We believe that detailed planning is essential for our business, so we always
have plans for each of our steps. The following planning is one of our preparations for the new product launch event - Tassel. The event is taken place at the outdoor event center at 1 p.m, April 18th. According to the weather forecast, that day will have a heavy shower in the morning. It will be sunny after, so launching the product in the afternoon is suitable for us, event guests, and participants. However, the risk of raining in the afternoon remains so it is necessary to have remedies for fixing bad situations that may happen. Preparing: - Providing essential amenities for participants: + Umbrellas and handheld umbrellas + Sufficient seating + Sanitation facilities + Providing attendees with somewhere sheltered and secure to store their belongings or even a change of clothes, should the need arise. - Protecting products: + Tarpaulin for music speakers, micro and led screens + Special box for glasses - Others: + Wind blockers Learning location inside-out: - Knowing where the sun will hit during seated and staged events - Research for wind direction Fine-tune the conditions of our event and pre-empt any weather-related disruptions. Food and drink: to distract attendees from wind and rain, keep their spirits high: - Contact the food supplier for snacks, hot and cold beverages. - Make sure onsite vendors are always ready to serve. Keep the staff in loop: - Make the necessary provisions to ensure that staff understand their role in keeping the event running like a well-oiled machine, and are fully aware of procedures in the event of bad weather. - Open communication channels, facilitating real-time updates among all onsite staff and empowering the event team to react in unpredictable situations.
