OFFICE MANAGER- Extendicare Kawartha Lakes
Applications are invited for the permanent full-time position of Office Manager at Kawartha Lakes Home, our 64-bed facility located in
Lindsay, Ontario. Reporting to the Administrator, the Office Manager is responsible for all aspects of the business office and systems;
including but not limited to, accounting and payroll duties. The Office Manager also provides secretarial support to the Administrator and
other supervisory staff in the facility.

RESPONSIBILITIES

• Plans, organizes, directs and supervises the activities of the business office; establishes and monitors
work flow and makes changes as necessary to improve quality of service.
• Adheres to established policies and procedures regarding quality assurance, fire, occupational health and
safety, environment and infection control.

• Maintains internal records and prepares internal reports for facility as required; maintains confidentiality
of all financial, personnel and resident data; maintains accounting records

• Handles payments from families and all queries concerning billings from residents and /or families;
prepares bank deposits

• Greets visitors, determines purpose of visit; directs visitors to proper location as appropriate; informs
staff of visitor’s arrival; presents a positive image of the facility to the public; monitors comings and
goings of residents from facility.

QUALIFICATIONS

• Post secondary diploma/certificate in office or business administration (or comparable) preferred.

• Secretarial skills and experience with office procedures required

• Knowledge and experience with office equipment including personal computers, Microsoft office.

• Must have an understanding of banking practices i.e. deposits, trust, etc. and sufficient accounting
knowledge to determine proper entries.

• Knowledge of payroll, scheduling, benefit administration, interpretation and application of collective


agreement provisions, accounts receivable, and accounts payable practices.

• Ability to work in a fast-paced environment and have exceptional time management skills.

• Previous experience in working with Extendicare’s accounting, scheduling, payroll and resident
application systems preferred.

• Knowledge of Occupational Health & Safety practices, principles and legislation

• Ability to read and write English as well as to understand complex verbal and written instructions in
English.

Interviewer: Tell me a little bit about yourself.
Sarah: People say I have a sunny disposition, impeccable work ethic and superb communication skills.
For the past four years, I’ve worked in a small business in an administrative position that focused
on delivering excellent customer service. The programs I oversaw grew more than half in size
while under my care, gaining and retaining new customers through compassionate and attentive
assistance. My passion for people is why I’m pursuing a career in healthcare, and why I’m
currently earning my diploma in Office Administration-Health Services at Durham College. I
hope to bring the same positive attitude and integrity to your company to cultivate meaningful
client relationships and build community at your facility.
Interviewer: What three qualities about you would your last boss say made you most valuable in
the workplace?
Sarah: My previous job was in the swimming pool industry, which is a seasonal job only operates
during the spring, summer and fall season. With this in mind, I think my boss would say that my
most valuable attributes were that I was a committed employee who showed up on-time
everyday, six days a week and holidays, ready to work-hard and with a positive outlook. She
would also say that my natural confidence, professionalism, and solid time management ability
made me a perfect fit to a diverse role at her company as sales associate and pool maintenance
coordinator, where I balanced the demands of a retail store, customer service/support, and small
business administration.
Interviewer: Tell me about a time you had to adapt to a difficult or challenging situation. What
did you learn about yourself?
Sarah: When I first started at my previous job, it was as a maintenance technician so that I could learn
the ropes of the industry. I had a heavy workload of ten pools to clean each day. There are a lot
of variables involved in pool maintenance- from what state the pool will be in when you find it,
the weather, the condition of their equipment. When I started out, it was taking me almost one
hour at every job. However, I established a routine, improved the organization of my truck and
tools, and learned to effectively prioritize issues. I learned that I am adaptable and that I
approach challenges procedurally and break them into smaller issues I can solve and easily
prioritize.
Interviewer: Tell me about a time you made a mistake. How did you handle it?
Sarah: I’m the type of person who believes very strongly in admitting mistakes, acknowledging the
consequences and actively working to repair what was damaged as well as honestly committing
to doing better. I don’t give credence to excuses. As an example, when I was in University, I
handed in an outline for a paper that I hadn’t truly given serious thought and the time it deserved.
It was clear to my professor, and my mark on that assignment reflected it. I took the poor mark,
admitted to myself that I had made an error and put in time every day working on my paper. In
the end, I received a A+ and was offered the chance to publish.

Interviewer: Where do you see yourself in the next five years?


Sarah: My first goal within those five years would be graduating my diploma program at Durham
College, hopefully top of my class. I would like to gain employment in a role that puts to use my
education and hard-earned skills. I like to imagine that I’m working a stable job, where I feel
valued, fulfilled and can grow my career in healthcare. Most importantly, in the next five years,
I want to belong to a community and be in a position where I can give back to it.
Interviewer: What attracted you to this company?
Sarah: In the past five years, I’ve been exposed to a lot of the healthcare industry through ailing and
ageing family members. Extendicare is just establishing itself in the Kawartha Lakes region and
Lindsay, which I am being a part of I think would be a rewarding experience. I’m attracted to
Extendicare’s interest in integrating itself into the local community and making elder care a
positive experience for residents and family.
Follow-Up Questions
Sarah: What does the work week looks like in terms of hours and would I be salaried or hourly pay?
Interviewer: It is a 40-hour work week, with over-time expected if emergencies arise. You would
be receiving a salary starting at $42,000 per year paid biweekly.
Sarah: What vacation time can I expect?
Interviewer: You would be entitled to 2 weeks of vacation time annually, going up to 3 weeks after
5 years of employment, with 4 percent vacation pay.
Sarah: What benefits does Extendicare offer employees?
Interviewer: We offer all our employees health, dental, and life insurance under our group
benefits plan with ManuLife.
