New to Personal Computers (PCs)
If you are new to PCs, use your PC manuals or tutorial to become familiar with the basic functions
of the PC, such as pointing, clicking, etc. You should also become familiar with terms such as the
desktop, scroll bars, etc.
JSEAsy Terminology
The following are important computer/ JSEAsy terms that you should become familiar with:
Characters
A character is a letter, number, punctuation mark or special character (@#$%^&*, etc.) that you
type on you keyboard. A blank space, entered by pressing the space bar on your keyboard also
counts a character.
Command Button
A command button is a way to have JSEAsy perform an action. Clicking on a button with the
mouse activates software to perform the action. The action to be performed is indicated by a
label on the button. Command buttons are displayed on forms and are rectangles with a text
label. The command button may have any background colour and the label on a button may
be any colour. The label may be text (words) or a symbol. For example, a symbol could be a
drawing that looks like a printer, which indicates that clicking on the button will produce a report
for printing.
Field
A Field is a data entity where information is displayed, entered or modified. The fields in JSEAsy
have been pre-defined and may contain text, numbers (either integers or decimals), currency,
percentages, dates, etc. This prevents the wrong type of data from being entered into a field.
For example, a date field my only contain dates, a currency field may only contain dollars and
cents, etc. However, a text field may contain any combination of letters, numbers and special
characters (punctuation marks), up to the number of characters allowed by the field (see definition
of characters, above).
Fields are displayed on JSEAsy forms (see definition of form below) or printed on reports. Some
fields are locked and thus the data in these fields may not be changed. If a field is not locked,
data may be changed by typing in that field on a form.
Form
A window displayed on your computer monitor screen. It is designed primarily for data input
or display or for control of execution of JSEAsy options. Forms may contain fields, command
buttons, informational text messages, etc. All data entered into JSEAsy are via fields on forms.
The colour convention in this document uses blue text for form names.
Report
An object designed for formatting, calculating, printing and summarizing selected data. You can
view most reports on your screen before you print them. The colour convention in this document
uses green text for report names.
Page 6
System Requirements
JSEAsy may be used on a stand-alone PC or a network of multiple PCs, where one of the PCs is
utilized as a “server” for JSEAsy. JSEAsy will also run on Windows Terminal Server. The requirements
listed below refer to either a stand-alone PC, or to each PC in the network that will be running JSEAsy.
Minimum Required Hardware
• 1.5 GHz or higher processor
• Stand alone or networked client computers: 2 GB or higher RAM
• Server computer: 4 GB or higher RAM
• Monitor (Display) with 1280 x 1024 or higher Resolution (highly recommended)
(Beginning with JSEAsy v4.0, forms were designed to fit on widescreen laptops with a
resolution of 1366 x 768. Most of the forms may now be re-sized by clicking and dragging an
edge. Some forms may also be maximized by clicking on the Maximize button at the top right
of the window.)
• Hard Disk Drive, Solid State Drive or Flash Drive
• At least 200 MB free disk space
• Media for backup, i.e. Tape, CD, DVD, Blu-ray drive, Flash Drive, etc.
• Mouse, Track Ball, etc.
Recommended Hardware
• 2 GHz or higher processor
• Stand alone or networked client computers: 4 GB or higher RAM
• Server computer: 8 GB or higher RAM
• Monitor (Display) with 1280 x 1024 or higher Resolution.
• Hard Disk Drive, Solid State Drive or Flash Drive
• At least 300 MB free disk space
• Media for backup, i.e. Tape, CD, DVD, Blu-ray drive, Portable Disk Drive, Flash Drive, etc.
• Uninterruptible Power Supply (UPS). Power fluctuations may cause PCs to corrupt (damage)
JSEAsy data.
Required Software
• Windows 7 or Windows 10. JSEAsy should also work with Windows 8, however it has not
been tested with windows 8.
• JSEAsy will work on a stand-alone system with Windows 7 Home or Windows 10 Home;
however, in a business environment with networking, remote login, etc, then Windows
Professional, Ultimate or Enterprise is necessary.
Note: It is highly recommended that you use the “Auto Hide” option for the Windows Task
Bar at the bottom of the screen to allow more screen area for display of forms and reports.
To accomplish this click on the Start button in the task bar (bottom left of screen) then select
“Settings” – “:Task Bar & Start Menu”. Then under the “General” tab, make sure the “Auto hide”
box is ticked. The “Always on top” box should also be ticked.
Installing JSEAsy
Download: Follow the instructions provided in “JSEAsy Install and Startup Instructions.pdf”,
which is included in the download.
The installation will place both the program file, JSEAsy.accdr, and the data file,
JSEAsy_be.accdb, on your disk.
Important: If you are installing JSEAsy on a network, the data file, JSEAsy_be.accdb, should only
be on the computer that is designated as your server, but the program file, JSEAsy.accdr, should
be on all computers. Since the installation will install both files, the data file,
JSEAsy_be.accdb, must be deleted from all computers except the server.
Page 7
JSEAsy Organisation
JSEAsy is structured around jobs and the Job ID for each job. When your company has a task, you
create a JSEAsy Job for that task. Thus you may think of JSEAsy Jobs as individual tasks.
When a new job is added to JSEAsy, a unique Job ID is automatically assigned by JSEAsy. JSEAsy
items are stored in “tables” and there are separate tables for Jobs, Customers, Employees and
Subcontractors, etc. Relationships among the many tables are pre-established and are transparent to the
user. In other words, you don’t have to worry about how the data in these tables are stored or how the
tables relate to each other because it is taken care of automatically by JSEAsy.
Each Job is associated with one customer and that customer may also be your company. A customer
in JSEAsy may be associated with many jobs. You can select a particular customer and view all jobs
associated with that customer. The power of JSEAsy gives you tremendous versatility on how to locate,
view or print information contained in JSEAsy.
JSEAs are organised by Industry Type and Industry Specific. For example, a roofing job would be an
Industry Type of “Construction” and Industry Specific of “Roofing”. There are many Industry Types and
Industry Specifics already included in JSEAsy, but you may add others as desired.
A sample of Industry Types is shown below. When Industry Type “Construction” is selected, then the
Industry Specifics associated with it are shown on the right side of the form.
A JSEA template is a set of steps for a task that may be used again for different jobs. There are built-in
JSEA templates for some Industry Types and Industry Specifics, but you may add others as needed. One
or more templates may be included in a Site Specific JSEA by simply clicking a command button and
selecting the desired template.
Graphical representations of the structure of JSEAsy and Site Specific JSEAs (and JSEA Templates) are
shown below:

