0 INTRODUCTION
Nowadays, there are online car reservations that provide significant benefits to users. A rental
service is one in which customers come to acquire the use of a rental unit. It is more convenient
than bearing the cost of owning and maintaining the car. There is also a rental service at
Universiti Teknologi Mara (UiTM) Machang, which is a system that works manually and
individually. UiTM Machang, as a fully residential university, accommodates about 5,000
students in five separate residential colleges. There were various challenges that occurred on
students, including difficulties in finding a rental automobile for students who wanted to rent a
transport and difficulties in publishing an advertisement regarding a rental car. This service is
tough to find in applications. Typically, car rental owners do not market their vehicles on the
internet, but instead advertise it among residents. Problems arise when students discover that
it is a rarely used application for car rental. Renting a car via online is a necessity for people
who do not have their own transportation, particularly students who need to go around to
conduct business outside of college. Previously, they had to ask a local if there were any
available cars to rent nearby, which took a long time given that everything is now available
online.

To overcome this issue, a platform that can assist both the owner and the rental person in this
car rental system is required. The solution to the different issues that students face has been
developed. UiTM has taken the initiative to establish an application, UiTM E-Car Rental, to
address the needs of college students. This project is intended for usage by a car rental
company that specialises in renting cars to people. It is an online system that allows users to
view available cars, register, view profiles, and book cars. A web application is one that can
be accessed through a network such as the Internet or an intranet. In this approach, the owner
can advertise their vehicle and contribute to enhancing their advertising. While students can
browse for any available cars for rent without wasting time. As a result of this new way, the
process will be more efficient, and the safety of hiring a car will be ensured. It is also the most
effective technique to improve management quality while reducing time restrictions. The
desired outcome of this project is that users will be able to readily find a car that is available
in the system, and the rental car management procedure will be simplified and more efficient.

2.0 CURRENT SYSTEM
A car rental is a vehicle that can be rented for a specific period of time for a charge. Renting
a car allows student to travel around even if they do not have access to their own personal
vehicle or do not own one at all. The person in need of a car must contact a rental car
agency and make a reservation for a car.

The scenario was slightly different on campus from outsider agencies that organised car rental
services. The availability of car rental is unpredictability and cannot be guaranteed by the
customer, regardless of whether the customer is a student or a staff member on this campus.
The scenario here is similar to the non-systematic method of hiring a car. Those who need to
rent a car must seek for published information about car rental or car hire on today's social
media platforms, such as Facebook. They must look for a rental car on campus using their
own credit by messaging the owner, as well as wasting their time by checking Facebook's
rental car group, but this is an undesirable and unprofessional manner to someone who values
their time. To rent a car, the student must first contact the car rental agency for the desired
car. This is something that can be done online. At this point, this person must provide certain
information, such as the dates of rental and the type of vehicle. Following the completion of
these details, the person renting the car must provide a valid Identification Card. If a driver
decides to rent a car beforehand, they go to a car rental website or app and search for a car
that suits their demands. Then, if an advance payment is required, they book it and pay for
the selected rental period.

This customer arrives at the car rental location on the scheduled day to pick up the specified
car. An agent copies their identification, explains the lease conditions, instructs them on any
particular features of the car, and ultimately offers them the keys. When the customer returns
the car, the agent inspects it for damage and verifies the mileage. In truth, the car rental
process entails a slew of additional activities behind the hood. The automation of these
processes enhances the speed and quality of service.

4.0 INPUT OF THE CURRENT SYSTEM

The car rental agency alternatively uses posters to offer their services to the general
population. They also employ phone calls or WhatsApp reservations, which are also limited in
terms of capabilities as compared to a web-based solution. Users, particularly students, who
want to rent a car must locate a company or agent that offers car rental services. They must
next acquire the contact information and call or WhatsApp the agent. They may also be
required to go immediately to the car rental location. They need to verify if the car is available
or if it is fully occupied, and this process will waste their time because they need to be there
right away. If available, customers must pay and disclose all of their information to the agent
manually.

