Introduction

The fastest way to create equipment in Infor EAM for the longest time has been the Upload Utility or
background database scripts feature. With the introduction of equipment configuration, there is a new
quick, accurate, and user friendly option available. Equipment configuration consists of
two major functions:
• Equipment Configurations
• Equipment Generation
During the configuration phase, you can define what the new equipment will look like. This includes
the definition of the actual equipment itself, the asset, position, or system, but also the definition of
any part associated, meters, applicable warranties, and child equipment. Child equipment records
are also equipment configurations that may have their own children. This then supports a
configuration of infinite depth, just like Infor EAM does in the equipment structure itself.
After you have completed the configuration, it is time to generate. All you need to specify is the
equipment configuration and how many of those you would like and the system will generate that
many records on the Assets, Positions, and Systems screens. It will also create the equipment
structure and commissioning work orders for the top level equipment and associate the parts,
meters, and warranties.

Equipment Configurations

An equipment configuration is the definition of a future asset, position, or system, similar to a


template or profile. The Profile screen in Infor EAM has been expanded and equipment
configurations will be stored in the database as if they were profiles. There is, however, a new and
separate screen created where you can define the configurations.

Equipment Configurations screen


Equipment configurations can be defined for assets, positions, or systems. The Equipment
Configurations screen has the following important attributes:
1 Configuration Code—Enter a unique code to identify the equipment configuration. The code
and the Organization together must form a unique combination. The same code can be used
across different organizations.
2 Status—System Codes entity “ETST.”
a Equipment configurations are under revision control and can only be edited when the Status
is “Unfinished.”
b No fields can be updated when the Status is “Request Approval” or “Approved.”
c When you approve a new revision:
i) The current approved revision will automatically be superseded.
ii) The system will verify that the equipment structure you are approving is valid both from
the organization security and the equipment types perspective. For example, the system
will verify that a system will not become the child of an asset.
3 Object Code—This field is protected and by default hidden. The system will automatically
generate an object code for you and this code is only used to uniquely identify the data to the
system. As an end user, you will not need to worry about this field. However, if you are more
technical and write Flex Business Rules or use Grid Designer, this code may be of interest to
you.
4 Object Type—This field is protected and by default hidden. The system will automatically assign
the value that identifies this record as a Profile.

Equipment Configurations

In various sections on this screen, you will find many fields that are from the Assets, Positions, and
Systems screens, however, these fields will not be discussed in this document. Instead the new
fields that are specific to the Equipment Configurations screen will be discussed.

5 Equipment Type—System Codes entity “OBTP.” Determines whether the equipment generated
from the configuration will be an asset, position, or system. Unlike the equipment screens, you
can change this value here, but when you approve the new revision of the equipment
configuration, the system will verify that the Equipment Type is consistent with all the parent
and child configurations. By verifying, this will prevent equipment structures from being generated
that violate the standard Infor EAM structure rules.
6 Equipment Status—System Codes entity “OBST.” Only codes attached to the system code
“Installed” will appear. This is a default status that will be assigned to the equipment, but can still
be overruled on the Equipment Generation screen.
7 Create As Specific—If selected, the system will create the equipment with the specific
organization that is selected on the Equipment Generation screen. You can create a common
configuration that is available to all users, but when the configuration is used, users can only
create equipment in their own authorized specific organizations.

Note: This checkbox is not used if the equipment configuration itself is attached to a specific
organization. Any equipment generated from a specific configuration will automatically inherit
that specific organization.

Equipment Numbering: When you create equipment, you need to assign a unique code. You can
either assign that code manually or you can use the automatic numbering feature of Infor EAM. To
support the generation of multiple equipment simultaneously, the same two capabilities are offered
on the Equipment Configurations screen, although here they are not in the form of an actual code,
but in the form of a coding strategy. The manual coding strategy consists of a prefix, a sequence
number, and a suffix. After you enter values, the system will display a sample code, which in
essence is a preview of the real code the system will assign when you generate equipment.

