Program Overview
The Virtual Paint Night and Kahoot! trivia is a family friendly event being held online for the
RCPT 414 Class as well as friends, family, and students. The purpose of this event is to give
attendees a fun fall themed activity to participate in with their friends or families in a safe virtual
setting during the ongoing pandemic. This event is free of charge but may incur a personal
expense to acquire the materials needed to participate if they do not already have art supplies on
hand. The participants will partake in an instructional painting experience as well as test their
knowledge of Halloween related trivia. Participants will need a reliable internet connection to
join the Zoom meeting and the play the trivia based on the Kahoot! app.

Goals and Objectives


- Goal 1: Facilitate a fun fall-themed activity over zoom including a painting party and a
Kahoot quiz.
o Garner interest in participating in future online events
o Everyone learns a new fact or skill Eg. Painting, Halloween history, art
techniques, etc.
o Draw in participants from multiple advertisement platforms
- Goal 2: Have 10-15 RCPT participants and at least 10 participants who are not in the
RCPT department.
o Engage participants in the RCPT department in an exciting and fun virtual event
o Receive a diverse audience of families, children (5-12), teenagers (13-17),
students (18-29), adults (30-50), grandparents (65+)
- Goal 3: Create an engaging, Family-friendly atmosphere.
o Have children, families, and friends participate in the event together as a group.
o Participants feel comfortable sharing their works of art and speaking up during the
event

Technology Plan
For Paint Night we will be using the online source called Zoom, this is where we will live stream
our event. Zoom can be joined for free by signing up online and downloading the zoom client.
The participant can then click ‘join meeting’ on the zoom client and enter the zoom ID given on
the flyer. If the participant does not wish to sign up for a zoom account, they can simply click on
the auto-generated link that we will send out via email. The auto-generated zoom meeting
invitation will be presented as below:

The second element of our program includes a Kahoot! Trivia quiz. Kahoot! can be accessed
using a web browser by clicking a provided link, or by entering a quiz code on the mobile app to
gain access to the quiz. Participants will have the option of playing on either their laptop or their
phone, but we encourage participants to join the Zoom meeting on a computer to more easily
access the Kahoot Quiz. Once the Kahoot! Quiz has concluded, we will continue with the
painting portion of the event.
At the end of our event, a survey will be sent out using the online service, SurveyMonkey. This
will be accessed through a link in the chat box of the Zoom call. This survey can be completed in
the participants own time and will give us necessary feedback on the event.

Program Schedule
3:00pm Zoom meeting begins, Group members are already logged on ready to receive
participants as they join the meeting
We provide a 5-minute grace period for all members to join the zoom call
3:05pm Katie gives introduction to event and welcomes participants
Cristin begins the painting instruction, painting the background and the pumpkin
portion of the canvas
3:20pm We take a 5-minute break to make sure everyone is caught up
Hunter uses the break time to ask participants if they have any pets they would
like to show off while we wait
3:25pm Cristin resumes painting instruction, demonstrating the spiderweb and grass
portion of the painting
3:40pm We go to intermission to play Halloween Kahoot Trivia lead by Alex. All
participants who wish to join will log onto our Kahoot Quiz and play along with
us.
4:00pm Cristin demonstrates the last section of the painting, the moon and the finishing
touches
4:10pm Katanie encourages the participants to show off their paintings. We have a snack
& share our art with the group
4:30pm The after-event survey is sent to the zoom chat by Luke

Risk Management Plan


Location:

Since this presentation is zoom only there are no outside risks of contamination if viewers and
participators are taking protective measures
- Masks are worn when handing out goody bags from both parties
- Participating with roommates or alone is recommended and safer than travel
Zoom:
- If zoom shuts down we will automatically send out a backup link to participants and get
back up and running within 5 minutes
- If a host zoom or internet connection falls out, a new team member will step up and help
where needed.
- Hosts will be timing the presentation to ensure it does not run overtime and stays on track
Painting:
- All paint handed out is toxin free, however please still keep out of the reach of children
so it is not consumed.
- If someone falls behind there is a hand out of step by step instructions that can be printed
out via email or followed along through Facebook.
- Kahoot:
- Kahoot will be played as a break from painting, if kahoot doesn’t end up working we will
take a short snack and water break.

Marketing Plan
Target Market:
Together, we discussed that our target population are individuals no matter the age who
find an interest in art. We plan to make this event a relaxed and enjoyable environment for
people of the Radford community as well as other friends and family to express their creative
through painting.

We have come up with different ways to reach out different subpopulation

Marketing Obstacles:
- Less attendance due to the event taking place midweek and midday. Attendee may have
work or classes to attend.
- Lack of promotion on social media since it is only 6 of us team members.

- Fear of the flyers not being seen on campus due to the lack of student involvement on
campus right now because of the on-going pandemic.

Methods of Marketing:
Social Media
- To contact our friends and family that are quite far from us we decided to make a
Facebook Event Page for each of us team member to invite at least 3 people that attend
Radford and 3 members of your friend or family. On this page, we will update our guest
on the supplies and special treats we have in store for them.
- The flyer will be posted in the Radford University Class of 2021 group on Facebook for
further advertising.
- To reach our younger generation and Radford Students each team member has agreed to
post on our personal social media platforms such as: Instagram, Snapchat, and Twitter.
- Flyers
- Flyer were created to hang up in common areas around campus like the dining areas, the
library, and the upcoming event boards.

Outside Sources:
- We have reached out to a few University 101 Peer Instructors so they can offer the event
as an extra credit event for their University 101 students.
