Dear Phil,

Castle Head Visit Mon 17th – Fri 21st November 2008

Please find enclosed domestic forms for you to complete and return to the Centre by the 3 rd
November if possible. The final invoice is due. Once issued no alterations are made so it is
important that we get the numbers as accurate as possible. I would be grateful if you could supply a
breakdown of the male and female students and staff so that a room list can be prepared

On certain courses it is useful if visiting staff are able to drive the Centre minibuses. If any of your
staff have entitlement to drive a minibus and are prepared to do so we require a completed driver
questionnaire (attached). Each driver will also need to bring their full driving licence with them on
the course.

I should like to remind you that we no longer provide bags for packed lunches. We therefore
request that all visitors bring a washable lunch box and drink bottle in order to cut down on
the use of plastic bags and packaging. Please ask your students to name all their belongings. We
hold lost property for a month and then give any unclaimed items to charity.

For safety and security reasons we no longer allow mobile phones at the Centre unless by prior
arrangement with you as the School Group Leader. If you decide to allow your students to bring
mobile phones, this must be agreed with the Centre beforehand. There is a payphone on site and
students may wish to bring change for this with them. We also have a tuck shop which is open for
a short period in the morning to sell sweets, drinks and souvenirs and there is a small bar available
to staff. Only alcohol bought at the bar may be consumed in the Centre. Smoking is not allowed
anywhere inside the buildings and chewing gum is not allowed anywhere on site. Between 11 p.m.
and 7 a.m. we have a “quiet time” for the comfort of all our visitors.

Most of our staff bedrooms have keys which are available for a deposit of £10. This will be
returned when the key is handed in. Those rooms that are not lockable by key have number pads
and a unique number.

It is really important that we receive before your visit:

 Domestic and Medical Information
 Drivers Questionnaire(s) if appropriate
I hope that your plans are going well and look forward to hearing from you.

Yours sincerely,

Mrs Shirley Martin
