THE SIMPLE REPORT

When preparing a simple report, you should:


A.Organize your details logically and pellucidly.
B.Lucidly express your information
C.Avoid unnecessary words, expressions and
irrelevant details.

Apart from the above, the writer of simple reports


must aim at recording information objectively.
He/she should exclude all opinions, preferences
and judgements. The report must be based on
factual information. However, in a more complex
report, the writer may be asked to include
recommendations and conclusions based on
evidence.

Here are the guidelines to aid in the organization


of your report.
1.The subject of the report should be written
above.
2.The introduction should contain purpose,
scope and terms of references.
3.In the conclusion you may make
recommendations or suggestions.

Dear Sir,
Report on the incident that occurred on 14 November ,
2009
I wish to apprise you of the incident that occurred on the
school’s recreational ground on 14 November 2009.Sylvia
Porridge of Grade Nine was consuming her lunch on a bench
beneath the oak tree when Randy Bandy approached her and
proceeded to taunt her about the contents within her lunch
bowl.
Further, Randy used his cricket bat to dislodge the bowl
from her hands, striking the knuckles on her left hand in the
process. Consequently, Sylvia crumpled to the ground and
began to scream as students rushed to her aid. Susan Sass and
Susie Foo Yong of Grade Ten who sat on the opposite bench
and who witnessed the incident, approached Randy and an
altercation began.
Mr. Barnaby, the Physical Education pedagogue, dissipated
the affray and took Sylvia to the hospital. She was treated by a
nurse in the Casualty department and it was revealed that the
joints in Sylvia’s fingers were dislocated. An explanation was
then given to the parents of Sylvia as to the cause of the
incident. The matter is currently being investigated by Mr.
Barnaby.
