What do you understand by job analysis?

Explain the parts [JD & JS] of job analysis


with example.

Job analysis referred as the process of determining by observation and study,


reporting pertinent information relating to the nature of a specific job. According to
Milkovich, Job analysis is the systematic process of collecting information that identifies
similarities and differences in the work. It is mainly performed to help to establish an
internally fair and aligned job structure. It also facilitates proper publicity of job, select
through psychological test, facilitates purposeful interviews and promotions & transfers. In
short in job analysis the content of the job context of the job and the human requirements are
mentioned. There are two types of Job analysis job description and job specification.

Job description is a written record of explaining the contents like duties,


responsibilities and requirements which are involved in a particular job. It mainly says what,
how and why it is to be done. In job description the essential items included are job title,
location, specific task and responsibilities, nature of operations, working conditions etc.

Example of Job Description: Team group needs a sales associate where the key
responsibilities with the major tasks and responsibilities of the position is discussed like
customer service and interaction with customers are key responsibilities. He/she must work
effectively with the customers and other associates. Major tasks and responsibilities include:

1. Presenting a consistent and service-oriented image to customers.

2. Listening and asking appropriate questions to assist customers in completing tasks.

3. Using computers, phones, and other equipment.

Job specification is a statement that contains mental, physical and other demands
required of a person to perform the specific job successfully. It includes details of the various
qualifications, skills, knowledge, abilities, and other personal characteristics. It includes
education, experience, training, judgement, physical demands, mental capabilities etc.

Example of Job Specification:

The major skills and competences needed for the position of sales associate of Team group.

1. Customer focused

2. Stress tolerance
3. Teamwork

4. Communication

Job requirements:

1. Maximum 30 years old

2. 1 or 2 years of experience

3. Able to work in flexible schedule including weekends and evenings.