Starting JSEAsy
Double click on the JSEAsy shortcut on your Desktop (single click if your desktop has been set-up for
single click). This is the shortcut that was copied from the JSEAsy installation CD.
You may also use the Windows Start Menu to start JSEAsy by clicking on “Start”, then move the cursor
to “All Programs” – then click on “JSEAsy” as indicated below. This procedure is for Windows 7, but
other versions of Windows would be similar.
Page 11
The first time you run JSEAsy after installation, the License Agreement will appear as shown below
Click anywhere in the license text area and a scroll bar will appear on the right. You may then scroll
down to read the entire License Agreement. JSEAsy will execute after clicking on the “I Agree” button.
If a valid License PAK has not been previously entered or the license has expired, the following
dialogue box will appear:
1. Enter your company name in the space next to “Business Name”. Note, it is important to enter
your company name exactly as you entered on the JSEAsy Web Site to obtain your License PAK.
3. If you downloaded the JSEAsy installation, then enter the PAK number obtained from the JSEAsy
Web Site, including dashes (hyphens). Otherwise, obtain a PAK number from the JSEAsy company
(TotalTrack Pty Ltd) and enter it in the space next to “PAK”.
Page 12
The following dialogue box might appear the first time you run JSEAsy after installation. This allows
you to tell the JSEAsy program where your JSEAsy data file is located. This is necessary especially
if you are using a network and your data file is on a server. This step will have to be performed on
each computer on your network after JSEAsy is installed.
When this dialogue box appears, click on “OK”, then the “Locate Data File” dialogue box will
appear, as shown below.
To locate the data file, click on the triangle to the right of the “Look in” field and first select the
computer on your network that will be used as your file server. If you are not using a network,
proceed to the next step.
Page 13
Then select “JSEAsy_be.accdb” from the list of files.
The main options form will appear when JSEAsy starts. Any of the main options may be
selected by clicking (once) on the button with the label for the option.
When JSEAsy is running, check the upper right corner of the window to ensure that the display
is using the full screen. If the full screen is not being utilised, the windows control box will
appear as follows:
To use the full screen display, click on the square in the windows control box. JSEAsy is using
the full screen display if the windows control box appears as follows:
Page 14
First Things First
It is important to do these steps first; otherwise you will not be able to create a Job in JSEAsy without
these steps being done.
1. Update Defaults (State, Industry Type and Industry Specific) Update Defaults
Click on this command button on the Main Options form to (State, Industry Type
update the Industry Type and Industry Specific defaults and Industry Specific)
(defaults are used throughout JSEAsy to automatically select
items; however you may also change them at each instance. Update Industry
Type/Specific
Select your Industry Type first then your Industry Specific (trade).
If your Industry Type or Industry Specific is not listed, then
click on “Update Industry Type/Specific to add them. State was entered at License
Registration, but you may change it here.
When a new job is created, you can select a customer from the list of customers in
JSEAsy. If the new job is for a customer that is not already in JSEAsy, then the new
customer may be added along with the new job.
3. Add Employees and subcontractors to JSEAsy, one at a time, along with personal
details for each employee or subcontractor. Add New Employee
This is done by clicking on the “Add New Employee or Subcontractor
or Subcontractor” button on the Main Options form.
This is important because Employee/Subcontractor data are used for selecting the name
of the person who originated a JSEA, the supervisor to review the JSEA and the Safety
Supervisor.
Backups
Doing daily backups (backup copy) of your JSEAsy data is extremely important. The value of daily
backups cannot be stressed enough. You may do backups for months or even years and never need
them, but one small glitch can corrupt (damage) your JSEAsy data and render it unusable. A computer
crash or hang, power fluctuation, network error, etc. are a few causes of JSEAsy data corruption.
