LEAVE POLICY RELATED TO STAFF OF SAFINA

CHILDREN HOME
1. General:
a. Leave cycle of one year shall commence with the beginning of the year i.e. 1 st
January.
b. Leave for the staff joining the organization during the year shall be calculated
as follows:-
i. If an employee joins the organization on or before 15th of any month
shall be included in the calculation of entitlement.
ii. If an employee joins after 15th of a particular month then that month
shall not be included when calculating the leave entitlement.
iii. All the leave applications shall be submitted for approval in writing on
prescribed form. In case of emergency verbal or telephonic
permission / approval can be obtained simultaneously with the
submission of application on the prescribed form.
iv. Off days or gazetted holidays falling in between leave period
(Sandwiched) shall be counted as part of leave. If leave is applied
from Friday to Monday then Saturday and Sunday will be included in
the leave.
v. However, prefix and suffix of off days or gazetted holidays is
permissible subject to approval of Competent Authority. If leave is
applied for Thursday and Friday then Saturday and Sunday could be
suffixed (Subject to approval of Competent Authority). In such a case
only two days leave will be counted. Similarly if leave is applied for
Monday and Tuesday then Saturday and Sunday could be prefixed
(Subject to approval of Competent Authority). In such a case again
two days leave will be counted.
vi. Any leave of absence that exceeds the available balance or any
absence without approval shall be treated as LEAVE WITHOUT PAY.
vii. Any employee who does not apply for an extension of his leave or
who does not report for duty within 15 days of the expiry of approved
leave shall be considered to have resigned with effect from first day of
expiry of approved leave. Any dues shall be paid in accordance with
the relevant policy of the TRUST / ORGANISATION.
viii. Competent Authority to approve the leave of any employee of
SAFINA CHILDREN HOME are i) AGHA ASAD ALAM NAQVI, Chairman
or ii) BRIG (R) ATTIQ -UR- RAHMAN, Trustee (in the absence or non-
availability of AGHA ASAD ALAM NAQVI).
ix. Leave is to be routed through proper channel (all employees to
submit leave on prescribed form to the Warden of SAFINA CHILDREN
HOME).
x. Prescribed form is attached as Annexure ‘A’

c. Leave Entitlement.

 Casual and medical leave cannot be availed for more than 10 days.
d. Specific Rules.

i. Employees are eligible to avail annual leave after confirmation of


employment and completion of 12 months continuous service from their
date of joining. In special circumstances, the Competent Authority may
allow proportionate annual leave after confirmation.
ii. Annual leave is based on calendar days.
iii. Annual leave shall be earned and accumulated on monthly basis.
iv. Warden shall draw up a leave roaster of its employees to manage leave
efficiently.
v. Annual leave should not be less than 5 days in continuation. However,
residual or due balance of annual leave of less than 5 days can be taken.
vi. Annual leave can be availed at a single stretch at the end of ‘Leave Year’.
Annual leave can be carried forward and accumulated up to a maximum
of 30 days. Out of this accumulated balance, an employee can avail of a
maximum of 20 days' leave at a stretch.
vii. Hostel shall not be left unattended during the summer vacations. In
addition to the requisite security staff at least one member of the
administrative staff, cleaner, cook, helper and driver will always remain
present in the hostel.
