Assessment Information

The assessment tasks for BSBADM506 Manage business document design and development are
included in this Student Assessment Tasks booklet and outlined in the assessment plan below.

To be assessed as competent for this unit, you must complete all of the assessment tasks satisfactorily.

Assessment Plan
Assessment Task Overview
1. Manage business documents You are required to manage business document design and
project development for a case study company.
2. Business documents testing project You are required to ensure that the business documents
function as expected.
3. Business documents training You are required to write instructions and then give a
project training session to the company staff who will be using the
templates.
4. Business documents monitoring You are required to evaluate feedback on the use of the
project templates that you have developed and make some
improvements to these.

Assessment Preparation
Please read through this assessment thoroughly before beginning any tasks. Ask your assessor for
clarification if you have any questions at all.

When you have read and understood this unit’s assessment tasks, print out the Student Assessment
Agreement. Fill it out, sign it, and hand it to your assessor, who will countersign it and then keep it on file.

Keep a copy of all of your work, as the work submitted to your assessor will not be returned to you.

Assessment appeals
If you do not agree with an assessment decision, you can make an assessment appeal as per your RTO’s
assessment appeals process.

Assessment Instructions

Each assessment task in this booklet consists of the following:

Assessment Task Cover Sheet


This must be filled out, signed and submitted together with your assessment responses.
If you are submitting hardcopy, the Cover Sheet should be the first page of each task’s submission.
If you are submitting electronically, print out the cover sheet, fill it out and sign it, then scan this and submit
the file.

The Assessment Task Cover Sheet will be returned to you with the outcome of the assessment, which will
be satisfactory (S) or unsatisfactory (U). If your work has been assessed as being not satisfactory, your
assessor will include written feedback in the Assessment Task Cover Sheet giving reasons why. Your
assessor will also discuss this verbally with you and provide advice on re-assessment opportunities as per
your RTO’s re-assessment policy.

Depending on the task, this may include


 resubmitting incorrect answers to questions (such as short answer questions and case studies)
 resubmitting part or all of a project, depending on how the error impacts on the total outcome of the
task
 redoing a role play after being provided with appropriate feedback about your performance
 being observed a second (or third time) undertaking any tasks/activities that were not satisfactorily

Assessment Task Instructions


These give questions to answer or tasks which are to be completed.
Your answers need to be typed up using software as indicated in the Assessment Task Instructions.

Copy and paste each task’s instructions into a new document and use this as the basis for your assessment
task submission. Include this document’s header and footer.

If you are submitting electronically, give the document a file name that includes the unit identification
number, the task number, your name and the date.

Checklist
This will be used by your assessor to mark your assessment. Read through this as part of your preparation

Assessment Task 1 Instructions

Carefully read the following:

Grow Management Consultants is a small consultancy company specialising in leadership development


services. These include training for members of companies’ management teams and providing networking
opportunities to managers from a wide variety of companies.

To assist with having a more corporate and standardised approach to documentation, you have been
contracted by the company to design and develop a number of business documents that are produced by
Grow Management Consultants. They have also recently commissioned a design company to produce a
new logo and a Style Guide, and it will be your responsibility to use these to ensure that the company’s
documentation has a similar, modern look.

You will begin the process by designing and developing templates for the following documents as these
have been identified as key documents used by the company and that are reviewed by customers:
 Project Proposals
 Conference Program
 Newsletter
 Strategic Plan

As a first step, you will be meeting with the company’s Operations Manager, Margaret Burns, who will
discuss what the company expects from you over the next few weeks.

Complete the following activities:

1. Participate in a meeting to discuss document requirements


You are required to participate in a short meeting with the Operations Manager (your assessor)
to discuss the company’s documentation requirements.
You will also discuss the ways in which the document should comply with the company’s style
guide, so make sure that you are familiar with that document prior to the meeting.
Following the meeting you will be required to write a briefing report so as to confirm the
company’s requirements, so read through the Briefing Report Template before attending the
meeting so that you know what information you need to find out.
Bring along a pen and paper, or your laptop, to take notes.
During the meeting, you are required to demonstrate effective communication skills including:
 Speaking clearly and concisely
 Using non-verbal communication to assist with understanding
 Asking questions to identify required information
 Responding to questions as required
 Using active listening techniques to confirm understanding

1. Write a briefing report


Following the meeting, write up your notes, using the Briefing Report Template.

Your briefing report should include, as a minimum, the following:


 An introduction
 Summary of the company requirements. This should include how the text will be
entered into the documents, how the documents will be stored, and how they will be used.
The requirements should also include the quality of document design and how the
documents will be produced. You should also identify and summarise legislation that the
documents must comply with.
 The company’s current information technology capability and how this will impact
the design and production of the documents.
 The budget for developing the new document templates.
 The purpose, audience and information requirements of each document.
 Details of at least two local experts who could assist the company with developing
their web-based documentation document design and development in the future.

Save this document as Briefing Report.

