UPDATE ACCOUNTS RECEIVABLE

Customer records in the accounts receivable subsidiary ledger are updated from information the sales
order (ledger copy) provides.

Every customer has an account record in the accounts receivable subsidiary ledger containing at
minimum the following data: customer name; customer address; current balance; available credit,
transaction dates; invoice number; and credits for payments, returns and allowances.

Customer – The unique identifier assigned to the customer on the Vendor Customer table

Address ID – The code that represents the billing address for the

Billing Profile – The code that defines the billing rules for the Customer Account from the Billing Profile
table

Department – The Department that may use the Customer Account;

Unit – The Unit that may use the Customer Account;

Billing Location – The location where the receivable is to be sent

Bankruptcy – Indicates that the customer is in bankruptcy proceedings; automatically suppresses billing,
past due billing and automatic finance charges

NOTES: A Receivable is an accounting event created in AFIS to trigger the billing for goods or services
provided or in anticipation of the receipt of money. Accounts Receivable generates invoices,
statements, or both, to bill customers. When a payment is received, a Cash Receipt records the
collection of money. If no payment is received, finance charges may apply. Receivables can be modified,
reduced, referred to collections, or written off.

Vendor table- Stores customer account information, AR Dept, AR Unit, and billing and collection details;
RE based documents support one vendor line

UPDATE INVENTORY RECORDS

The inventory control function updates inventory subsidiary ledger accounts from information contained
in the stock release document.

Each stock release document reduces the quantity on hand of one or more inventory accounts.
