SP logon program also enables logon
load distribution which basically
means that if there are thousands of
users logging on at the same time the
load would not go to one server would
but would be distributed to many
servers that are typically present in a
production environment so we now log
on to the ERP 6 which is the latest
release of SP ERP and we get this
screen essentially the key elements of
the screen are the client the user ID
password and the language so the
client is something that is provided by
the administrator along with the user
ID and the password so my user ID on
this system is user 35 I enter my
password choose my language and then
I just enter
the system I can also set a new
password
using the icon here so when I log in
this is what my screen looks like
I see the standard s AP menu I can
also
have a user role based menu so if I go
to menu I see the user menu is grayed
out because the system settings have
not
been made for the user menu so what
I
see is the recipe standard menu what
you
can also see here is the system you're
logged in so if I scroll down a little
bit and I click on this button
I should be able to see further details
which system am I logged on to
what's my
client
what's my user ID which program am i
running currently what's the
transaction
code for that program will go to
transaction codes
in a bit the response time and some
other technical details so all these
details are retrieved from the button
here what I can also do is when I type
in my data I can use insert mode or
overwrite mode just by clicking on it I
can change I can go to a specific
transaction in the standard SP menu
so
for example let's go and see how we
create a sales order
so I go to logistics sales and
distribution order create so if I
double
click here the system will take me to a
screen where in I can create a sales
order so this is what the screen looks
like create sales order initial screen
will come back to the screen in a little
bit but essentially if my job involves
creating sales order very regularly I
can simply add this transaction to my
favorites so you see the favorites
folder here if I add this transaction
this is linked to my favorites now now
there are multiple ways of getting to
the transaction one is by using the
menu
and double clicking when you finally
reach the transaction you want to
work
with the other one is the transaction
code so to create a sales order the
transaction code is va0 one as you get
more experience with working with
the
system you can simply type in V is
zero
one here at the top command menu
press
ENTER and it takes you to the same
screen in favorites you can also add
transactions and other objects other
objects can be a URL for example so I
might want to type search with Google
and then when I double click on this it
will open a new browser window so
let's
have a quick look at that so there you
go the Google window is opened
triggered
by my favorites within ASAP if you
want
to work with more than one SP window
open there are two ways of doing it
you
go to this icon at the top here I'll
just make it a little more visible one
here and you say create a session so
now
I've got two sessions running in
parallel the other way is to you go
back
and log in again while you initially
logged in already as if we will give you
a warning so let's see what happens so
I
now try to log in when I'm already
logged in so I get a message saying
multiple logins to the production
system
using the same user are not part of
our
License Agreement now this is not a
production system but this error is
still generated so I have an option to
terminate this logon or to continue
with
both logs or log ons at the same time
so
for now we'll terminate this and go
back
to our two logins here a shortcut again
a command line if you want to create
multiple logon
is simply /bo so generate and then so
that's another way of coming up with
a
second window now some of these
commonly
used commands are very useful to
know
and we will just see some of the most
popular ones so here are the most
frequently used commands slash and
cancels the current transaction /ou
that
we've just seen it creates another
session initially displays the overview
of all the sessions you have and then
you can generate another one and so
on
so these are some of the useful and
frequently used commands that might
be
good to know about we will now take a
look at using help and personalizing
the
user interface so let us go back to our
transaction of create order so this is
my initial screen now if you go to sales
organization and press f1 you get
information about this field what is it
all about and how to use it pressing f1
will give you information on the field
and how to use it it will also give you
technical information so if I go to
technical information so tell me what
the screen number is what the
program is
the table the field name and more
importantly the parameter ID VK o
now we
will see how this parameter ID is used
say if I enter hundrds of orders
every
day and for each order I have to
manually enter in this information is
there a way I can default it because
there may be several sales
organization
in the ACP setup as you can see there
are hundreds 103 entries but I want
to
default a specific one the one where I
work the one in my country so I open
up
another session slash zero and now I
go
to a transaction for maintaining user
profiles now in the parameters
I scroll down and I enter BK o and I
enter the sales log 0 0 0 1 which is
the
sales dog that I normally work with I
save and now when I launch the sales
or
the create transaction I should
automatically get 0 0 0 1
sales dog defaulted and there you go
so
this is how you personalize the system
and reduce manual data entry going
back
to user maintenance su 3 I can also
set
my default so decimal notation date
format my time zone default language
etc
we now take a look at some system-
wide
concepts underlying the ESP system if
you have to work with an SP ERP
system
you must know the meaning of these
key
concepts and how to work with them
so
the first one is organization this is a
company's enterprise structure
mapped on
to SP applications using s appease
organizational elements the master
data
is created centrally and available to
all the applications and all the
authorized users master data also has
an
organizational aspect because it's
information is organized into views
that
are assigned to organizational
elements
transactions are application programs
that execute business processes in
the
SP system examples include creating a
sales order that we saw previously
changing a customer master or
displaying
a sales order list report for example
so
here is an example of how the espys
organizational elements are set up to
map on to a real company at the top of
the hierarchy you have the client the
client is the highest level element of
all the organizational elements it
represents the enterprise the
headquarters or the main group
holding
company below this is the company
code
company code is a legal independent
accounting unit representing the
central
organizational elements of financial
accounting the company code also
represents the tax law represents the
fiscal calendar the local currency and
the tax reporting requirements
several
company codes can be grouped in a
controlling area for example Europe
could be a controlling area where the
company code
Germany France etc so controlling
area
is essentially a grouping organizational
structure entity org unit and position
are HR Human Resources related org
units
so the org unit here describes the
various business units that exist in an
enterprise often units are loosely
defined as functional or regional
department positions are individual
employee assignments in the
enterprise
so position could be sales rep head of
department service engineer and so on
a
sales organization is the central
organizational elements in sales order
management that controls the terms
of
sale to the customer a plant can
manufacture products distribute
products
or provide a service the plant is the
central organizational unit for
production storage locations are sub
units under the plant level plant
material stocks in inventory
management
can be differentiated according to
storage location so for example in a
steel plant you might have raw
material
in one storage location and
work-in-progress in another one and
finished goods in a third storage
location all under the same plant the
master data is essentially of three
different types customer master
material
master and personnel Master shown
on the
next slide so let's talk about
customer
master first a customer master
contains
key information that defines the
business relationship between a
company
and its customer company code data
controls of posting procedures and
subsequent processing such as
payments
and Dunning sales organization data
provides information on customers for
support execution of
processes as entering sales orders