The first step in the booking process is for the student to identify a contact of a car rental
agency that provides service in the UiTM Machang neighbourhood. Some students will call or
WhatsApp the agency to reserve a car. At this point, the student must provide some
information, such as the dates of rental and the type of car. Following the completion of these
details, students must provide a valid Identification Card. Another student prefers to walk
straight into the car rental location. Students will choose the car of their choice at that location.
Students are allowed to choose whichever car they want based on their budget and availability
at the time of reservation. The customer can clearly see the available car at this point. They
must also complete the agreement form. The form is printed on paper and must be filled out
manually handwritten by the student. The entire payment will be made after the rental period
has ended. This type of system still lacks many of the features that are required for this type
of system.

5.0 OUTPUT OF THE CURRENT SYSTEM

After signing the agreement, the student will be given the car's key and will be able to use that
car. Following the collection of the student's information, agent must ensure that a reservation
is usually validated by issuing a receipt. The car requested by the student will be delivered.
Following student confirmation, the agent ensures that any reservations made by the student
are recorded for any future circumstances. The copy of receipt will be saved in the receipt
book.

6.0 PROBLEM STATEMENT
This problem statement is going to describe the problem faced by UiTM Machang students in
using an existing car rental system. The first problem for the manual car rental system is the
manual booking management which complicates the students and there is a possibility of
errors during the car rental process. The manual booking process is really a waste of time as
students have to go to the location, meet with the owner and make a written agreement and
fill in all the personal information such as pick-up location, date and time in the manual logbook
if they want to rent a car. The process takes about 30 minutes and is burdensome for the
students as the time taken is very long and the location is also quite far from the campus or
college. Sometimes the results were not successful because there were no cars available that
day and all the cars had been booked by other students.

Furthermore, the prices offered change frequently and are quite expensive for students.
Sometimes the price offered does not make sense for students to rent. The price also changes
frequently from time to time. The price offered is also not worth it depending on the type of
vehicle provided. For some owners, they see this as an opportunity to generate profit because
they know these students have no other choice and only accept the services they offer.
Sometimes the car provided is also not in good condition for example the car smells bad and
dirty. Students also face problems when they are overcharged when they want to return the
car.

Another problem in existing car rental system is also the difficulty of students in obtaining
accurate information and complete transparency when wanting to rent a car. Manual car rental
bookings also do not adopt a user-friendly system where the systems do not have a feature
to give information for students to check the status of cars available on that day, we also do
not know the various of car provided by the owner and we could not rate the customer service
at that place because there was no feedback system. We also do not have a proper platform
to make a report about the rental car services or give some feedback on the services provided.

The last problem with the existing car rental system that UiTM Machang students experience
is that limited payment options. Students are only offered the option of paying payment by
hand or using online payment. Payment for car rental contains car rental advance money, and
full bill is made when the car is returned. Students may be charged an extra fee if the rental
duration exceeds the time limit.

7.0 OBJECTIVES OF THE NEW SYSTEMS

The objective of the online e-car rental systems is as follow:

1) To create an excellent online e- car rental for students and help them to book their
slot to rent the car.
2) To provide a user-friendly and simple online booking experience for students.
3) To provide an easy means of payment. The moment students complete the payment,
a notification will be sent as regards how they will be getting the car they rented.

8.0 SCOPE OF THE NEW SYSTEM

This system focusses on the UiTM Machang student for booking the vehicle. There are two of
user in this system which is admin and student. Admin is the person who take car about the
registration of user and updating the user details. Admin also in charge in register the vehicle,
accepting booking from student and manage schedule for each of vehicle. While students are
the person that responsible to book the vehicle. The purpose of this system is built because
we want to provide user-friendly and efficient car rental booking services for UiTM Campus
Machang students. This system provides more options in terms of the payment, various type
of car, time packages offered according to price and monitoring the services performance
through the system. By generating these new systems, the students get to save their time as
the booking system that we provide can be made through online. Previously, the existing car
rental booking system did not have the same advantages as the new system we have created.
The existing system is quite complicated where students have to go to the location, meet with
the owner and make a written agreement if they want to rent a car. Students also do not have
the option to make a payment because the owner only accepts payments by hand or online
payments only. To add, the relevance of the new system we created provides an easy booking
experience and paperless transactions where the car booking method is only through online
and there is no need to wait in line. The method of payment is also simple where students who
have completed the payment, a notification will be sent on how they will get the car they rented.
In addition, the feature available on our system is a mobile application that can get car rental
information online without having to go to a location. Our system also will provide a notification
that will appear every time the owner offers a new deal. Through this system as well, students
do not have to worry about canceling online bookings because we provide rescheduling of
bookings according to the student's time as long as the car is available for that time.

