Dear Students,

The Hostel functions on the principles of shared 'home' environment, equity, discipline and egalitarian values The
University expects that student residents will maintain high standards of ethics, culture and disciplined behavior.
And will follow the values and traditions of Amity University.
While pursuit of academic excellence will be a key focus for the student residents, the Hostel Management and Staff
members will help to foster independence while responding to the individual needs and talents of each student
resident so that they reach their potential. It is hoped that they will carry fond memories of their stay in the hostel
as they pursue their journey to achieve success in life and professional excellence.
1. Hostel Admission Process
• Limited accommodation in single and multiple occupancy rooms are available for students.
• The requirement of hostel accommodation is to be indicated by students in the Admission Application
Form. Hostel allotment will be communicated to them by Admission Office along with their admission
letter. Thereafter they are required to deposit hostel fees for one academic year along with security
deposit. The security deposit is refundable subject to terms and conditions.
• Senior students wanting hostel accommodation for the academic year shall submit their applications
through the hostel portal on Amizone and are required to pay the hostel fees after confirmation of their
application. Those students who were in the previous academic year residents of the hostel and have not
withdrawn their security deposit are not required to deposit it again.

2. Hostel Registration Process


• After payment of hostel fee, registration form along with annexure “A” is generated automatically online on
students’ Amizone.
Students are required to take a printout of the form and annexure “A”, affix required photos, signatures
along with fee receipt and upload on amizone and also submit at registration desk on the day of arrival.
• Students are required to report for hostel accommodation a day or two before the commencement of the
academic session, as per the date given on amizone as ‘Hostel reporting date’.
• Allotment of rooms to students admitted in the Hostels will be displayed on Amizone & on the Notice
Boards. Rooms are pre-allotted according to the courses. Requests for changes are not entertained.
• At the registration desk, students will be issued Hostel I-Card affixed with his/her latest photograph by IT
department.
• During the registration student will be issued a room inventory form* after filling this form they proceed to
the concerned hostel where room keys and the inventory will be handed over to the student.
• While joining the hostel, students are to bring the following items along with their personal belonging.
a) Business Suit (black) for boys
b) Bucket/Mug, Hangers for clothes and toiletry items,
c) Passport size photo of student 2, mother, father and local guardians’ 1 each.
d) Photocopy of hostel fee receipt

Students are required to stay in the hostel after the registration. They will not be permitted to leave
the premises after the registration Out pass will be issued after the verification of telephone
numbers of parents / local guardian.
* Room Inventory – An inventory form (will be issued on arrival) to be submitted in the respective hostel.
Each hosteller will be provided Bed, Mattress, Study table, Chair, Steel Almirah, Small dustbin, Curtains on
window, Fridge (in AC room), Sofa set (in AC room).
Demand for additional furniture will not be entertained. Hostellers are responsible for any
damage to the items provided to them individually. They are to make good any loss by paying for
the same.

3. Duration of Hostel allotment


Hostel is allotted for one academic year (or otherwise stated in case of a student who has applied for hostel for one
semester). It begins from the date of hostel registration and ends on the last day of the examination of each
semester of the academic year. Overstay in the hostel is not permitted and will attract heavy fines.
• Students may be permitted to stay in the hostel during summer internship after confirmation from the
Head of Institution / Department. They will, however, be required to pay additional hostel fees for the
duration of their stay at the rate communicated by the Hostel Administration from time to time
• Students are to vacate the hostel and take their baggage back for summer vacation. Before proceeding on
leave/vacating the hostel the hostellers are to return all items issued to him/her to the Warden of their
hostels. Hostellers will have to pay the cost of article(s) found either missing or damaged keeping in view
the original price of article(s) minus depreciation value, as may be decided by the Hostel Administration.
Failure to vacate the hostel by due date will render the resident liable to disciplinary action or fine as
prescribed or both, and an eviction process shall be initiated against the student.

4. Withdrawal from Hostel


• Application for withdrawal from the Hostel is to be submitted online through Amizone
(www.amizone.net). No other mode of request will be considered.
• Hostel fee once paid will not be refunded in case of withdrawal at any point of time.

5. Hostel Administration
• Administration of the hostels is under the supervision, guidance and control of the Director Hostels.
• Each hostel has a warden, Asst warden, Supervisor and supporting staff who will carry out the day to day
function of the hostels.
• Floor student Prefects will be nominated from amongst the residents and they will be responsible for
discipline and attendance of the students.
• Attendance
• All students are to be in their hostels as per the laid down timings and are to mark their attendance in
the registers kept for the purpose. Proxy attendance is not permitted.
• The timings for fresher students is 9 p.m. & for senior students is 10 p.m.
• Supervisor/ Asst Warden accompanied by student prefect checks each room for the physical
presence of students. A report on defaulters is submitted to the Director Hostels Admin.
• Hostel Out-pass system
a) For hostel out-pass, students have to apply through Amizone. A link will go to parents’ registered
mobile number. After the parents’ approval, warden will approve the out pass. Hostellers are not
permitted to leave the campus without permission of respective wardens at any time of the day.
They are allowed to visit their local guardians on weekends and Amity holidays and stay overnight
in case they have a night out-pass.
b) Day Out-pass is issued to hostel students only on weekends/ holidays. In special cases, Day Out-
passes may be issued on working days after working hours/ weekend between 5 p.m. to 8 p.m. and
on holidays between 10 a.m. to 6 p.m .Out passes are not issued on Sunday/ holiday after 12.15 p.m.
c) Night/Holiday Out-passes are issued only on weekends or on authorized holidays/ breaks. Girl
students are allowed to leave hostel on Night/ Holiday out-passes only if accompanied by parents
or a person/ local guardian authorized by the parents.
d) If, due to an emergency, a student is required to go out during the working hours on a working day,
the out-pass is issued only once his leave application is duly signed and sanctioned by the
respective Head of the Institution.
e) Students who go on holiday on out pass will be allowed to take their personal baggage for which a
gate pass will be issued by the Warden concerned.
f) A student requiring out-pass is to fill out-pass and enter the details in the register maintained in
each hostel.
g) The student is to show the out pass while leaving and also on return at Gate No 4, sector-125 to the
security staff on duty. The IN/ OUT movement of hostel students is restricted through these gates.
h) If the students return late, they are allowed to enter the gate after verification of their Institute/
Hostel identity card. The cards of the late comers are confiscated and the report is submitted to
Director Hostels Admin for disciplinary action

