Subject: Quotation for the servicing of SNWPCL Air conditioning system under annual
contract.

Dear Sir,

It is our pleasure to inform you that your reference email from


nurul.hasan@sembcorp.com dated Tues, 3 Mar 2020 has drawn our attention. We are
interested to provide annual servicing for maintenance of Air conditioning unit of
Sembcorp North West Power Company Ltd. (SNWPCL) situated at Sirajgonj.

Scope of work:

1. Maintaining all kinds of preventive, predictive, corrective maintenance work


and troubleshooting of plant HAVC and air conditioning system with proper
safety, work permit, risk assessment and Method of statement.
2. Major Servicing of Indoor and Outdoor unit as per requirements schedule and
forced break down of all ACs unit.
3. Providing consumables/spare parts as & when required (cost must be paid by
SNWPCL).
4. Farhan Engineering will use their own hand tools and metering device for
maintaining plant HVAC system properly.
5. Deploying of 2 (Two) experienced, expert and dedicated Technician in the site
during office our (9AM-6PM, excluding Govt. holiday) for regular servicing and
inspection of the plant Air Conditioning System. In any emergency case
Technician will bound to stay in the plant premises.
6. Farhan Engineering will provide the name and source of all necessary parts and
equipments required to maintain the HVAC system properly of SNWPCL plant.

Terms and Conditions

1. Regular servicing of the ACs to be carried out by two deployed technicians of


Farhan Engineering.
2. SNWPCL will provide all the necessary consumables like Refrigerant gas,
Welding machine units and electrode for welding and etc.
3. SNWPCL will provide all the necessary logistics like ladder, fork lift and
scaffolding material etc.
4. As the machines are not of our brand, so for any damage of the system, Farhan
Engineering is not bound to supply of the damaged parts/ items/consumables.
5. Farhan Engineering can supply spare part subjected to availability of local
market.
6. Farhan Engineering will use our own tools and metering system for any
maintenance of plant HVAC system.
7. Trouble shooting, repairing and replacing of PLC system cannot be done by
Farhan Engineering.

Service Provided by the Farhan Engineering during maintenance and


inspection of plant HVAC and Air Conditioning system:

1) Inspection and Checklist


a) Cleaning and replacing filters.
b) Cleaning of condenser and evaporator coils
c) Cleaning of drain lines for proper flow and clearing clogs.
d) Cleaning of drain pans of any standing water to avoid overflows.
e) Replacing of worn pulleys and belts
f)Inspecting of ducts for mold, dust, and debris.
g) Observing humidity levels
h) Checking refrigerant charge and for leaks.
i) Testing thermostats & controls to make sure temp. and timer functions are
correctly set.
j) Checking electrical system and connections
k) Checking Fan Motor.
l) Checking blowers and blades for proper airflow.
m) Lubrication motor bearings and moving parts.
n) Inspecting cabinet for leaks and check cabinet door for secure closure
o) Checking for debris around outside unit.
p) Checking for correct amount of refrigerant
q) Testing for refrigerant leaks using a leak detector/ soap foam.
r)Checking for and seal duct leakage in central systems
s) Measuring airflow through the evaporator coil
t)Verifying the correct electric control sequence and make sure that the heating
system and cooling system cannot operate simultaneously
u) Inspecting electric terminals, clean and tighten connections, and apply a non-
conductive coating if necessary.
v) Oiling motors and checking belts for tightness and wear.
w) Checking the accuracy of the thermostat

2) Preventive Maintenance:

a) Inspecting gas leaks


b) Assessing gas pressure.
c) Checking pulleys and belts.
d) Cleaning drain lines and pans.
e) Checking electrical connections.
f)Lubricating motors, bearings and other moving parts
g) Checking thermostats and controls
h) Checking fan and blower operational and adjusting as needed
i) Examining duct work and vents

3) Corrective Maintenance Work:

a) Replacing faulty parts (Compressor, Capacitor, worn belts, and bearings, filter,
dryer, control card etc.)
b) Leak identifying, Brazing welding, Vacuum and pressure testing.
c) Gas charging and test run.
d) Performance checking.
e) Compressors functionality checking.
f)Replacing motor bearings if required.

Contract Period:
1 (One) year starting from sign of contract or April 01, 2020 to March 01,
2021which may be extended further no mutual conversation.
Price Summary:
a) Total price: Tk. 285500/-(Two Lac Eighty Five Thousands and Five Hundred )
Taka Only per month which includes periodic servicing charges and
remuneration of 2 (Two) deploying Technicians to the plant within office time
(9am-6pm).
b) This price includes all Taxes and VAT.
c) Refrigerant, welding electrode, & spare parts to be charged extra fee as per
requirements.
d) The employer will provide others necessary equipments & assistance. They will
responsible to provide electricity, required space and other logical assistance.
Payment Method:
a) Monthly servicing Charge . Tk. 285500/-(Two Lac Eighty Five Thousands and
Five Hundred ) Taka have to be paid at the beginning of each month (within 1 st
week) by account payee cheque to Farhan Engineering.
b) Cost of spare parts, consumables and other charges to be paid within 7 (seven)
days from the date of submitting bill.
c) Over time has to be counted after office our (9 am-6pm) and govt. holidays.
Extra Tk 300 (Three Hundred) taka per Hour must be paid to the maintenance
team during over time period.
Commitment of employer to the service renderer:
The employer will warrants and ensures that SNWPCL will not recruite/ offer any
job(full time/part time/casual/contracting/subcontracting) to staff
(Engineer/technician/helper or any other employee) of Farhan Engineering during
and after the execution of contract.

VAT/TAX; As per government act.

Validity: This offer will remain valid for 30 (thirty) days from the date of submitting
quotation.