Once JSEAsy is corrupted you may not be able to access your data or enter new data. The JSEAsy
program file (JSEAsy.accdr) may be restored from the JSEAsy installation CD, but your data file must
be restored from your backups. Thus it is extremely important to backup file JSEAsy_be.accdb which
is in folder “C:\JSEAsy” (unless it is on a server).
It is recommended that you do NOT perform the daily backups to the same media, i.e. the same disk,
tape, etc. You should have a different media for each day, i.e. if you are using disks for your backups,
you should have one disk for Monday, one for Tuesday…etc. This is to prevent overwriting a good
backup with a corrupted backup. For example, perhaps one aspect of you data was corrupted by a
power fluctuation on Tuesday, but you didn’t realize that the corruption had occurred until Thursday.
If you had used the same media for daily backups, then when you attempted to restore the data file
from backups on Thursday, you would get the backup file from Wednesday, which is corrupted. With
separate media for each night, you could then restore the data file from each of the preceding nights
until you obtained a non-corrupted copy.
It is also recommended that you archive you data periodically, perhaps once a week, then once a
month. An archive is simply a backup that you keep for a longer period of time.
You can minimise the chances of data corruption by using an uninterruptible power supply (UPS). A
“Smart” UPS is recommended since it will maintain proper voltage and therefore reduce the chances
of data corruption from power fluctuations.
Page 15
Information Icons
Information icons are located on many JSEAsy screen forms. Clicking on the icon will take you to
helpful information and hints about that form on the JSEAsy Web Site.
Letterhead Printing
The file used by JSEAsy to print your letterhead/logo on plain paper is a JPEG file, Letterhead.jpg,
which you may create yourself or TotalTrack Pty. Ltd. can do it for you. The file is placed in C:\ JSEAsy
and it is limited to 47mm high by 192mm wide.
If your Letterhead.jpg file has larger dimensions, then it will be reduced to fit into the above size.
Likewise, if your Letterhead.jpg file has smaller dimensions, then it will be expanded to fit.
Page 16
Passwords
Access and modification of sensitive data are protected by passwords. The protected data are
grouped into three types, management data, personnel data and admin data, which require different
passwords. When you first install JSEAsy, all passwords are set to “TotalTrack” by default. It is
important that you change the default passwords as soon as possible after installation by clicking on
the “Update Passwords or License PAK” button on the Main Options form.
Reset Passwords
If you forget one or more of your passwords, contact us at JSEAsy (TotalTrack Pty. Ltd.) and
we can give you the sequence of steps that will reset all your passwords.
Page 17
Forms
A Form is a window displayed on your computer monitor screen. It is designed primarily for data
display, input, or for control of execution of JSEAsy options. Forms may contain fields, command
buttons, informational text messages, etc. All data entered into JSEAsy are via fields on forms.
Forms that only contain error messages or instructional information are not described in this section
because they are self-descriptive. All other JSEAsy forms are described in this section. The JSEAsy
Main Options form is described first, since it is the form used to select all further JSEAsy options. All
other forms are listed in alphabetical order, following the description of this form.
A sample of the Main Options form for the non-premium version of JSEAsy is shown on the
next page.
Each Command Button (option) on the Main Options form leads to many further options that
may be selected. For example, if you click on the “Select an Existing Job” button, another form
will be displayed which gives several options to select an existing job, like a scrollable list of all
existing jobs, the option to enter a Job ID or a customer’s name, etc. After a job is selected a
form will be displayed that has numerous job details and options. From the job form you can
review existing Site JSEAs for the selected Job or you may create new Site JSEAs. Details of
options of the “Job” form are contained in a later section of this manual.
A description of the function of each Command Button on the Main Options form follows.