2. Send an email to the Operations Manager (your assessor).


The text of the email should be in grammatically correct English, written in an appropriate (polite,
business-like) style.
It should introduce and summarise the contents of the attachment and seek their feedback and
approval to move forward with the project.

Attach your Briefing Report to the email.

2. Create a Project Proposal template


As set out in the meeting, although project proposals have been written often in the past, there
is no formal template for them.
Develop a suitable template that will meet the objectives for the document as discussed at the
meeting. See Project Proposal Template Text for the wording of the template. Where dates,
details, etc. are to be added, place <Date>, <Details>, etc. in that place.
Write the document’s headings in the template and as much of the text as appropriate to show
how the document will be structured.
Save this document as Project Proposal Template.

3. Create a Strategic Plan template


As set out in the meeting, this is to be the company’s first Strategic Plan and there is no formal
template for this.
Develop a suitable template that will meet the objectives for the document as discussed at the
meeting. Where dates, details, etc. are to be added, place <Date>, <Details>, etc. in that place.
Write the document’s headings in the template to show how the document will be structured.
Include a brief summary under each heading to show the content that will be included.
Save this document as Strategic Plan Template.

4. Create a Conference Program template


As set out in the meeting, despite the fact that Grow Management Consultants commonly
provide conferences as part of the services that they provide, there is no formal template for
this.
Develop a suitable template that will meet the objectives as discussed at the meeting.
Write the document’s headings in the template to show how the document will be structured.
Include a brief summary under each heading to show the content that will be included.
Save this document as Conference Program Template.

5. Create a presentation template


As set out in the meeting, this is to be the company’s first Strategic Plan and there is no formal
template for this.
Develop a suitable template that will meet the objectives for the document as discussed at the
meeting. Where dates, details, etc. are to be added, place <Date>, <Details>, etc. in that place.
Write the document’s headings in the template to show how the document will be structured.
Include a brief summary under each heading to show the content that will be included.
Save this document as Strategic Plan Template.

6. Send an email to the Operations Manager (your assessor).


The text of the email should be in grammatically correct English, written in an appropriate (polite,
business-like) style.
It should mention the recent meeting and their approval to go ahead with the project in response
to the Briefing Report that you submitted.
The email text should also give a short summary of the attached templates and ask for their
feedback on these.
Attach the following to the email:

 Presentation Template

7. Send an email to the two administrative staff members (your assessor).


The text of the email should be in grammatically correct English, written in an appropriate (polite,
business-like) style.
It should summarise the reasons for developing the templates, give a short summary of the
attached templates and ask for their feedback on these.
Attach the following to the email:
 Newsletter Template
 Strategic Plan Template
 Conference Program Template
 Presentation Template

8. Amend templates as requested.


Make any changes to your templates that are suggested by the Operations Manager and the
Administrative staff.
Save these as Newsletter Template Amended or Strategic Plan Template Amended as
appropriate.

9. Send an email to the Operations Manager and the administrative staff (your assessor).
The text of the email should be in grammatically correct English, written in an appropriate (polite,
business-like) style.
It should summarise the changes that you have made to the templates.
The email text should also include your evaluation of whether the current technological
limitations allow for this to be done.

10. Take a screen shot of your folder and files.


You are required to demonstrate that you can file all of your records in a logical structure.

set out on page 4 of this booklet and filed in the appropriate folder.
The screen shot should show all the folders and documents.

Carefully read the following:

Shortly after submitting your amended templates, you receive the following email from Grow Management
Consultants’ Operations Manager:

Dear contractor.

Thanks for the amended templates that you sent to me and the administrative staff. They are
looking really good.

Before we start using them, however, I want to make sure that they are working correctly. In
particular, I want you to have the opportunity to evaluate whether the software that we use is
capable of the complex technical functions that we are demanding of it to automate our production
of documents.

In order for you to test the templates and the software, I would like you to produce a document for
each template using the text that I have provided to you. It is only by doing this that you can really
evaluate the templates’ functionality.

There is another thing, which I hope is not too much of a bother for you. We have had some
discussions about whether it is better to have the text in our documents aligned left, as stated in the
Style Guide, or whether it should be justified. It seems that the older members of our team grew up
with justified text but left aligned is more modern. To make it easier for the administrative staff to see
what alignment is more appropriate in documents, I would like you to create a macro for the Word
documents that allows the user to change text from left aligned (standard) to justified (old school). I
am sure that after a short time the most appropriate form of text alignment will become apparent.

I have also found that the most common function that I use when creating presentations is adding a
text box to a slide. I think that it would be very helpful if you could create a macro for the
presentation template that would do this for us.

Place the text from Project Proposal Text into your Project Proposal Template.

Ensure that the resulting document is well spaced and easy to read.

As part of this Assessment Task, you are required to demonstrate your ability to create macros
in documents. For this document, create a macro that will change highlighted text from left
aligned into justified. The macro should be accessed via a symbol in the document’s tool bar.
Test the macro to ensure that it works correctly.

