 Case: Part 1
Question 1: Identify some of the customers who would be logical members of
the implementation team and explain why.

Answer: The customers are Employees include directors and data analysts, potential
decision makers, clerks, system providers, and those who rely on systems for self-help.
Directors are usually regular directors, directors, presidents, vice-presidents, CEOs, etc.
Customers who will be logical members of the implementation team are.

Directors: They have real-time access to accurate data that helps them make decisions. HRIS
will provide the necessary information to help them make effective decisions that will
contribute to the strategic goals and objectives of the unit. If managers are not able to obtain
accurate information, they will not be able to analyze complex situations and make decisions
efficiently. Understand the process, how new data is verified, and how HRIS and the
employee life cycle interact. Analysts have more access to HRIS than other users.

Technicians are important for HR staff members to have all the access, information and
tools they need to do their job. They can understand what is needed from the HR-process the
various clients who would be logical members of the implementation team are directors,
analysts, technicians, clerks, and some organizational staff. The technicians will assist in
installing and programming HRIS. The senior management of the organization has come to
the conclusion that it will be easier to achieve the strategic goals set by the board of directors
if different organizational functions share information. Sharing information will enable them
to develop and deploy more new actions and strategies more quickly.

Question 2: Think through an HR process and sketch out what data are necessary
to complete your sample process well. How much history does the organization need to
convert to continue functioning?
Answer: There are four main steps for the HRP process. These include analyzing existing labor
supply, forecasting labor demand, balancing projected labor demand with supply, and assisting
with organizational goals. HRIS provides a centralized database that saves applicant tracking
functions, onboarding, employee population materials, compensation and benefits choice,
time-tracking and more. This is our employee data center with the latest information on our
org's recruitment trends and employee retention. In order to pick the right HRIS, we need to
systematically communicate our findings and evaluate each solution against the defined
business needs and required functions for our project planning.
I think the only solution is to decide jointly on an ERP product for the HR process and sketch
out what data are necessary to complete the sampling process well. . ERP software applications
are a set of integrated database applications, or modules, that carry out the most common
business functions, including human resources, general ledger, accounts payable, accounts
receivable, order management, inventory control, and customer relationship management.
Yes organization need to convert to continue functioning.
Question 3: Pick one area of the HR function (e.g., recruiting), and make a list
of  processes that will need to be mapped and possibly reengineered during this
implementation.
Answer: HRIS is the backbone of data-driven HR departments and organizations. However, as
long as we take the HRIS implementation process carefully, we can smoothly transform the
organization into a more orderly and efficient era of HR management. HR processes refer to the
basic strategies that HR leaders apply to ensure a successful employee life cycle and work
experience.

HRIS systems were gradually upgraded to HR workflow and decision-making systems. This
change meant that HRIS systems evolved from manual, transaction-based bookkeeping to semi-
automated HR processes. A good example is the on-boarding process, which can now be created
individually and the data points obtained in the recruitment process can be triggered
automatically. It has been suggested that people need to be analyzed and HRIS reverse approach
and classified individually. The fundamental difference between the two is in the flow of
reporting and reasoning. Diction based on HRIS workflow hard-coded business rules, HR
analysis based on statistical modeling / machine learning applied to HR data.

However, HR analyzes can enhance a human resource information system by improving the
scope and accuracy of HR data analysis and HR decision making.

For example, estimating employee potential through hard-coded rules such as attendance
records, sales, or certificates will be limited to accuracy. However, the use of soft coded rules,
including HR analytics, will increase the quality of decision-making when considering employee
potential.

organization and the customer?

d .Is these are accountable for monitoring individual employee’s performance and develop the
software to resolve the technical problem as well as human resource issue?

2. What configuration should the company use? Make a suggestion and

support it!
Answer: The company should use the N-Tier Architecture for their business. This because N-tier
application architecture provides a model by which developers can create flexible and reusable
applications. By segregating an application into tiers, developers acquire the option of modifying
or adding a specific layer, instead of reworking the entire application.

