How to Improve the Quality of Training and the Performance of Trainees at SMP

SMP is keen on improving the quality of training, which will ultimately have a positive
impact on the competency level of trainees translated through their grades and
GPAs. It also strives to follow up on all trainees throughout their study to make sure
that their academic performance is up to the desired standards. In line with this
direction, ongoing improvement is carried out and the following strategy will be
considered for implementation:
Trainees will be identified in terms of three (3) categories and actions will be taken
accordingly:
1. Which Trimester they are in,
2. GPAs (vocational standing),
3. GPAs trending.
The target of this strategy is to prevent trainees from reaching a level where they
cannot graduate with a GPA more than 2 out of 4 or more.
Based on this categorization and by the end of each trimester, trainee vocational
profile can be evaluated before any correction action is taken.
Differences in trainee’s performance based on the three categories must lead to one
the following classes:
1. Excellent vocational status:
Trainee who has a GPA 3 and above with GPA comparing to the previous
trimester.
Trainees who fall in this classification are encouraged by the end the fifth
trimester to attend courses that prepare them to perform nationally and
internationally recognized test that is desired by sponsored companies.
Communicating with sponsored companies to distinguish them from their
classmates during OJT as future leaders and/or to provide them with a
recognition while they still in the SMP.
Receiving a recognition letter/incentive from SMP management is substantial at
this point.

2. Average vocational status:


Trainees with a GPA of 2 and above, they are separated into two (2) groups:
A. Trainees with two (2) or above trending up GPA:

Their achievement increasing GPA will be recognized with verbal and written
encouragements from training management.

B. Trainees with two (2) or above trending down GPA:


Sending a notification Email from training management to the trainee and the
sponsored company showing the status of each trainee from this group.
Finding the cause of GPA decreasing is to be found by applying the following
procedure:
1- Arranging meeting between the trainee of this group and their vocational
guide (one of the instructors) is necessary to look for reasons caused this
drop on GPA and the possible solutions for each reason. This meeting must
hold within a week after the final day of trimester.

2- Referring to trainer’s performance reports to see the common


characteristic among them.

3- A weekly report starting from next trimester of GPA drop demonstrating


their attendance rate, participation in class activities, and attitude. trainers
will be asked to provide such report.

4- After conclusion are drawn for the reasons, another meeting with the
trainee must be hold to share our finding with him.
Lastly, if the trainee is in the fifth trimester, a warning letter to be sent to him
clarifies and reminds that the minimum GPA to graduate from SMP is 2 out of 4.
Thus, if his GPA keeps dropping to reach a level where he cannot graduate from SMP
he will not have the opportunity to continue in SMP.

3. Poor vocational status:


Are those with GPA of less that 2. They are separated into four(4) groups:
C. Trainees who arithmetically impossible to graduate from SMP with GPA of 2
or greater:
Since the minimum GPA to graduate from SMP is 2 out of 4, any trainee who
fall in this group will be dismissed from continuing in SMP for the next
trimester with notification to sponsored company.

D. Trainees who have a GPA of 2 or less by the end of first trimester:

All procedures for group (B) will be followed and applied. In addition, the
following procedures to be followed while trainee in probation period:

1- A weekly quiz on the four English skills and/or technical subject the trainee
is struggling with. To measure improvement in performance.

2- Remedial classes with less number of trainees relative to trainer on the


subject where the trainee need to be improved on.

3- Weekly meeting with trainers discussing the situation of each trainee of


this group.

4- Self-learning online training will be mandatory for this group, vocational


guide will follow their performance and the time spent. In addition, a
mandatory lecture on self-learning skills will hold for this group.

5- Give more weight percentage to trainees’ homework to promote


independent learning and enhance the material learned in class.

6- The limit of absents before getting a final warning will be decreased to 16


hours instead of 32 hours.

7- Warning letter indicating clearly that if a GPA of any trainee in the


probation period keep dropping by the end of the second trimester a
trainee might not be able to graduate i.e. dismissed.

E. Less than two (2) trending up GPA:

If the GPA exceeded two (2), then the trainee will get a letter notifying him
that he is no longer under probation and will be encouraged from training
department to keep the hard work. Otherwise, all procedures for group (D)
will hold until the target is achieved, that is, a GPA above 2 for this group.

F. Less than two (2) trending down GPA:


In addition to all procedures followed for group (D) and (E), A final warning
letter to be sent from Training management clarifying and explaining why he is
getting this letter and why it might not be possible to increase GPA above two
(2) after a certain point in his vocational training.

An Email to be sent for the trainee sponsored company to demonstrating


trainee status and discuss arraigning a meeting with their trainees.

If the trainee GPA keeps decreasing, a study committee constructed by


trainers to be hold to study applying (C) group.

The SMP Study Team Committee will continue to meet at the end of each trimester
to review the academic status of all trainees in relation to their grades and GPAs.