8 Equipment Prefix—Optional prefix for the code that will be placed directly in front of the
sequence number. This needs to adhere to the normal constraints with respect to codes in Infor
EAM. Certain special characters are prohibited and an error message will be generated.
9 Equipment Suffix—Similar to the prefix, but will be placed directly behind the sequence
number.
10 Sequence Length—Determines the number of digits between the prefix and the suffix. The
system will always start the first piece of equipment with 1, but it will add zeroes to the left, so the
total number of digits will add up to the sequence length.
11 Sample Code—This field shows the results of the prefix, suffix, and sequence length. See the
chart below for examples:

Note: Choose the sequence length wisely. If you think you will create no more than 99 buses, a
length of 2 is sufficient. Your first bus would be BUS-01-LX and your last bus would be BUS-99-
LX. If that number turns out to be too low, (you created 99 buses and need to create more) your
only alternative is to change your coding strategy and go to three numbers or more. With that
strategy and no other changes, the next bus will be BUS-001-LX. In this scenario, the sorting
would not be ideal, but it is still acceptable since a unique code is used.

12 Auto Number—If selected, the system will use the automatic numbering capability of Infor EAM.
The prefix, suffix, and sequence length fields will not be used for the equipment generation and
Infor EAM will assign a standard Infor EAM sequence number.
13 Commissioning WO—You can create a work order for the commissioning of the equipment you
are generating. This is an optional step in the equipment generation process. This work order will
be based on the Standard WO (template) you select here as the Commissioning WO.
14 Buttons:
a Create New Revision—When you create a new revision, the Status of the new revision will
default to “Unfinished.” The system will not change the revision Status of the source
configuration. Note that you can pick any previous revision as the source, even those that
are superseded, thus letting you revert back to an older revision if needed.
15 Standard Tabs—All standard tabs listed here are currently NOT under revision control, which
means you can still update data on these tabs regardless of the status of the equipment
configuration.

Department security is not implemented on the Equipment Configurations screen, but department
security will be validated during the equipment generation process. This will allow you to select any
Department for the equipment configuration as long as it adheres to the standard organization
security rules.

Equipment Configurations – Configurations Associated tab


On the Configurations Associated tab of the Equipment Configurations screen, you can define
the structure of the equipment by identifying equipment configurations as children. This tab has the
following important attributes:
1 Configuration–Select the equipment configuration you want as a child. You can select either an
approved or a superseded configuration. Superseded revisions can be selected which means you
can configure a 25 year old bus with an older version of a certain engine and then use that old
specification to generate buses you bought second hand.
2 Use Approved Revision—This checkbox, when it is selected, will enforce the current approved
revision of the selected configuration to be the child. When you select a superseded revision and
select this checkbox, the system will replace the data on the screen with that of the current
approved revision of the child configuration. If you need to change the child configuration in the
future, you have to do so through a new revision of that configuration. At approval of the
changes of this new revision, the child record will now also be updated automatically to reflect
the newly approved revision. Following this method, you do not have to manually create a new
revision for each parent that is using the child, update the child revision, and then approve the
new parent revision.

If unselected, new revisions of the child configuration will not impact this child record. For
example, engine revision 2 will remain the child on this tab even though the current approved
revision of the child is already at 9.

3 Dependent—The default for the Dependent flag of the equipment structure when generating.
4 Cost Roll-up—The default for the Cost Roll-up flag of the equipment structure when generating.
5 System Level—Optional use for the VMRS codes. You can use these codes even if you are not
related to the transportation industry. To help generalize these codes, the code descriptions
have been renamed to the EMRS description (Equipment Maintenance and Repair Standard).
6 Assembly Level—See System Level
7 Component Level—See System Level

8 Component Location—A bus has more than one wheel and if you configure equipment
following this method then the wheel assembly would also be equipment. You can add each
wheel without the system alerting you that the equipment is already attached by making it unique
using a combination of the System, Assembly, and Component Level and Component
Location.

Also, the Component Location has a lookup attached, but this value is not validated. For
example, if you are looking for “Left front,” but the lookup does not have that value, you can type
it in the Component Location which adds a new value to the lookup for later use.

Equipment Configurations – Parts Associated tab


On the Parts Associated tab of the Equipment Configurations screen, you can define all the parts
associated to the equipment. This tab functions the same way it does on the equipment screens.

Equipment Configurations – Meters tab


On the Meters tab of the Equipment Configurations screen, you can define all the meters attached
to the equipment. This tab functions the same way it does on the equipment screens, but because it
is attached to an equipment configuration only setup data is available. Therefore, it is not possible to
enter meter readings or values for fields like Total Usage, Average Daily Usage, Physical Meter,
etc.

Equipment Configurations – Warranties tab


On the Warranties tab of the Equipment Configurations screen, you can define all the warranties
attached to the equipment. This tab functions the same way it does on the equipment screens, but
because it is attached to an equipment configuration only setup data is available. It is not possible to
enter values for fields like Start Date, Expiration Date, Starting Usage, Expiration Usage, etc.