There is some advantages using this type of HRIS architecture is maintainability, this is because
each tier is independent of the other tiers, updates or changes can be carried out without affecting
the application as a whole. Secondly is scalability that is tiers are based on the deployment of
layers, scaling out an application is reasonably straightforward. Thirdly is flexibility where each
tier can

be managed or scaled independently, flexibility is increased and lastly is availability.

Benefits of N-Tier Architecture

There are several benefits to using n-tier architecture for your software.  These are scalability,
ease of management, flexibility, and security.

 Secure: You can secure each of the three tiers separately using different methods.

 Easy to manage: You can manage each tier separately, adding or modifying each tier
without affecting the other tiers.

 Scalable: If you need to add more resources, you can do it per tier, without affecting the
other tiers.

 Flexible: Apart from isolated scalability, you can also expand each tier in any manner
that your requirements dictate.

So , considering all the sides of N Tier Architecture, we can safely use it for the
company.

3. Make some recommendations about security and bring-your-

own device.
Answer: Bring Your Own Device - Best Practices from a Cyber Security Perspective . it is also
known as BYOD.

BYOD (bring your own device) is quickly becoming the workplace standard. Today, 82 percent
of companies allow employees to use personal devices for work, and that number will only grow.

The recommendations :

1.Consider the device platforms and operating systems to support.

2.Devise a methodology to continuously and regularly patch BYOD program devices.

3.Install a reliable antivirus program on all devices.

4.Prepare a checklist of security upgrades that an employee-owned device has to go through to

be enrolled in the BYOD program.

5.Implement rules for password complexity and auto device-lock after a minimum viable
inactivity period.

Case: Part 3
Question 1: Make a recommendation as to whether a BOB option should be chosen or a more
standardized option with simple interface between hardware and software should be elected.

In order to share information and get to compete for the large company, the best way to choose is
using Best of Bread. This is because the system may have in industry specific functionality in
getting information. Like example they may exchange data within the store. Other than that there
are also track-supporting track that may track the history of the data organization. To the job of
administration and maintenance, it will become simple and often more accessible for end-user.
The BOB system is independent and flexible to integrate with any other system that ensures
accuracy of the data.

Question 2: Think about what the best answer should be when you have to connect your
system with recommendation and support it accounting and finance. Make a

Bob is expert in the field of finance and accounting. The system suits to answer the toughest
questions and addresses the entire specialized or unique requirement. For example: visibility,
When the business is growing up, you need information and visibility to ensure that it is easier to
compete with others and make decisions. Bob helps to deliver data and advance reporting
functionality. BOB also enhances capabilities. The system manages the asset, tracks time and
attendance also takes care of purchasing. For the large company they need a system that may
find the business needs as they continue to develop. As a big organization they need to invest to
get a long and short-term profit. They need a system that can handle the automation the load with
ease and accuracy so they do not have to hire and train additional resources.

 Case: Part 4
Question 1: Develop the first few steps of the project plan.

Answer: In developing the ERP software, the first few steps to be followed are-

•Identify the goals and objectives

It is important to identify and identify the real need among the many advantages of ERP
software. Develop which areas for the needs of the company. It could be human resources, order
management, inventory control, accounts receivable, accounts payable, ledger, etc. We need to
identify problems and find solutions using ERP software.

•Selecting an ERP system

There is a wide range of ERP software. Better to understand what are the each software has to
offer based on specific business needs.

•Develop a comprehensive and phased strategy

By taking a holistic and phased approach to ERP development, we can accelerate the process.
Typical metrics like spend, time, resources, return on investment, and other key business metrics
like expected operational disruptions, organization-wide ERP adoption, and productivity impact
are all consistent. It must be included in the phased approach. These strategies support the
strategic approach while reducing the risk of implementation issues.

•Create a project management plan

Make this project successful, project management is very important. The following procedures
should be included in the project management plan: Define requirements; set specific, clear and
achievable goals; balancing competing needs in terms of scope, time, money and quality; and
adapt to the different concerns and expectations of the stakeholders.

•Identify the project team

An ERP project, like any other, relies heavily on the team being assembled to develop,
implement, and maintain a new project. The team consists of a project champion, a project
manager, a core team, and a site team at the top of the organizational chain.

