Dear Parent or Guardian,

I am writing to you to inform you that your child, James, is having some trouble in my class. He
has a chronic problem with late work. Almost every assignment James turns in is late. As I
stated in the class syllabus at the beginning of year, all late work gets 10% deducted from its
graded score for each day it is late. This means that after 10 days, including the weekends, the
assignment will have a zero. Having so much late work has drastically reduced James’s grade
in my class and it is concerning since I know he is a smart kid.

I am proposing that you, James, and I create a plan that has James completing different
assignments than the rest of his peers. These assignments will be longer and less frequent than
what he is used to but can be able to be done at his own pace. He will only have 1 due date a
month which will be the last day of the month. This will allow you as his caretakers to know
when his assignments will be due and allow for the late work deductions to stop diminishing
James’s grade. I will have to make the rule that he can not have any more late work with this
new system since that is the whole point of this new structure.

This is simply one idea that I had. If you and/or James have a better idea of how to fix the
chronic late work issue please let me know at my email, teacher@school.edu, or give me a call
at, 480-555-1234.

Sincerely,

Megan Rice