Save this document as Conference Program.

While you are creating the project proposal from the text that you have been given, if you find
that your template needs to be altered in order to make more useful for users, make the
alterations and save the template as Revised Project Proposal Template.

2. Test your Strategic Plan Template.


Place the text from Strategic Plan Text into your Strategic Plan Template.

Ensure that the resulting document is well spaced and easy to read.

Test the macro that you created for the Project Proposal with this document too.

Save this document as Strategic Plan.

While you are creating the Strategic Plan from the text that you have been given, if you find that
your template needs to be altered in order to make more useful for users, make the alterations
and save the template as Revised Strategic Plan Template.

3. Test your Conference Program Template.


Place the text from Conference Program Text into your Conference Program Template.

Ensure that the resulting document is well spaced and easy to read.

Test the macro that you created for the Project Proposal with this document too.

Save this document as Conference Program.

While you are creating the Conference Program from the text that you have been given, if you
find that your template needs to be altered in order to make more useful for users, make the
alterations and save the template as Revised Conference Program Template.

4. Test your Presentation Template.


In the next Assessment Task, you will be training Grow Management Consultants staff in the
use of the templates that you have developed.

To ensure that the training session is successful, you are required to create a presentation using
your Presentation Template that will demonstrate to the attendees how to use the templates.

Ensure that the slides are comprehensive and easy to read.

You are also required to demonstrate the use of macros to the meeting attendees.
To do this, create a macros icon that will create a text box on a slide. Your presentation should
include at least one slide that demonstrates the use of this macro. You should also describe the
use and creation of macros in general.

Your presentation should also outline the company’s Style Guide and give the attendees some
instruction in how to use it.

Save this file as Template Presentation.

While you are creating the template presentation, if you find that your template needs to be
altered in order to make more useful for users, make the alterations and save the template as
Revised Presentation Template.

5. Send an email to the Operations Manager (your assessor).


The text of the email should be in grammatically correct English, written in an appropriate (polite,
business-like) style.

It should introduce and summarise the contents of the attachments and seek their feedback and
approval to move forward with the project.

The email text should also give a short introduction on how to use the documents’ macros for
the reader.

Assessment Task 3: Ensure the correct use of standard


documentation

Task summary
You are required to ensure that their templates are used correctly by the staff. This will involve writing
instructions and then giving a training session to the company staff who will be using the templates.

This assessment is to be completed in the simulated work environment in the RTO.

Assessment Task 3 Instructions

Complete the following activities:

1. Write instructions for document construction using templates and macros.


This document will be used by the staff of Grow Management Consultants to create new
documents from the templates.

The document should also describe what macros are and how to use them.

Make sure that you use simple, easily understandable language that would suit a reader who
has little understanding of templates and macros.

Create a new Word document for this activity and save it as Template and Macros Instructions.

2. Send an email to the Operations Manager (your assessor).


The text of the email should be in grammatically correct English, written in an appropriate (polite,
business-like) style.
It should introduce and summarise the contents of the attachment and ask for the place, date
and time of your information and training session.

3. Provide information and training session


The training session should inform the attendees about the company’s new templates, the use
of macros and the company’s Style Guide.
Prior to delivering the presentation, make sure that you practice your delivery, so you are well
prepared. You will be assessed on your presentation technique as well as the content of your
presentation.
Your assessor will advise you of the date and time of your presentation and will organise at least
two other students to attend the information and training session in the role of staff members.

It is important that you give your presentation using language that is appropriate for the
audience. Assume that the staff members attending the presentation have no experience
working with templates.

Print out one copy of each of your Word templates to take with you to the training that you can
pass around to the attendees. Ensure that they are printed in accordance with the Style Guide
instructions.

Print out a copy of your Template Instructions for each attendee at your training session.

At the end of the presentation, you must also provide the opportunity for your audience to
answer questions.

During and after the presentation you will be required to demonstrate effective communication
skills including:
 Speaking clearly and concisely
 Using non-verbal communication to assist with understanding
 Asking questions to identify required information
 Responding to questions as required
 Using active listening techniques to confirm understanding

It is one month since you completed the templates and held the training session for the staff of Grow
Management Consultants, and you have received the following email from the Operations Manager.

Dear consultant.

Thank you for the good work you did for us last month on our company’s document and presentation
Templates.

I would like to take this opportunity to give you some feedback on the documents that are being
produced.
Firstly, having the templates has speeded up some of our documentation processes, and they have
resulted in a more consistent quality of documents. They follow the standards as set out in our Style
Guide very closely.

The macros that you programmed into the Word documents are used rarely by the administrative
staff, but the text box macros in the Presentation Template is being used on a daily basis.

Unfortunately, the new company logo hasn’t met with as much enthusiasm as we had hoped. It
appears as though flowers are now “out”, and a more “modern” image is more appropriate. We have
commissioned the following new logo:

I would appreciate it is you could update the templates that you created for us to incorporate these