•Project charter

The project charter is one of the most important parts of a solid project foundation, perhaps even
more so than evaluating or initiating supplier negotiations. This is a governance document that
defines preliminary roles and responsibilities, including stakeholder roles, key goals, project
manager authority, and more. In addition, the charter makes it possible for you to monitor the
supplier’s performance as the project progresses.

•Design
Design phase develops a detailed design of the new ERP system based on the exact requirements
and understanding of the current workflow. Designing new, more efficient workflows and other
business processes that take advantage of technology is one of them. Because users have the
deepest knowledge of current business processes, it is essential to include them in the design
phase. Involving the client in the design process also ensures that they will accept the new
system and use it to its fullest potential.

•Align business processes

By starting a new ERP project, we will have the opportunity to understand and assess the current
performance of our organization and identify areas for improvement.

Question 2: Discuss the potential political necessities outlined in this section as they relate to
this type of implementation.

Answer: According to the case study, in order to gain competitive advantage in the market, they
are willing to share information so that they can develop other actions and tactics using the
correct information. This includes information on human resources, accounts receivable, general
ledger, order management, inventory control, and customer relationship management. However,
due to the implementation of this HRIS solution, political issues may arise within the
organization.

Question 3: Think about and create a list of steps that make sense for your Organization.

Phase 1 – Prepare

 Consult with key stakeholders for last-minute updates on required goals and update your
plan, budget, or schedule.
 Plan for the scope and specifics of performance requirements (task requirements,
assignees, deadlines, use of consultants, actual budgets, actual schedules, etc.)
 Coordinate with HRIS support and finance the purchase of the system.
 Hire strategic support, planning or implementation consultants.
 Prepare the project team and organize a pre-launch dinner or outing for team building.
Phase 2 – Implementation

 Data integration, migration from all internal or external sources.

 Create HR workflows and processes.
 Implement the HRIS module.
 Check data quality, workflow, automated processes, modules, third-party integrations,
GUI and overall functionality.

Phase 3 - Going Live

 Final preliminary tests.
 Start training all users of the system.
 Integration into the phased activities of the functional team.
 Manage transformation within the organization and the HR department.
Phase 4 - Post-Live Evaluation and Support

 Assign internal support staff and begin long-term support contract with vendor if
necessary.
 3rd party software integration with the HRIS.
 Assess system performance against original project objectives.
 Auditing system performance.
 Assessing adoption success and satisfaction levels throughout the company.
Question 4: Is the nine-month rapid-implementation time frame feasible? Or will it Just
lead to failure?

Answer: Sometimes the demands of implementing a new ERP system outweigh the option of
keeping things stable. Budgetary constraints can sometimes be unavoidable. When software
costs are eliminated, implementation costs include everyone’s time, vendor external costs
must be paid for the days they engage in a project, so the fewer days the lower the costs. For
one reason, project management costs are largely determined by the duration of the project:
the longer the project, the more time a project manager takes. In contrast, rapid deployment
requires a different methodology. A nine-month rapid implementation plan may be
achievable. New cloud-based ERP systems are reshaping the ERP landscape and reducing
the time it takes to build a system that previously took a year or more. While innovative
solutions can dramatically reduce time to value, this value can be jeopardized if
implementations quickly ignore or pay insufficient attention to some of the underlying issues.
60% of ERP investments are considered failures because they do not meet specific business
needs and produce ambiguous or immeasurable results. At the same time, vendors are
responding to customer demand for shorter deployment times, reducing ERP
implementations from years to months or even weeks. For example, Oracle NetSuite’s Suite
Success program targets 100-day installations, while SAP and Microsoft offer rapid
deployment programs. Influenced by Agile concepts and methodologies, vendors enable
incremental ERP implementations, which means first establishing core functionality, and
then building integrations and advanced functionality over time to help businesses generate
business faster commercial value. Once the solution is operational, develop a business case
for additional customization capabilities to meet specific business needs. While faster
implementations help reduce time to value, it’s important to note that the required processes
don’t change, from how the organization changes to moving data. They should work faster
and in tandem with other activities, or with less effort. The following are essential to success:

- Divide the implementation into phases.

- Start.

- Design document.

-Testing and training

-Data migration.