the customer masters three-part
structure is represented by general
data
this data is equally relevant to every
company code and every sales
organization within a company the
general data is normally at this level
the client level then you have the data
for company code this data reflects
company specific agreements with the
customer and then data for sales this
data has different characteristics for
a org units and their relationships form
company sales organizations and
channels
next you have the material master the
material master contains all the key
information a company needs to
manage a
material within its organization the
material master defines how a
product is
sold manufactured purchased
inventoried
accounted and calculated the
information
in the material master is grouped into
views that are organized by business
functions as shown here the majority
of
the views you should keep in mind are
at
the plant level for a material master
then we have the personal record
personal files are master data records
used primarily by SP HR Human
Resources
are now known as HCM human capital
management these master records
follow
the same basic segmented structures
as
to the other master records the
aughh
elements used by SF EHR are unique
and
as a group they are referred to as log
management not to be confused with
the
overall of Management this is HR
specific AAG management so at the
highest level is the HR org unit this
describes the various business units
that exist in the enterprise multiple
the org structure
all units can be loosely defined as
function
or regional departments or as a
project
group depending on the type of
organization positions are the
individual employee assignments in the
enterprise and persons occupy these
positions a position inherits a jobs
characteristics but you can also
define
additional characteristics specific to
that position a person holds positions

