The virtual team refers to a team or community of talented individuals who are professionals in

their fields, make an online group and perform a common task at hand. All or one of them may be
situated at distinct geographical locations, separated by time and distance from each other. With the
assistance of the latest communication technology and software tools, these teams are progressing
to produce the same desired outcome on any specific project. To handle a project while remaining
away from each other, individuals begin to work towards a common purpose with synergy. In fact,
these members of the team can never meet one another. However, will have a definite scope of work
to be completed within a given time frame and within the allotted budget with a constant focus on
benefits. These virtual teams always remain in communication with the help of online tools.

The team is as effective as a physical team that discusses in their day-to-day lives the different
nuances of each project, but all conversations, recommendations, and thoughts are exchanged
online. Due to the change in the socio-economic status of the population of the current generation,
talented people are in high demand. These people discover this opportunity to be working on virtual
projects when at a separate location maintaining their main work. The demand for virtual teams for
various benefits associated with it is on the rise in today's technologically advanced era. These days
talented human resource is a rare commodity. Each organization wants the best outcomes for its
investment, therefore creating space for the concept like virtual teams. This also enables talented
human resources to employ themselves in various jobs simultaneously which is only possible
virtual team project management. By hiring professional people working together from every part
of the globe, the virtual team working together enhances further productivity.

There are various applications that help virtual teams being employed gainfully in a project with the
use of instant massaging and screen sharing applications. Email, Skype, cloud services are a few of
the examples of available online resources. There are both benefits and limitations to virtual project
management mechanisms.

Most of the virtual groups are built on systems that allow group members to work from domestic
and other places outside of the organization’s physical boundaries. This gives team members who
work from anywhere and at any time a lot of flexibility without wasting commuting time and other
resources that are essential for business growth. Some people might assume that without a given
system, employees would be less beneficial, but some research shows that the inspiration to work
increments with a more flexible time management (Kremer & Janneck, 2013) and, because most
deliverables are obtained electronically, records can also be used to observe documentation and
review purposes (C. B. Gibson, 2003).
The possibility of bridging the physical boundaries leads to another benefit of virtual teams
(Maynard, 2006). The presence of various team members in different parts of the world makes it
possible for companies to establish their presence through members in different regions and to
market their products. When working with people from various nations and cultures, it must be
taken into account that each member of the group may have a different interpretation of the goals
given, which can have a challenging effect on the success of the group. But “these lack-of-shared-
information issues show up to fade” (Berry, 2011, S. 195). While the effect would be lower in the
early period, this difference will be filled by the reduced travel costs as well as time savings. In
addition to productivity, virtual teams can provide assistance to reduce the organizational carbon
footprint, which will become a more critical issue in the future since of climate change.

Besides the opportunity to bridge physical boundaries, virtual teams enable also to bridge time.
Virtual teams can expand their working hours, up to twenty-four hours a day, the so-called rule to
“follow the sun” (Berry, 2011).The use of electronic communication media, virtual networks, data
storage and retrieval systems allows various members of the community to take over from where
the other group has cleared out (Berry, 2011). Of course, the implementation of a fail-safe
technology in all areas is time-consuming and expensive, but higher efficiency is also one of the
advantages that is realized when a virtual team is created. The stability of virtual groups makes it
conceivable for companies to expand and grow within a limited period of time. According to a
Telekom study, nearly 70% of all virtual teams fail (Müller, 2013).

It seems that this study would crush each positive argument mentioned above. And of course, there
are a lot of challenges caused by the use of virtual teams. The main problem is that the company
prepares and leads virtual teams in the same way that traditional teams lead, and that processing is
not efficient. Organizations need to realize that a virtual team relies on factors other than a
traditional group. The factors of lost faith must also be recognized by the pioneer. (Associated &
Rumpf, 2013). It should be noted in a virtual group that more serious preparation is needed for a
group meeting in which each group member should be familiar with the technologies available. The
greatest adjustment concerns leadership. Adjacent to the intercultural and language competencies of
each group member, the group pioneer has also to consider the aspects of missing trust.( Harvard

In today's technological advanced era where a majority of companies and its employees have access
to online communication, It can be concluded that virtual teams by working remotely have the same
chances of being successful as staff working in physical offices. The major reason for the same is
that they always remain connected and close to the customer or their project team members. These
days there are many professional services like educational coaching, expert financial services,
guidance related to law and medical advice which are happening on virtual platforms where each
member of the project are scattered at various locations but are working in conjunction with each
other in one online space.These teams in the future will be in very high demand for various reasons
they associated with. It is highly cost-effective and also provides benefits related to tax or
surcharges in various countries to hire a virtual team working for you. The success of a business
depends on how well connected an agency is with its customers. Being part of a virtual team one
can always be available at service to his/her customers to provide them instant help or guidance as
required which certainly gives confidence and improves the relationship with the customers with
effective virtual team spirit.

Agile PM and SCRUM are methodologies that reveal better ways to build software. The idea of co-
location is strongly interlinked with one of the main agile concepts of "individuals and interactions
over process and tools." i.e. placing team members in the same room so that they can work together
and communicate directly. It is found that members lose face-to-face contact in a virtual team and
can go back to conventional communication channels such as email, instant mess. That can restrict
their efficiency, productivity, and innovation. However, these challenges can be mitigated with the
appropriate process, and teams can virtually work in an Agile fashion. The possible coordination
difficulties are compounded by multiple locations, so by grouping at least 2 team members in each
location, we may restrict the number of virtualized locations that a team could help. As a continuous
method for collaboration, organisations would have to use video conferencing/calls. If participants
are unable to take part in video calls, calls are preferred over emails, and emails are preferred over
text messages. The lack of continuity will be solved. I will feel like a team member instead of
feeling like I'm a person working on my job, with regular video call collaboration. Daily virtual
sprint meetings/stand-ups between the team via phone or video calls are a must to ensure that the
Scrum master keeps the team goal-oriented (Schwalbe, 2019). At the end of each sprint, product
demo sessions using screen sharing (e.g. applications such as Webex) must be arranged to put
virtual teams to the same website. Top management participation is vital to the progress of the
project, so frequent management reviews and inputs are essential to maintain a project on track and
to decide whether projects should be continued, diverted or terminated.
In a virtual world, working with our community could be accomplished by adopting emerging
technologies that better support a distributed workflow. We will try to divide tasks based on the
different phases of the project and delegate them to each member equally as a team in our group
work. There will be a project leader responsible for driving and engaging with the team when their
responsibilities are due and attending daily meetings either directly or remotely with Professor. For
each team member to read, the leader will be assigned to submit updates on the task due dates,
ensuring that project deliverables are in a single shared location. We may use Google Docs to share
the Professor's meeting notes/feedback with the rest of the team. Group calls and chats will help
answer any issue a member of the team may have. With virtualization being the main mode of
project execution, we will also arrange face-to-face meeting on college campus once a week that
will assist with team bonding and recognizing the diverse community, perspectives of each other.

The existence of virtual teams cannot be denied in the future. Management of virtual teams requires
a dedicated, flexible and disciplined approach. Various aspects have to be kept in mind while
dealing with virtual team project management. The virtual teams will have to have a common
understanding of language, work culture, ethics interest of every member, timeline, guidance and
various other aspects of running a successful agency. The future of virtual team project management
is bight and it ll surely lay the foundation of enhanced reach of professional experts to every corner.
Therefore the use of virtual groups includes some difficulties in implementation -virtual groups are
a valuable device to ace the challenges of the future world.
