Guidance on Industry Standard Vendor Data Requirements-Offshore Cranes
Foreword
This is the first issue of Engineering Technical Practice (ETP) BP GIS 38-011. This Guidance on
Industry Standard (GIS) is based on parts of heritage documents from the merged BP companies as
follows:

1. Scope
This GIS provides vendor data requirements for the purchase of pedestal cranes.
The specified Vendor data shall be furnished in the number of copies indicated and in the
number of calendar days shown after receipt of a purchase order and / or release to commence
work. All Vendor data must be sent to the address specified. BP may withhold payment if the
specified Vendor data is not received. Vendor data is grouped as follows:
1. Class 1 Data required to be submitted with bidder’s proposal. Proposal will not be
evaluated without this required data.
2. Class 2 Data required for BP review. This data must be submitted and satisfy
requirements for drawing review payment.
3. Class 3 Data required during the course of fabrication and testing.

g. Documents stamped and returned as “Manufacturing May Proceed as Noted” “Revise and
Resubmit for Review” means that manufacturing may proceed in accordance with the
noted comments; the comments shall be incorporated into the documents. The documents
shall be promptly revised and resubmitted for review with the same number of copies as
the original submittal.
h. Documents stamped and returned as “Not Correct” “Revise and Resubmit” means that
manufacturing may not proceed. The documents shall be promptly revised and
resubmitted for review with the same number of copies as the original submittal.
i. Documents stamped and returned as “Manufacturing May Proceed” “Review Not
Required” means that review of this document is not required and manufacturing may
proceed. The final documents shall be submitted in accordance with the Vendor Data
Requirement Form.
j. Documents stamped as “For Information Only” means that the document was submitted
for information only and a review of the document is not required. The document will not
be returned to the Vendor.
k. Documents stamped as “Void” means that the document is considered voided and a review
of the document is not required. The document will not be returned to the Vendor.
l. Unless otherwise specified, ten working days shall be allowed for review of Vendor data.
m. "Certified Final" or "As-Built" versions of the Vendor data shall reflect as-built dimensions
and configuration for all items furnished.
n. Final Vendor Data Books shall include the information shown on the attached form on
local page size, bound in binders, indexed and tabbed as follows:
1. Drawings.
2. Data Sheets.
3. Installation / Operating / Maintenance Manuals.
4. Spare Parts Lists.
5. Calculations.
6. Test Records.
7. Code Certification Documents.
8. Material Certificates.
o. One set of the Final Vendor Data book shall be submitted to, and approved by, BP (prior to
reproduction of all copies of the Final Vendor Data Books).
p. Final Vendor data shall be submitted complete, as per the documentation matrix and the
Vendor supplied index of data and drawings. The Vendor Documentation Receipt form
shall accompany the final Vendor data package. Final Vendor documentation submitted as
partial items shall be rejected and returned to the Vendor for proper submittal.
q. BP shall withhold ten percent (10%) of the total purchase price until all acceptance criteria
is complete. Acceptance is complete when all materials have been deemed satisfactory by
BP and when all Vendor Data Requirements have been completed and the Vendor Data
Requirements form has been received and accepted by BP.
r. Invoicing by Vendor shall reflect this retainage: invoices submitted by Vendor shall note
the 10% retainage deducted from the total invoice amount. Invoicing not reflecting this
retainage will be returned to Vendor for correction and re-submittal. Final invoice can be
submitted for Vendor data retainage when BP has accepted data.

Notes:
1. Certificate of Conformance is a document furnished by the Vendor attesting to BP that the equipment
has been built to the specified metallurgical properties and performance standards.
2. Vendor shall identify spare parts with cost advantage when procured simultaneously with the equipment. The
cost advantage and order placement time shall be indicated.
3. Buy-outs to be completely described with original manufacturer’s name, part number, serial number, etc. so
that part can be purchased directly without reference to the equipment on which it is installed.
