Meeting Minutes:

1. A meeting was held on 15 th July 2017 at ASSURANCE Tower, between Assurance City Common
Management Society & ASSURANCE Developments Limited. The following officials were present in the meeting
and points mentioned below were discussed and decisions made appended below:

Discussion Issue

1. Security Guard Issue.

ACCMAS: In Assurance City the existing Security guards were appointed since long, So they creates some
problem there, For better service from guards we propose to change all security guards
gradually .

ASSURANCE: Assurance accepted ACCMAS proposal and will take immediate steps to change all security
guards gradually.

2. Service In Charge & all techinical service staff .

ACCMAS: Requested for replacement of the present Service In charge & assigned new service In-charge who
can operate Computer. They also requested to change gradually all other technical service staffs.
But it should be confidential from all staff.

ASSURANCE: Assurance agreed to the proposal and will take immediate steps to change the existing Service in
charge. Other technical staffs will be replaced as early as possible.

3. Night stay at Assurance City minimum 02 perrson one Electrician & another Plumber.

ACCMAS: The ACCMAS proposed for night stay at least 02 Person of Technical service staff one Electrician
& another plumber have to night stay in the complex. So that they can provide emergency night
service support to the complex. ACCMAS agreed to provide a room in the Complex for their
leaving facility.

ASSURANCE: Assurance Developments ltd. agreed with their requirement and arrange service accordingly
4. Assurance City Garden Beautification issue.

ACCMAS: The committee requested for arranging a gardener at Assurance city complex for rearrangement of
garden & plantation for beautification. So they requested Assurance if Assurance can talk &
negotiate with any landscape designer or expert Gardener.

ASSURANCE: Assurance Developments Ltd. assures ACCMAS to engage any expert gardener / Plantation
supplier who can help plantation rearrange for beautification Assurance City Complex.

5. Boundary wall Security Spike grill issue .

ACCMAS: For assurance city complex more security need to provide spike grill or anything on the boundary
wall.

ASSURANCE: As per requirement Assurance development ltd. will provide spike grill as required cost Basis.

6. Pit water over flow in Building-3 & 4 area.

ACCMAS: When ACCMAS clean this pit inform Assurance Developments ltd. for check this line why this pit
block several times.

ASSURANCE: When ACCMAS clean this pit Assurance Developments ltd. check this line if shown any problem
will be solve.

7. Regarding construction work nearest building violet RAJUK Rules.

ACCMAS: Assurance city nearest land developing construction works but they are not maintain RAJUK rules,
that why for sufficient area damage Assurance city complex. Need to help Assurance for where &
how can complain RAJUK.

ASSURANCE: ACCMAS issue Complain letter to RAJUK Authorized officer, Assurance Developments ltd help
for this procedure.

8. Regarding 05 Nos Gas line for Assurance City Common Building.

ACCMAS: Why provided 05 nos. Gas line in Common building.

ASSURANCE: From Assurance Developments Ltd. remind that this building have to need 05 nos gas connection.
If ACCMAS went to disconnect any connection then need to disconnect application to TITAS
Authorized officer.

9.Generator issue Common Building.

ACCMAS: In the Assurance City common building, why 110 KVA generators are installed.

ASSURANCE: As per requirement Assurance Developments installed 110 KVA generators in the Assurance City
common building. If not necessary ACCMAS can be re-arrange, increase connection or change
this generator.

10. Common Service Agreement Revised.

ACCMAS: ACCMAS Assurance city common service agreement re–arrange some clause this will provide to
Assurance Developments ltd.

ASSURANCE: After forward from ACCMAS Assurance city common service agreement re–arrange then
checked this & discussed.
