JOB DESCRIPTION

for the position of

Site Coordinator

Responsible to: Field Operation Manager

Work closely with: Project Managers, Rehabilitation Manager and M & E Officer

Hours: 40 hours per week with flexibility to accommodate after hours work if
required

Location: Disability Resource Centre (DRC) Taungoo

Position: 1

Contract: Full time, with contract renewable annually

The Organisation

The Leprosy Mission Myanmar (TLMM) is a Christian faith-based, non-government organization that
has been working in Myanmar since 1898. We are a member of The Leprosy Mission Global Fellowship,
which is made up of about 30 countries around the world The Leprosy Mission Myanmar is locally
governed and is officially registered as a local NGO in 2018.

Our goal is to ensure that person with disabilities and those affected by leprosy and other potentially
disabling conditions in our project areas understand their fundamental rights; are healthy, educated
and earning a living; are valued and participating members of their communities; and have the
confidence and skills to speak up about issues and influence decisions that affect them.

Job Summary

The Site Coordinator works as the Coordinator in the Disability Resource Centre (DRC) and liaise with
the stakeholders including the communities that the DRC deals with. S/he has the responsibility for
the overall management of the DRC and to coordinate the DRC Team which consists of Inclusion
Facilitators, Physiotherapist and Cashier.

S/he will have to ensure the DRC team delivers quality services and implements activities in a timely
manner.

S/he will be the team leader of a team which is part of TLMM striving to defeat leprosy and for
transformed lives. S/he will have to share knowledge on leprosy and provide care and treatment
services through proper channels. S/he will also be part of a team which promotes UNCRPD as its basis
for building an inclusive society.

S/he will fully participate and contribute to the on-going development of a strong and effective staff
team.

Main Tasks and Responsibilities
1. Supervise the other team members of the DRC team including the volunteers.
2. Liaise with government departments and other organizations.
3. Maintain positive relationships and good communication with partners, government
agencies, other NGOs and key stakeholders.
4. Identify and keep record of resources and services available in the locality.
5. Develop and maintain a network of referral routes to support access/integration of PWD in
existing services.
6. Address inappropriate behaviours in the communities towards PWDs.
7. Organize monthly coordination meeting with DRC team and community volunteers and
submit the minute to the Field Operation Manager
8. Coordinate the development of Annual Work Plan of the DRC, monitor and revise the work
plan as necessary, reporting the cluster manager of the changes in a timely manner.
9. Ensure each DRC Team members have individual work plan on a monthly basis as per the
annual work plan.
10. Submit a monthly Plan Of Action (POA) including the budget plan to the Field Operation
Manager in a timely manner
11. Prepare and submit all required reports: monthly, quarterly, mid-year and annual
narrative/progress including monthly site visit record to the Field Operation Manager and
financial reports including soft copies prescribed by the finance department to the Field
Operation Manager cc to the Associate Finance Officer.
12. Maintain DRC cash accounts in local currency.
13. Record daily expenses and income into respective cash book and ledgers.
14. Assist in filing of financial documents such as claiming and receiving cash under the
supervision of the Field Operation Manager
15. Maintain office building and premises and office equipment and keep required records.
16. Purchase general needs in coordination with Logistician as required.
17. Maintain and update inventory, stock and fixed asset lists in coordination with HR & Admin
Officer.
18. Follow the requirements in the financial manual.
19. Discuss weekly schedule with the DRC team members on usage of vehicles.
20. Check weekly vehicle (car, motorbike and boat) mileage record and see to it that the
maintenance of the vehicle (car, motorbike and boat) is done according to schedule.
21. Ensure that vehicle check-up is carried out regularly and renewal of vehicle registration is done
on time.
22. Ensure the personal files and leave register and other records on Admin and HR are updated
and kept properly.
23. Follow the requirements in the HR manual.
24. Ensure M&E requirements are met: collection, updating and submission of required data and
scorings, stories and photographs, from project sites as per the particular requirement of
various projects and maintain a filing system both in hard copies and soft copies as required
25. Ensure quality implementation as per the standard operating procedure of activities of the
programme and achievement of allocated targets of the programme.
26. Identify and keep the relevant record of local human resources and recruit as required by the
programme in consultation with the cluster manager and as per the HR guidelines.
27. Fully participate and contribute to the on-going development of a strong and effective staff
team and see to the continuous capacity development of team members and those working
together including volunteers.

28. Participate with other DRC Team members in evaluation of existing projects and activities and
development of new projects and activities in consultation/conjunction with the Field
Operation Manager

As such in TLMM, safeguarding is everyone’s responsibility and all staff are required to behave
in such a way that we safeguard children, adults-at-risk and our own colleagues at all times.
In addition, to safeguard the interests of the organisation. All staff will be familiar with and
follow the TLMM Safeguarding policy and the Code of Conduct. Staff are expected to attend
related training and advocate safeguarding in their work at all times.

The person appointed will have the following attributes:

Key Selection Criteria (Essential)

1. Have a relevant degree from a recognized University.


2. At least 3 - 5 years of experience supervising team.
3. Excellent listening, communication, writing, and interpersonal skills.
4. Excellent observational and perspective-taking skills.
5. Ability to supervise, coach and/or mentor individuals and groups.
6. Ability to develop relationships and build networks with other groups.
7. Creative in problem-solving approaches and helping others to problem solve successfully.
8. Able to write reports, case studies and plans.

Key Selection Criteria (Desirable)

1. Prior working experience in an international NGO or development NGO.


2. Registered member of a professional body.