9.0 SYSTEM BENEFIT / SIGNIFICANT OF THE PROJECT

Our e-car rental systems provide a lot of benefit for students and for the owner as well. The
advantage of our system is that it can save time while searching for information about car
rental services. This service gives an advantage to students and owners where students do
not have to leave the campus to find information and the owner can update the information of
the service offered through the system provided. The system also provides space for students
to find the owner's phone number, email, car rental location and the price offered. With the
introduction of the e-car rental system, it will be available 24 hours for students and for owners
who want to check bookings daily and send the car to the named location after payment is
made by the student. Moreover, students can place their orders even one day before the
delivery time which is a huge advantage for the owner who acquires customers. This system
also provides a user friendly and simple booking experience for student to make a reservation
because after students already create an account and fill out their personal information, they
can directly place a booking and see the details of the car and be able to choose unlimited car
listing. The system also will tell about the specification of the car. So, with this way, the student
no need to walk-in and meet with the owner to make a written agreement.

Security-related to payments linked to online instant payment methods and SMS verification
codes or e-mail notification messages to verify the user’s phone number and email address.
E-car rental system also easy means of payment which means the moment students complete
the payment, a notification will be sent as regards how they will be getting the car they rented.
E-car rental also have an automated refund options to students who suddenly want to
cancel the reservation. Online payment methods provide authentication and encryption
facilities where the student’s banking details will be encrypted, which is not even accessible
by the owner. This e-car rental system also contributes to the safety and security of students
because all rental information and student’s data are safely stored in this system. This in turn
can be the integrity of the business. In addition, there are other benefits available in this system
where after students go through a fun e-car rental experience, they can also provide a ratings,
reviews and feedback to the owner and also this e-car rental system. Feedback and reviews
of these students can be used as a reference for new students who want to use this owner's
service and the owner also can make improvement to their service if there are unsatisfactory
comments from students.

11.0 USE CASE DIAGRAM FOR NEW SYSTEM

UiTM E-Car Rental was successfully established in 2021 carried responsibilities for performing
online self-services booking system request from the customers who are the students in UITM
Machang. UiTM E-Car Rental had upgraded their process for registration using automated
online system. The systems functionality come out with an affective online booking system.
The following describes the uses cases.

Customers

- Create an account by signing up.

- Login using username, email, and password.

- Start booking slot by filling in the personal details such as car, pick-up location, date, time,
and rental duration.

- Once done, the customers need to settle payment either by online banking or

ATM payment.

Administrator

- Design, build and edit the system.

- The administrator will check the availability of the car before the customers is

assigned a booking slot.

- Able to view the customer’s information once their information is entered.

- Produce receipt after the payment confirmation.

12.0 PROPOSE FORM – INPUT (INFORMATION) OF THE NEW SYSTEM

The input of the new application systems will begin with user profile login interface. Customers
must create an account by signing up for the website to make a reservation. Customers only
must make reservations online. That will certainly save time, money and energy. Users must
click "register" for the new beginner. Existing and new users must login to the system after
verifying their username and password. Each time a user logs in, the system will verify their
username and password.

Users can now directly place a booking and see the details of the car that they want after
successfully logging in. In the description, the system talk about the specification of the car
and the customers can choose the car that they want to reserve. Customers can now choose
from a larger selection of vehicles in the new level of our e-car rental system.

At the same time, customers also should fill out personal information such as pick-up location,
date, time, and rental duration in the provided section as references to other customers who
are using the system. The customers then have to pay through several payment types.
Customers can pay by payment online or by atm.

13.0 PROPOSE REPORTS – OUTPUT (RECEIPT, REPORT, ETC) OF THE NEW SYSTEM

After customers chose the car, they want to use, they will receive notification of their booked
service by means of online banking or ATM paid payment. The app will share information to
all customers who booked the service successfully immediately after payment. Customers do
not even have to worry about waiting for a queue because the car they want to use is already
secured and served. It would make the work easier and reduce the strain, particularly for
students who do not have much time to wait.
