GENERAL GUIDELINES

for Online Benzene Pass

1. Article VI Section II of the Constitution and By-Laws of JPICHE – BatStateU states that
it is the duty of every member to attend and carry on the activities of the organization. In
accordance to this, The Online Benzene Pass will be a requirement for the members of
the organization that shall monitor, reflect, and ensure the attendance and participation of
the members on the organization’s activities.

2. Each section will have a google slide file (File Name: *Section* - Online Benzene Pass)
that is a compilation of individuals’ benzene pass. The said google slide file is uploaded
to their respective section drive for viewing purposes only. The officers of the
organization are the only authorized people to edit an individual online benzene pass.

3. The Online Benzene Pass would also be monitored and managed by their respective class
presidents.

4. Inside their respective individual drive folders, there are two subfolders named
Attendance and Participation. From the name of the folders, you shall upload your
attendance proof on the Attendance Folder while your participation proof on the
Participation Folder. The Participation folder is always on editor mode allowing you to
upload your participation in the activity whenever you want to (given that it’s on or
before the date of the event) while the Attendance Folder will be on editor mode within a
specific time only (refer to the next number).

5. For each activity, there will be codes displayed in the lower left corner (of Facebook live
program) for five minutes, 3 times. The specific timestamps of the codes will not be
announced. The said code will serve as the attendance of the members on that specific
activity. The members shall screenshot this code within five minutes and upload it in
their Attendance Folder Drive within ten minutes upon its display. The drive will turn to
editor mode within 10 minutes only and turn back to viewing mode after it.

6. In terms of participation, the members shall upload proofs of participation on that specific
activity in their respective Participation Folder Drive on or before the date of the event.
This shall include:

• Sharing the Live Stream and Publication Materials on Facebook


• Leaving a comment on the Live Stream and Pub Mats of the organization
• Posting a story about the event
• Using the official hashtags in post and tweets

7. After the members upload their screenshots and proofs in their respective drive, they shall
wait 2-4 weeks for the organization to approve their uploaded screenshot and put a stamp
on their Online Benzene Pass. Once their online benzene pass was stamped, it means that
their participation in that specific activity was approved.

8. The stamp in the Online Benzene Pass will have corresponding colors and range of points
according to the participation of the member:

• Green Stamp: 8-10 points (Complete Attendance, Complete/Incomplete


Participation)
• Yellow Stamp: 6-7 points (Incomplete Attendance, Incomplete Participation)
• Orange Stamp: 3-5 points (Missing Attendance, Incomplete Participation)
• Red Stamp: 1-2 points (Missing Attendance, No Participation)

9. The members from 1st to 3rd year shall have at least 100 points at the end of the
academic year while members from 4th year shall have at least 80 points. Members with
the highest points will have an incentive or prize from the organization. Otherwise, if
the member did not reach the required points, there will be a sanction that will be
discussed by the organization.