Equipment Configurations – Structure tab


On the Structure tab of the Equipment Configurations screen, you can preview the structure the
generated equipment will have. This tab shows child equipment configurations and parts associated.
The tab also shows both of these in their context of the chosen System, Assembly, Component
Level and Component Location. For example, if a wheel is a part of the drive train (System Level),
the front axle (Assembly Level), the wheel component (Component Level), and the wheel is
located on the left front of the bus (Component Location), then the bus structure would show each
level. If the disk brakes are defined as a spare part and they are associated to the bus in a similar
way as described for the wheel, the brakes would show up in the same structure along with the
wheel.

Equipment Generation

You can create equipment as a single group on the Equipment Generation screen. In addition, you
can create the equipment structure, any attached comments and documents, meters, warranty data,
associated parts, and commissioning work order.

Equipment Generation screen


The Equipment Generation screen has the following important attributes:
1 Session—Automatically assigned sequence number.
2 Description—Session name.
3 Organization—Select the organization for which you want to generate the equipment and the
commissioning work orders. The organization cannot be a common organization. This constraint
is more for the commissioning work order because you can still create the equipment in the
common organizations depending on the setting of the selected configuration.
4 Processed—Flag that indicates the session is processed. This normally means all requested
equipment was created. It can also indicate that a process error occurred and you decided to
manually close the session. In that scenario, not all equipment may be generated. Once
processed, a session cannot be used to further generate equipment and you are allowed to
delete processed sessions.
5 Active—This means that the Generate Equipment button on the Preview tab was clicked at
least once. The session may be waiting on one of the drivers to start the generation process.
6 Awaiting Purchase—The session has one or more pieces of equipment on the Preview tab that
were generated with a status of “Awaiting Purchase,” but has not been received yet.
7 Process Error—Something went wrong during the generation process. Check the Preview tab
for any records that have an Error flag set. The error messages are visible on that tab as well. If
you have found the problem and are able to fix it, you can restart the generation process by
clicking the Generate Equipment button on the Preview tab.
8 Process Running—If the generation process runs in asynchronous mode, this flag is set when
the process is started and will remain flagged while the process is running and until it has
completed successfully or has encountered an error.

If any of the above checkboxes are flagged, the fields on this screen will be protected. If none
are selected, you can apply any updates and delete the session.

Equipment Generation

9 Process Last Updated—In asynchronous mode, this field will be set each time the process
generates a complete equipment structure. If the request is to generate 10 buses and each bus
has 2 child assets, this flag will be set each time a bus and its two children are created. In total,
the flag would be set 10 times.

This field is used to automatically restart the process after 60 minutes of no activity, but only if an
error was not found. For example, the process was creating the first child of bus 3 and at that
time a power failure stopped the server. After the reboot, the session will indicate active and
running as far as the database is concerned, but really it is not. In one hour, the session will be
picked up by the equipment configuration driver and be eligible for a retry.
10 Configuration—You can select any approved or superseded configuration for processing.
Superseded revisions can be selected. For example, you can configure a 25 year old bus with
an older version of a certain engine and then generate buses based on that old specification.
11 All Specific—Use this checkbox if you want to create specific equipment based on a common
configuration. All equipment in the structure will become specific and will be assigned to the
organization selected for the session.
12 Equipment Status—Equipment can be generated as “Installed,” “In Store,” or “Awaiting
Purchase.”
In order to create equipment in the store room or awaiting purchase, the configuration selected
must be of the type “Asset” and must have a part number attached. The following fields will be
made available and required:
a Store
b Bin
c Lot (if part is lot controlled)
13 Generate Count—Enter the number of pieces of equipment you want to generate.
The generation process is started in two possible modes, synchronous (real-time) or
asynchronous (batch mode). The Organization Option “GENEQMAX” is set at 100 by default,
but you can change this. If Generate Count is less than or equal to this value, you can wait for
the result when you click Generate Equipment, otherwise you have to wait for the batch job to
finish.
14 Equipment Department—Default department for the equipment to be generated. You can
change this on the Details tab.
15 Equipment Location—Default location for the equipment to be generated. You can change this
on the Details tab.
16 Equipment Cost Code—Default cost code for the equipment to be generated. You can change
this on the Details tab.
17 Equipment Assigned To—Default assigned to for the equipment to be generated. You can
change this on the Details tab.
18 Commission Date—The commission date for the generated equipment. If you leave this field
blank, the system uses the system date.

