Brief info: Myanmar Imperial College is founded in 2006 and one of the leading private institutions
cooperating with the UK’s largest awarding body, Edexcel and the University of Northampton to
provide qualified UK Education for Myanmar students. MIC offers students with an interesting
range of postgraduate & undergraduate courses for Business Hospitality & Media Programme. MIC
has passion and desire to develop leaders for the development of our country, Myanmar.

Objectives:
• To be maintain the term over rate of employee until 50% within 6 months.
Objectives of HR department
Example; if there is two weeks period of recruiting new employee; all the interview must be
arranged during the period.
2. HR manager is required to discuss with Department Head in order to arrange the interview
dates.
4. HR manager is required to keep all email correspondence or any other necessary document and
attached with respective CV.
5. HR manager is required to prepare the necessary document such as interview form, CV and
supporting document of applicants.
Purpose
In order to have a well prepared for interview and to have full information to refer within the
interview process.
6. Every first interview must be conducted by related department head and HR manager.
Purpose
In order to avoid miscommunication and to be able to make the right decision before recruit the
new employee.
7. Department head and HR manager will have to propose or recommend based on outcome of first
interview to higher level management before the final decision has made.
8. Second Interview will be conducted by higher level management if necessary. (eg. for Assistant
manager, Manager and Lecturer positions)
Procedures for New Hires
- Prepare the offer letter based on the serial number (e.g. 2015001, 2016001 etc.)
-Prepared two copies of offer letter print out with MIC letter head.
-Employee has to sign on both copies and keep one signed copy for record keeping purpose.
-Once received the signed offer letter from employee, HR personnel have to start prepare the
contract.
- Print out two copies of offer letter with MIC letter head.
- Employee has to sign on both copies and keep one signed copy for record keeping purpose.
- A week before the end probation, Department head and HR Manager need to conduct the
performance appraisal review in order to decide the confirmation of the employees.
-Once conduct the performance appraisal review, HR Manager needs to submit the performance
review out comes to HOD for the decision.
-Once HOD have approved HR manager needs to prepare the Acceptance letter to inform to
employee that he or she is accepted for the full time contract employee.
-Print out two copies of offer letter print out with MIC letter head.
- Employee has to sign on both copies and keep one signed copy for record keeping purpose.
- HR manager have to inform IT support staffs to get ready the computer one day before the first
day of new hired staff.
-HR manager have to instruct IT support staffs to open the school
gmail account in order to use the work related email.
-HR manager have to inform operation department to arrange work place, basic stationaries and
the necessary arrangement. The arrangement must be ready a day before the first day of new hired
staff.
-HR manager have to bring around the new hired staff show around the campus, introduce to every
departments and arrange the rest of the necessary according to HR manual procedures.
-HR Manager needs to send welcoming email to all the staffs at MIC and the email should include
the name of the new staff, designation and brief duties.
1. Performance Review/Appraisal
-Department head and HR manager need to conduct the performance review/appraisal for all the
current full time employees before one or two week from end of contract.
-All the performance review or appraisal must be submitted to HOD with the recommendation
letter (for promotion, for change of department and salary increment) from department head if
there is any.
2. Offer Letter (if the position or salary remain unchanged, pls skip this step)
-Once HOD approved, HR manager need to prepare the offer letter if there is any promotion or
salary increment or change of department.
-Print out two copies of offer letter print out with MIC letter head.
-Employee has to sign on both copies and keep one signed copy for record keeping purpose.
3. Re-Contract
-Once received the signed offer letter from employee, start prepare the contract.
-For the employees who do not get any promotion, salary increment and change of department,
prepare the contract based on previous year contract.
-Print out two copies of offer letter print out with MIC letter head.
-Employee has to sign on both copies and keep one signed copy for record keeping purpose.
-If there is any change on designation or department, HR manager
needs to send the email to all staffs at MIC about new duties and responsibilities.