transactions are application programs
that execute ACP business processes

is copied into the transaction avoiding
re-entry of data for example when

is entered the relevant material data
will be copied into the sales order
whenever a transaction is executed in
the system a document is created this
document a data record of the
transaction contains all of the
relevant
predefined information from the
master
data and AAG elements so let's have a
look at the system now to see how we
deal with master data and how we
create
transaction so let us first look at the
customer master so where do you
expect
to find the customer Master under
sales
logistics sales and distribution
master data business partner so you
have
different types of business partners
we
want to look at customer incidentally
if
you don't know where in the menu to
look
for a specific node you can always use
this search so let me try to look for
customer
let me first collapse this so say I
don't know how to find my customer
node
just enter tell fine and directly you
are at the correct place so customer
I
want to display my customer and I
want
to display the complete data the
differences as you saw earlier there
are
multiple views that the customer may
have we want to look at all the views
and not just the ones relevant for
sales
and distribution so like double-click
and this information is pre entered if
it's not you will have to enter it

the top you see different sets of data
so you have company code data sales
area
data and general data so the one we
are
looking at now this is sales area data
it has all the sales relevant details
shipping details the billing details
and the partner functions involved so
this is my material master and this is
what it looks like and I can make any
changes that I need to make over
here
now let's have a quick look at the
material master so I don't know
where my
material might be so let me just use
this shelf material management that's
where I expect to find my material
master if the system finds more than
one
results of your search it will take you
to the very first one but you can click
on this next height item to go to the
next one so material was the first one
the system found then material price
if
I continue doing that I should be able
to reach my material master relatively
quickly but of course once you work
with
the system you know where exactly
you
would hope to find the material
master
that's and the logistics material
management and right here is material
master so instead of searching for
material like I did had a searched for
material master we'll just close this
node first and then search for
material
master
I'll go straight here so we want to
display now the difference between
these
two display current and at key date is
that you can make changes to a
material
master which are active only at a
future
date so you can do your material
planning accordingly what we want to
see
is material at the current date the
system says which views do I want to
see
so as you can see here there are so
many
different views grouped under main
tabs
like sales view MRP view and so on and
I
can select one or more views to work
on
I'll just select them all for now
and now I need to enter my
organizational level so this material
might be existing for different plants
and for each plant it might have a
different say evaluation price or
other
characteristics so the system is
saying
which plants characteristics
corresponding to this material do you
want to see now so I've have a plant in
mine which is 1200 and the sales is
thousand and I press enter and so I
go
to my material master now if you
scroll
to the right you'll find that I can
quickly jump to different views so I
jump to MRP one directly I can either
use these tabs here or I can use this
list here
I also have additional data which I can
enter descriptions unit of measures
and
I have the log levels as well where I
can see this materials of features at a
specific storage location which I
didn't
enter in the beginning
I can classify the material especially I
am working with configurable
materials
typical example is the car industry
where you might have as a back-office
entity the color of a car the shade
the
tires and so on and so forth that's
when
you typically use configurable
materials
and this is my basic data one where
you
have volume weight various sorts of
details so this was a quick look at the
material master now let's look at what
a there is some information that the
transaction might look like so now we
will create a transaction we will not
create an order but we will create a
quotation so the transaction code for
a incomplete information it wants you
quotation is VA 21 but if you do not
know that you can quickly search for
where quotation might be it's likely to
be under sales and distribution there
you go and you have a quotation I'll
create a quotation this is a standard
quotation type and this information
has
been defaulted from my profile and I
enter my customer and enter my
material
5 7 8 I need to enter the quantity as
well if I don't I will get an error so
let's see how that works this is my
error enter order quantity the system
will tell you what you've missed out so
I enter quantity 1 and everything has
been defaulted all I've done is enter
mais customer material but you find
that
all this information at the header
level
and at the item level has been taken
from the customer master and from
material master so this is the header
level tabs and if I go here and double
click I can see the item level tab so
for this sales document item this
material all these
so my quotation is ready I have got a
price for the coat and I can just save
it at which the system will generate a
unique number that represents the
coat
I'm getting a warning message saying
system still needs I can save it and
the
system will generate the number but
let's just have a look at what is the
know
till when is the quotation valid
quotation typically has validity date
from and - so we need to enter those
here so let's just do that so it's just
valid for one day
and then I get the message that my
document is complete let me try to
save
it once saved successfully I should get
a unique number representing this
quotation and I've got this number
which
I can see by saying display this is my
number and this is my quotation that I
created so this is how the
transactional
document brings together different
elements of data from the master
data