19 Equipment Structure related fields


a Top Level Only—If flagged, no children will be created if the equipment configuration has
any.
b All Dependent—In the equipment structure, all the generated children will be flagged
dependent on their parent.
c All Cost Roll-up—In the equipment structure, all the generated children will be flagged to
roll up their costs to their parent.
20 Copy Data—The checkboxes in this section control what data from the selected equipment
configuration is copied to the generated equipment. You can decide to include or exclude:
a Comments
b Document Associated
c Custom Fields
d Meters
e Parts Associated
f Warranties
21 Commissioning work order related fields—For the selected configuration, the generation process
can create commissioning work orders.
a Commissioning WO—Protected field that will display the Standard WO code that is
selected to be the template for the commissioning work order. This selection is done on the
equipment configuration and cannot be changed here.
b Create Commissioning WO—If selected, the system will create the commissioning work
order.
c Commissioning Status—If entered, this status will be assigned to the work order or the
default status for the “Released” system code will be selected.
d Commissioning Department—If entered, this department will be assigned to the work order
or the department of the generated parent equipment will be selected.

The remaining commissioning work order related fields can be entered as required. If they
are left blank, the corresponding field on the work order will be blank as well.
22 Buttons:
a Create/Refresh Preview—This button creates data on the Details and Preview tab. On the
Details tab, it will list the equipment configurations included in this session. This includes the
selected equipment configuration, subject to your setting for Top Level Only, all its children,
grandchildren etc. On the Preview tab, it will list all the equipment that will be generated. To
use the bus example from earlier, the Details tab would list three records (one bus and two
children) and the Preview tab would list 30 records, 10 buses, and 20 children.
b Close Session—Will flag the session as processed and will prevent any further equipment
generation.

23 Standard Tabs—Comments, Documents, and Translations are not available on this screen.

Equipment Generation – Details tab


On the Details tab of the Equipment Generation screen, you can define several equipment specific
fields relevant to the generation process. The Details tab has the following important attributes:
1 Equipment Department—Defaults from the value selected on the session header record, but
can be changed here for each specific configuration on the different levels in the equipment
structure. You can assign the “General Maintenance” department to the bus level of the
structure and the engine level to a dedicated department called “Engine Maintenance.”
2 Equipment Location—Defaults from the value selected on the session header record. If you
selected All Dependent on the session header, the children are dependent on their parent and
therefore you can only select a location for the parent level (Detail line with Level 1).
3 Equipment Cost Code—Defaults from the value selected on the session header record, but can
be changed here for each specific configuration on the different levels in the equipment
structure.
4 Equipment Assigned To—Defaults from the value selected on the session header record, but
can be changed here for each specific configuration on the different levels in the equipment
structure.
5 Level—This is a protected field and is automatically populated. The system assigns the level
based on the equipment structure to be generated. The configuration you selected on the
session header is always level 1, the children are assigned level 2, and grandchildren level 3.
6 Dependent—This is a protected field and is automatically populated. The system assigns the
value based on the All Dependent selection on the session header. If unselected, the equipment
configuration structure (Configurations Associated tab of the Equipment Configurations
screen) determines the value.
7 Cost Roll-up—This is a protected field and is automatically populated. The system assigns the
value based on the All Cost Roll-up selection on the session header. If unselected, the
equipment configuration structure (Configurations Associated tab of the Equipment
Configurations screen) determines the value.
8 Equipment Organization—This is a protected field and is automatically populated. The system
assigns the value based on the All Specific selection on the session header. If selected, the
Equipment Organization of all records will be the session header organization. If unselected, the
equipment configuration determines the value as follows:
a If the configuration is specific, then it will be the specific organization of the equipment
configuration. Note this must be (can only be) the same as the session header organization.
b If common but Create As Specific is selected on the equipment configuration, then it will be
the same as the session header organization.
c If common and Create As Specific is unselected on the equipment configuration, then it will
be the common organization of the configuration.

Equipment Generation

9 Buttons:
a Create/Refresh Preview—Same as on the Equipment Generation screen. You can create
or refresh the preview data from here.