6. Code of Conduct for students including Hostellers is given in ‘Student Handbook.’ Students are
requested to go through them so that they do not violate them.

7. Facilities for Hostel Students


• Cafeteria and Food Outlets
Hostel fees does not include food charges. The University has air-conditioned cafeterias, which provide a
variety of pure vegetarian meals (Indian, South-Indian, Chinese and Continental) on payment.
The cafeterias remain open from 7.30 a.m. to 10 p.m. Details of meal timings are placed below.

Break Fast 7.30 a.m. to 10 a.m.


Lunch 12 to 3 p.m.
Dinner 7 to 9 p.m. for fresher & 8 to 10 p.m. for seniors.
Students are not allowed to carry their meals to their rooms, except in case of illness (with prior
permission from the warden). Complaints / suggestions are to be communicated to the Hostel warden or in
the register kept for the purpose.

• Laundry
Laundry facilities are provided to the hostellers free of cost. Limited number of clothes as prescribed
can be given for washing and ironing twice a week by students. Two days are earmarked for each hostel.
Each student is given a docket number for laundry. Clothes are collected by the laundry man from the
hostel and students are to collect cleaned / ironed clothes from the laundry counter. Bed sheet and towel
can be exchanged from the counter once a week.

• Medical
First-aid medical Treatment is available within the campus. Amity Clinic has a resident doctor and nursing
staff. Students contributing to group medi-claim policy are provided medical treatment of up to Rs 25000/-
in the following hospitals. This is applicable only in the case of minimum 24 hrs admission in the hospital.

On falling sick the hosteller are to inform the warden who will arrange medical help. If the hosteller is
advised hospital admission, necessary communication to this effect is sent to Parents / local guardian,
programme Director and Director Finance.

• Maintenance
Staff is employed for general upkeep of the hostel. Repair / maintenance of fixtures and facilities is an
ongoing process. Requirements are to be projected by noting the details in the registers kept for the
purpose. Separate registers are kept for Electrical / Plumbing / Carpentry / Miscellaneous repairs. Repairs
are undertaken promptly. Undue delays in repairs are to be reported to the hostel warden/Supervisor.

• Cleanliness of rooms
Students are to keep their rooms neat and tidy. Room will be checked weekly. Following action will be
taken if a room is found untidy.
(a) 1st time - Verbal warning.
(b) 2 time
nd - Written warning.
(c) 3rd time - Suspension order for 15 days.
(d) 4th time - Cancellation of hostel seat.

• Sports & Fitness


Swimming pool, State of art Gym, Horse Riding , Cricket, Lawn Tennis, Basket ball, Volley ball, Badminton
etc are available on the campus. These can be availed by the hostellers.

• Yoga classes
Yoga classes are conducted for the students in the morning and evening as per their convenience.

• Recreation
Colour Television sets (LED)have been provided in the TV rooms of each hostel. Major festivals like Holi,
Diwali and Lohri are celebrated in the hostels. Cultural programmes, quizzes and movie shows are also
organized by the students.

• Guest Room
Guest room facility is available for the parents / guardians (subject to availability) on payment basis, for a
maximum of three days, for which booking can be done in advance.

• Visitors / Guests
Parents and guests and visitors are not permitted to visit the student room. Visitors lounge is available for
them to sit which they visit student. The timing for guests are :-
Weekdays - 6 p.m. to 8 p.m.
Weekend & University Holidays- 10 a.m. to 8 p.m.

• Other facilities
Other facilities include ATM, Daily needs stores, a Salon, a florist, a book-shop and a stationery shop which
provides photocopying, scanning, printing and binding facilities. The shop also undertakes courier services,
recharge of mobile phones and ticketing. In addition there is a food court which houses outlets of Dominos,
Mama Mia, Bikanerwala, Amul Milk, Parlor, Café coffee day, Dosa Plaza, & Subway.
8. Hostel Students Committee
• Hostel students committee will work under the guidance of Director Hostels.
• Floor prefects will be members of the committee
• The Committee will actively participate in routine functioning and organizing all hostel activities.
• The committee will ensure observance of all rules and norms by the resident of the hostel
• The committee will meet once in a month to discuss the hostel issues.
• Minutes of the meeting will be recorded and displayed on the notice board.