JSEA (SWMS / JSA / JHA) form (Site Specific)
Note that SWMS or JSA or JHA is displayed depending on the Country and the Acronym selected (see
Defaults Update). On this document SWMS refers to any of the acronyms listed above.
The SWMS/JHA/JSA Site Specific and Template forms are very similar. Most of the fields are exactly the
same. They were purposely designed this way so that it would be easy to insert data in one or the other.

Site Specific SWMS
Clicking on the “Create New Site Specific SWMS/JHA/JSA” button on the Job form will display the “New
SWMS” form before the Site Specific JSEA form is displayed. See the “New SWMS form” for details
Prior to JSEAsy v4.0 the form contained the Job Header with Job details and the process steps. However
several clients requested that we change this form because it was too tall to fit on widescreen laptops with
a resolution of 1366 x 768. Therefore to accommodate this we split the form into 2 forms, one containing
the Job Header with Job details and the Sign Off List. The other form now only contains the steps. The
two forms are shown below. Note that most of the command buttons at the bottom of the forms are
identical.
Note that the steps you are working on are highlighted in the Main Process Steps, Sub Process Steps and
Potential Hazards sections. This makes it easy to identify the links to the other steps.

When the JSEA (SWMS / JHA / JSA) is first opened, only the first form, with Job Header details and
Sign Off List is displayed. The second form, with the process steps, is opened by clicking on the

The two JSE (SWMS / JSA / JHA) forms contain several separate sections:

Forbidden (Section)
This section is used to enter Forbidden items.
Add a new Forbidden item by typing into the “New Forbidden” field then pressing the <enter>
key. JSEAsy maintains a list of Forbidden and if you enter one that is not in the list, then it is
automatically added to the list.
When you start typing into the “New Forbidden” field, a Forbidden Item will be displayed that
has the same starting characters. For example, if you type “C” then the first item in the list
starting with “C” is “Cutting Steel” so it will be displayed. If that is not the item you want simply
keep typing until the one you want is displayed or if none are displayed then it is considered a
new item for the list.
You may also click on the triangle to the right of the “New Forbidden” field and a list of
Forbidden items from the list will be displayed. Scroll down the list then click on an item and it
will be added to the Forbidden items for the current SOP.
Forbidden items are not step numbered but are simply listed with no regard to position.
A Forbidden item may be deleted by clicking on the “Delete” button to the left of it.
Clicking on this button will display the “SOP Forbidden Items Keyword Search” form where you
may enter a keyword. Any Forbidden items containing that word will be displayed. Click on
the item desired and it will be place into the Forbidden items for the current SOP. See the “SOP

WHS (Work Health and Safety) forms
The form titles will reflect WHS, OHS or OSH depending on the country and state/province. Likewise,
the text of the forms will also reflect WHS, OHS or OSH. For the purposes of this document we refer
to WHS for all.
Most WHS forms are self-explanatory in that all you have to do is fill-in the fields on the form.
Some WHS forms do not have fields to be filled-in and are reports only (for printing) that are
generated by JSEAsy. These are noted in the lists on the following pages by <<< and are accessed
by clicking on the “Select a Completed WHS Form” or “Generate a New WHS Form” on the Main
Options form.
These forms will then be generated by JSEAsy to contain appropriate entries for State regulations,
regulators, your company name, etc. The form will reflect state wording such as WHS according to
the appropriate state regulations.
It is important that you have your defaults up to date (see Defaults Update form). Select the state
in which most of your business is conducted. You may also change the default state just before
generating a WHS form so that the form will reflect the appropriate state. The other defaults, such as
Manager Name, Title, etc. are automatically entered into the WHS forms by JSEAsy.
Forms that require fields to be filled-in that have a state associated with it may have the state changed
on the form itself.
Note that the WHS reports for printing will show the Alternate Job ID if one has been entered for the
Job instead of the JSEAsy Job ID. It will simply appear as “Job ID”. This is to accommodate users
that have another system for tracking jobs, such as “TotalTrack”.
The next page contains a list of the WHS forms in alphabetical order and the subsequent page has
the list in form number order.