Equipment Generation – Preview tab


On the Preview tab of the Equipment Generation screen, you can see all equipment that will be
generated by the generation process. All fields on this tab are protected. The Preview tab has the
following important attributes:
1 Equipment—Equipment code that will be assigned by the generation process. This is a preview
and there is no guarantee that this number will still be available when you start the generation
process. Other users may pick up these numbers before you have especially if you wait longer
between generating the preview and actually generating the equipment. The system will
reassign numbers if necessary.
2 Level—See the description on the Details tab above.
3 Count—Count will indicate the sequence number of the equipment in the generation process.
For example, if you want to create three buses, you will enter 3 for Generate Count on the
session header. Count will hold values 1, 2, and 3 in this case. Since the generation process
handles one parent and all its children as one complete set, you will find Count 1 on the parent
equipment, but also on all the children of that parent. The generation process will first do all
equipment with Count 1 (set 1), then with Count 2 (set 2), etc.
4 Error—Set by the system when errors prevent the generation process from starting or
continuing.
5 Warning—Set by the system when warnings exist that will influence the generation process.
There is an organization option “GENEQWRN” that controls how the system handles warnings:
a If "NO," equipment cannot be generated when warnings exist.
b If "YES," equipment can be generated even when warnings exist.
6 Error Message—This will explain the actual error and or warning found by the system. If
multiple issues were found, they will all be displayed in this field.
7 Equipment Created—If unselected, the equipment has not been created. Otherwise, the
system, position, or asset will be available to you. Remember the system generates the
complete structure set by set, which means if the parent bus with Count 1 has been created; all
other equipment with Count 1 (children, grandchildren, etc. of the bus) has been created as well.
This flag means that the first step of the generation process is complete and the system has
created:
a Equipment records
b Equipment structure
c And for each equipment it has attached:
i) Comments

iii) Parts associated
8 Transactional Data Created—If unselected, the equipment transactional data has not been
created. Otherwise, the equipment generation is fully completed. This flag means that the
second and last step of the generation process is complete and the system has:
a Attached to the created equipment:
i) Meters
ii) Warranties
b Created a commissioning work order for the parent equipment, if requested, on the session
header.
9 Buttons:
a Create/Refresh Preview—Same as on the Equipment Generation screen. You can create
or refresh the preview data from here.
b Generate Equipment—When you click this button, the system will first automatically create
or refresh the data on the preview tab. The system does this to ensure that there are no
errors introduced since you created your earlier preview or simply to handle the scenario
where you have not created a preview.

Hint: You can create a new session with minimal data by entering the description,
configuration, and Generate Count, then clicking Generate Equipment on the Preview tab.
Since you are creating equipment and possibly work orders, the system will perform the
following checks and prevent you from generating if any of them fail:
i) Department Security—If Department Security is activated, all departments for all
equipment (all levels) and the work orders must be on your list.
ii) You must have Status Authorization to create the equipment and the work order.
iii) If Job Type Authorization is activated, you must have the appropriate Job Type
Authorization to create the work order.
iv) The system will also stop if an exchange rate is required and cannot be found or if errors
and warnings exists. The latter will depend on the setting of the relevant organization
option.

Asynchronous versus synchronous


The generation process is started by clicking the Generate Equipment button on the Preview tab.
The generation process is then started in two possible modes, synchronous (real-time) or
asynchronous (batch mode). The Organization Option “GENEQMAX” is set to 100 by default, but
you can change this. If Generate Count is less than or equal to this value, then you can wait for the
result when you click Generate Equipment, otherwise, you have to wait for the batch job to finish.
Even if the process is started asynchronous and depending on the equipment status you selected,
not all steps of the generation process will be completed. For generation scenarios where the
equipment status is “Awaiting Purchase,” the transactional data is always created asynchronous,
because the receipt of the equipment may take months to complete. During that time, we do not
want commissioning work orders for that equipment in the system, nor do we want warranty time to
expire or meter entries to be allowed. The following matrices explain which processes run and when
they will run.

Currency conversion
Currency conversions are handled when a common equipment configuration is selected to generate
equipment in a specific organization with a different currency. The system will require a valid
exchange rate for this scenario.

The fields that will be converted and the formula that will be applied:
• Equipment Value = Equipment Configuration Equipment Value / Exchange Rate.

To set up currencies:
1 On the Currency screen, find the currency of the organization of the equipment that will be
generated. Infor EAM considers this the foreign currency.
2 On the Exchange Rates tab, enter the Base Currency of the organization attached to the
equipment configuration.
3 Enter the Exchange Rate (greater or equal 1 if the foreign currency is worth more than the base
currency).
4 Enter a valid Start and End Date.
